eBrick ("Platform", "App", "eBrick Application") is a white-label construction management application developed and operated by Rooks Technologies ("Company", "we", "our", or "us"). The App is designed to support construction companies, builders, developers, contractors, and project organisations in managing construction projects and related operations.
The App supports features including construction project management, daily site entries, material and inventory tracking, workforce attendance, petty cash and site expenses, tool movement, architectural documents, project reporting, and related operational workflows.
We are committed to protecting the privacy and security of personal data and operational information collected through the eBrick mobile application, web portals, APIs, and related services.
This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you access or use the eBrick Application.
This Privacy Policy applies to users of the eBrick Application, including:
Organisation Administrators
Managers and Project Managers
Supervisors
Contractors and Subcontractors
Workers and Labourers
Customers / Clients / Property Owners
The Organisation is responsible for creating, managing, and controlling user accounts and project information within its deployment.
For project, workforce, site, and operational information controlled by an Organisation, the Organisation generally acts as the Data Fiduciary / Data Controller, while Rooks Technologies primarily acts as the Data Processor providing and maintaining the eBrick platform.
Rooks Technologies acts as a Data Controller for information relating directly to its own services, including subscription, billing, and direct customer support.
When an Organisation registers or uses eBrick, we may collect:
Organisation or company name
Contact information
Registered or business address
Company registration or GST information
Business phone number
Official email address
Company logo and branding information
Subscription and billing information
Sensitive payment card information is handled by approved payment providers and is not stored directly on eBrick servers.
Accounts created or managed through the Organisation may include:
Full name
Mobile phone number
Email address
Password information stored using secure cryptographic hashing
User role
Assigned project and construction site
Identification information where configured
Emergency contact information where configured
Users may provide or create information relating to construction operations, including:
Daily site entries
Construction activity and work summaries
Task and project progress
Weather and site notes

Petty cash requests and expenses

With the required device permission and where the feature is enabled, eBrick may collect location information to verify that site attendance check-ins and daily site entries are performed at an authorised construction site.
Location information may be used for geofencing and prevention of fraudulent or unauthorised off-site entries.

Device tokens

Depending on the features used, eBrick may request the following permissions:
Location: To verify site attendance and geofenced construction entries.

Photos / Media / Storage: To upload documents, drawings, PDFs, receipts, and other project files.
Notifications: To provide project alerts, approval updates, task assignments, petty cash notifications, and material-related alerts.
Internet / Network Access: To communicate with cloud services and synchronize application data.
Users may control certain optional permissions through their device settings.

However, no method of transmission over the internet or electronic storage system is completely secure.
Users are responsible for protecting their account credentials and devices used to access the eBrick Application.
We retain personal and operational data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including:
Maintaining active Organisation accounts
Maintaining historical project and site records
Supporting audit and warranty requirements
Complying with legal, tax, and regulatory obligations
Resolving disputes and enforcing agreements
After an Organisation's subscription is cancelled or expires, data may generally be retained for an archival period of approximately 90 days to support reactivation or data export, after which it may be securely deleted or anonymised unless longer retention is legally required.
Technical logs and diagnostic information may be retained for approximately 30 to 90 days on a rolling basis.
Subject to applicable laws, users may have the right to:

Request deletion of personal data
Withdraw applicable consent
Request information regarding the processing of their personal data
Users whose accounts are created by an Organisation may request account deactivation or deletion through their Organisation Administrator.

Organisation Administrators may request deletion of the Organisation's account and associated project data by contacting the same email address from the registered Organisation administrator account.
Legitimate deletion requests are generally processed within 30 business days, subject to applicable legal, contractual, tax, and regulatory retention requirements.
Certain features of the eBrick Application may be offered through paid subscription plans, service agreements, monthly plans, annual plans, or custom enterprise arrangements.
Subscription charges, billing cycles, renewal terms, and applicable fees will be communicated during onboarding, purchase, quotation, or through the applicable service agreement.
Payments must be completed using approved payment methods or payment gateways.
Unless otherwise required by applicable law or expressly agreed in writing:
Subscription payments are generally non-refundable once the subscription period has started and access has been activated.
Refund requests may be considered for:
Duplicate or accidental payments
Billing errors attributable to eBrick
Significant unresolved platform outages attributable solely to eBrick
Cancellation requests submitted before tenant provisioning or service activation
Organisations may cancel subscription renewal according to their applicable subscription terms. Cancellation will generally stop future billing but does not automatically provide a refund for an unused portion of an active subscription period unless otherwise required by law or agreement.

Requests should include relevant Organisation details, subscription information, invoice details, payment information, and the reason for the request.
Approved refunds will generally be processed through the original payment method where possible.
eBrick is an enterprise construction management application intended for authorised business users and working professionals.
The App is not intended for individuals under 18 years of age, and we do not knowingly solicit or collect personal information from minors.
If we become aware that personal data belonging to a minor has been collected inadvertently, we will take reasonable steps to delete the information.
eBrick is provided as a white-label construction management platform to Organisations.
Each Organisation may operate the platform under its own branding and is responsible for managing the users and operational information within its deployment.
The Organisation is responsible for:
Creating and managing user accounts
Assigning appropriate roles and permissions
Removing access when users leave the Organisation
Ensuring lawful collection and use of employee and contractor information
Obtaining required permissions or consents where applicable
Complying with applicable employment, labour, safety, and data protection requirements
We reserve the right to update or modify this Privacy Policy from time to time to reflect:
Changes to the eBrick Application
New features and services
Changes in legal or regulatory requirements
Changes to data processing practices
Security or operational improvements
Material changes may be communicated through the App, in-app notifications, announcements, or registered Organisation contact details.
