Privacy Policy — Deltos Notes

Deltos Notes ("Deltos Notes", "we", "us", or "our") respects your privacy. This Privacy Policy explains what data is processed when you use the Deltos Notes app, how it is used, with whom it is shared, and the choices available to you.

We built Deltos Notes to be privacy-first: there are no user accounts, no advertising, and no analytics or tracking. Your notes live on your device (and, if you choose, in your own iCloud), and the only time content leaves your device is to transcribe and transform it into the outputs you asked for.

1. Who we are
Deltos Notes is the operator of the app "Deltos Notes". If you have questions about this Privacy Policy, contact us at deltos.notes.support@gmail.com.

2. Data we process

Voice recordings. When you record a note, the audio is saved on your device. To provide transcription and AI-powered text features, the recording is sent to our processing infrastructure (see Section 4). We do not intentionally attach your name, email, or contacts to these requests — only the audio and the information needed to process it.

Imported audio. If you import an audio file, it is handled the same way as a recording.

Transcripts and generated outputs. Transcripts, and AI-generated outputs such as summaries, action items, outlines, and drafted messages, are created from your content and stored on your device. If you enable iCloud Sync, they are also stored in your private iCloud database.

Reminders. If the app suggests a reminder, or you add one, the reminder title and time are stored on your device. Depending on your setting, a reminder is delivered as a local notification or written to the Apple Reminders app (via EventKit) on your device.

Settings and preferences. Your language, default output style, theme, accent color, reminder options, App Lock preference, and similar settings are stored locally, and — if iCloud Sync is enabled — may sync through your iCloud account.

Subscription status. Whether you have an active subscription is determined by Apple through the App Store. We receive an entitlement (active / not active) from Apple; we do not receive or store your payment details.

We do not collect analytics, usage statistics, advertising identifiers, precise location, contacts, browsing history, or any data used to track you across apps or websites.

3. How we use data
We process your data only to provide and improve the core functionality you request:

• Transcribing your recordings into text.

• Transforming transcripts into summaries, action items, outlines, and messages.

• Extracting suggested reminders from your notes.

• Storing your notes and settings on your device and syncing them to your iCloud if you enable it.

• Determining whether Pro features are available to you.

• Responding to support requests you send us.

We do not sell your data, and we do not use your content for advertising or to build a profile of you.

4. Third-party processors and services

To provide transcription and AI features, your audio and the text derived from it are sent to OpenAI for processing (OpenAI's Whisper model for transcription and OpenAI language models for text generation). Requests are routed through our own proxy infrastructure, which forwards them to OpenAI and applies rate limiting; the proxy does not retain your content.

Content submitted through the OpenAI API is handled under OpenAI's API data usage policies and is retained only for a limited period for abuse and misuse monitoring before deletion. OpenAI's handling of this data is governed by OpenAI's own privacy policy and terms, and OpenAI is contractually required to protect it and to provide a level of data protection at least equivalent to that described in this Privacy Policy.

We only share personal data with third parties that are bound to protect it and to provide safeguards equal to or greater than those described in this Privacy Policy. We do not sell your personal data, and we do not share it with advertising networks or data brokers.

Other Apple services we rely on:

• Apple iCloud / CloudKit — optional sync of your notes to your own private iCloud database (Apple).

• Apple App Store / StoreKit — subscription purchase and validation (Apple).

• Apple EventKit — optional writing of reminders to the Apple Reminders app on your device.

5. Storage and retention
Your notes, transcripts, outputs, reminders, and settings are stored on your device for as long as you keep them. Deleting a note moves it to a Recently Deleted area, from which it is permanently removed after 30 days or when you delete it manually. Uninstalling the app removes on-device data. We do not maintain our own servers that store your notes. Content sent to OpenAI is retained by OpenAI only for the limited period described in Section 4.

6. iCloud Sync
If you enable iCloud Sync, your notes and related data are stored in your private iCloud database and synced across your Apple devices. This data is managed by Apple under your iCloud account and Apple's terms; we do not have access to your iCloud database. You can disable iCloud Sync in Settings at any time.

7. Security
We use industry-standard measures to protect your data, including encrypted network connections (HTTPS/TLS) for all requests to our infrastructure and to OpenAI. On-device App Lock (Face ID / Touch ID) can be enabled to require biometric authentication before opening the app; biometric data is handled entirely by iOS and never leaves your device. No method of transmission or storage is 100% secure.

8. Your choices and rights

• On-device control. You can view, edit, and delete your notes at any time, and permanently erase all app data from Settings ("Delete All Data").

• iCloud Sync. You can turn syncing on or off in Settings.

• Reminders / Microphone / Speech Recognition. You can manage these permissions in the iOS Settings app.

• Access, correction, deletion. Because your content is stored on your device (and your iCloud), you are in direct control of it. For any request regarding data we may process, contact deltos.notes.support@gmail.com.
  
  

Depending on where you live (for example, the EU/EEA, UK, or California), you may have additional rights over your personal data, such as access, correction, deletion, and objection. We will honor applicable rights; contact us to exercise them.

9. Sensitive information
Your recordings may contain whatever you choose to say, which could include sensitive information. Please avoid recording information you would not want processed by the transcription and AI services described above. You are responsible for the content you record.

10. Children
Deltos Notes is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will address it.

11. International transfers
Our processors, including OpenAI, may process data on servers located in the United States or other countries. By using the app, you understand that your content may be transferred to and processed in countries that may have different data-protection laws than your own.

12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide notice in the app. Continued use of the app after changes take effect constitutes acceptance of the updated policy.
