This Privacy Policy explains how Crew Track ("we," "us," or "our") collects, uses, shares, and protects personal information in connection with the CrewTrack mobile application (the "App"). CrewTrack is a workforce time-tracking and job-site management tool used by businesses ("Employers") to manage their crews.

Who this policy applies to
CrewTrack has two types of users:
Workers employees or crew members who are invited to the App by their Employer and who sign in with their phone number. Workers clock in and out, and their location is recorded only while they are clocked in.
Managers / Owners the Employer's administrators who sign in with an email address and password, manage their crew, view timesheets and live locations, and manage billing.
Worker accounts are created by the Employer (you are invited; you do not sign yourself up). The Employer controls each Worker's account and is responsible for obtaining any consents required by applicable employment and privacy law before using the App to monitor its crew.
Information we collect
We collect only the information needed to operate the App's time-tracking, job-site, and crew-management features.
Information you or your Employer provide
Name (display name), provisioned by your Employer.
Phone number used as a Worker's sign-in identity (verified by a one-time SMS code).
Email address used for Manager/Owner sign-in.
Company / organization details your organization name and work settings (overtime rules, geofence radius, retention period, etc.).
Location information
Precise (GPS) location, collected only while you are clocked in to a shift. We do not collect your location when you are off shift or signed out.
A live location (your current position) shown to your Manager on a map during an active shift.
A historical location track (periodic location points, or "pings") recorded during a shift, used to document job-site time.
Geofence events when your device enters or leaves a job-site area, used to clock you in or out automatically or to remind you to do so (depending on your Employer's settings).
Background location collection runs while a shift is active even when the App is closed or your screen is off, so your shift time is captured accurately. On Android, a persistent notification ("On shift CrewTrack is recording your location") is shown for the entire time tracking is active. Tracking stops the moment you clock out.
Photos
Job-site photos you choose to capture with the camera or attach from your photo library (for example, before/progress/after pictures of a job). We access your camera and photo library only when you use this feature.
Time and work records
Shifts and timesheets clock-in and clock-out times, breaks, selected job, calculated hours, and overtime/break flags.
Jobs job names, client names, addresses, and job-site coordinates created by Managers.
Device and technical information
Push notification token to deliver reminders (such as a missed clock-out reminder) and crew alerts.
Crash and diagnostic data if the App crashes or hits an error, we collect technical diagnostic information (such as the error and device/OS details) through Google Firebase Crashlytics to fix problems. This is not used to identify you for any other purpose.
Billing information (Managers/Owners only)
Subscription and billing for Employers is handled by Stripe. Payment-card details are entered directly with Stripe through our website and are never collected or stored by the App. We store only non-sensitive subscription status and seat counts.
We do not collect data for advertising, and we do not track you across other companies' apps or websites.
How we use information
We use the information above to:
Authenticate you and keep your account secure.
Record shifts, breaks, and hours, and calculate pay-related totals (e.g., overtime).
Show your Employer your live position and job-site time during an active shift.
Provide automatic or prompted clock-in/clock-out using job-site geofences.
Let you attach photos to jobs.
Send operational notifications (e.g., reminders, alerts).
Maintain, secure, troubleshoot, and improve the App (including diagnosing crashes).
Process the Employer's subscription and seats.
Comply with legal obligations and enforce our terms.
Legal basis and consent
Where required by law, we and your Employer rely on your consent and on the legitimate business interests of the Employer (managing its workforce, recording work time, and protecting its property) to process this information.
Before any location tracking begins, each Worker must acknowledge an in-app workplace-monitoring notice. The App will not start tracking until that acknowledgement is recorded. You can withdraw consent by ceasing to use the App and contacting your Employer; note that the App cannot be used for time-tracking without location consent.
How information is shared
We share information only as described here. We do not sell your personal information.
With your Employer. This is core to the App: your Manager/Owner can see your name, phone number, live location and historical track during shifts, timesheets, hours, and job-site photos. CrewTrack is a workforce-monitoring tool operated on the Employer's behalf.
With service providers (processors) that operate the App on our behalf:
Google Firebase (Authentication, Cloud Firestore database, Cloud Functions, Cloud Storage, Cloud Messaging, and Crashlytics) hosting, data storage, authentication, notifications, and crash reporting.
Stripe subscription billing for Employers.
Google Maps to display maps and locations within the App.
For legal reasons. We may disclose information if required by law, regulation, legal process, or to protect the rights, safety, or property of users, the public, or us.
In a business transfer. If our business is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
These providers process data on our and the Employer's instructions and may store and process it on infrastructure located in the United States and other countries. By using the App, you understand your information may be transferred to and processed in those countries.
Data retention
Location pings (historical track): automatically deleted after the retention window configured by your Employer (default 90 days).
Live location: reflects only your current position during a shift and is cleared when you clock out or are removed.
Shifts, timesheets, and job records: retained by the Employer as employment/payroll records for as long as needed for business and legal purposes.
Photos: retained until deleted by the Employer or until the account/organization is deleted.
Account information: retained while your account is active and deleted as described in Section 8.
Crash diagnostics: retained for a limited period for troubleshooting.
Security
We use industry-standard safeguards to protect your information, including encryption in transit, authenticated access, and server-side access rules that restrict data to your own organization and limit Workers to their own data. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, and to withdraw consent. To exercise these rights, use the in-app options below or contact us at crewtrack1@gmail.com (or contact your Employer, who controls your Worker account).
Device permissions
You can control location, camera, photo, and notification permissions at any time in your device settings. Turning off location permission will prevent the App's time-tracking from working.
Accessing your data
Workers can review their recorded shifts and location points in the App under My tracked data.
Account and data deletion
Workers: Because your shift and timesheet records are your Employer's employment records, Worker accounts are managed by the Employer. You can request deletion of your account and personal data from within the App (under My tracked data Request account deletion). Your Employer will process the request: your account and personal profile are deleted, and your historical timesheet records are retained only as required for payroll/legal recordkeeping.
Managers/Owners: You can delete your account from within the App (under Settings Account). If you are the organization Owner, deleting your account permanently deletes the entire organization every Worker account, all timesheets, photos, and location history and cancels the subscription. This action cannot be undone.
Children's privacy
CrewTrack is a workplace tool intended for use by adults in an employment context. It is not directed to minors, and we do not knowingly collect personal information from anyone under the minimum legal working age in their jurisdiction (and in no case from children under 13). If you believe a minor has provided us information, contact us and we will delete it.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective date" above and, where appropriate, provide additional notice. Your continued use of the App after an update means you accept the revised policy.

This policy is governed by the laws of the jurisdiction in which you reside or are employed, without regard to its conflict-of-laws rules. Nothing in this policy limits any non-waivable rights you have under the data-protection or privacy laws that apply to you - including, in Canada, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation (such as Alberta's and British Columbia's PIPA and Quebec's Law 25), and, in the United States, applicable federal and state privacy laws (such as the California Consumer Privacy Act, as amended).
