Collision Sync respects your privacy and is committed to protecting information used through the Collision Sync mobile application, website, and related services.
This Privacy Policy explains what information Collision Sync may collect, how that information is used, when it may be shared, how it is protected, and the choices available to users.
By using Collision Sync, you acknowledge the practices described in this Privacy Policy.
1. About Collision Sync
Collision Sync is a business workflow and quality-control platform designed for collision repair organizations and their authorized employees.
Participating collision repair shops may use Collision Sync to manage repair orders, vehicle workflow stages, employee assignments, quality-control inspections, photographs, notes, reports, notifications, and internal communications.
Collision Sync accounts are generally created or authorized by participating collision repair organizations.
2. Information We May Collect
The information collected depends on how a shop configures and uses Collision Sync.
Account and Contact Information
We may collect:
Full name
Email address
Username or account identifier
Employee role
Shop or organization name
Authentication and login information
Support contact information
Passwords are processed through authentication services and are not intended to be visible to Collision Sync personnel.
Shop and Business Information
We may collect:
Shop name
Business contact information
Shop address
Employee and technician information
Shop settings
Workflow preferences
Subscription or account-access status
Repair Order and Vehicle Information
Participating shops may enter or upload:
Repair-order numbers

Users and participating shops are responsible for ensuring that they have permission to upload this content.

Collision Sync does not use personal information for cross-app advertising tracking.
4. Participating Shop Responsibilities
Participating collision repair organizations control much of the information entered into Collision Sync.
Each shop is responsible for:
Deciding which employees receive access
Assigning appropriate roles and permissions
Ensuring that repair-order and customer information is entered lawfully
Responding to privacy requests involving records controlled by the shop
Removing employee access when employment or authorization ends
Following applicable privacy, employment, insurance, and repair-industry requirements
When Collision Sync processes information for a participating shop, the shop may be the organization primarily responsible for that information.
5. How Information May Be Shared
Within the Authorized Shop
Information may be visible to authorized administrators, managers, estimators, technicians, quality-control personnel, and other employees according to their assigned roles.
Service Providers
We may use third-party providers for:
Cloud hosting
Database services
User authentication
File and photo storage
Push notifications
Error monitoring and diagnostics
Email and support communications
Payment and subscription processing
Website hosting
These providers may process information only as necessary to provide their services.
Legal and Safety Reasons
We may disclose information when reasonably necessary to:

Protect the rights, property, or safety of Collision Sync, users, participating shops, or others

6. Firebase and Google Services
Collision Sync may use Google Firebase services, including Firebase Authentication, Cloud Firestore, Cloud Storage, Cloud Messaging, and related infrastructure.
These services may process account identifiers, authentication activity, device information, Internet Protocol addresses, application data, stored files, notification tokens, and diagnostic information as necessary to provide their services. Firebase documents that some services process technical information such as IP addresses, user-agent information, authentication data, and service-specific identifiers.
7. Payment Information
Organization subscriptions may be managed through the Collision Sync website using a third-party payment processor such as Stripe.
Collision Sync does not intend to directly store complete payment-card numbers.
Payment processors may process:
Billing contact information
Payment-card information
Transaction information
Subscription status
Payment history
Fraud-prevention information
The payment processor’s privacy policy applies to information submitted directly to that provider.
The iOS mobile app does not sell individual consumer subscriptions through the app. Access is generally provided through a participating collision repair organization.
8. Data Retention
We retain information for as long as reasonably necessary to:
Provide Collision Sync services
Maintain active shop and employee accounts
Preserve repair and quality-control records requested by participating shops
Meet contractual and legal obligations
Maintain security and prevent fraud
Resolve disputes
Maintain billing and business records
Retention periods may vary depending on the type of information, the shop’s instructions, legal requirements, and operational needs.
When information is no longer required, we may delete, anonymize, or de-identify it.
Backup copies may remain for a limited period before being removed through normal backup processes.
9. Account Deletion
Users may request deletion of their Collision Sync account.

Whether you are requesting deletion of an employee account or an entire shop account
A brief description of the request
Employees should also contact their shop administrator when requesting removal from a participating shop.
We may verify identity, account ownership, or administrator authority before completing a deletion request.
Deleting an employee account may not automatically delete repair-order or business records owned or controlled by the participating shop.
Certain records may be retained when reasonably necessary for legal compliance, security, fraud prevention, billing, dispute resolution, or legitimate business recordkeeping.
Apple requires privacy policies to explain data retention, deletion, and how users can request deletion or revoke consent.
10. Access, Correction, and Privacy Requests
Depending on your location and applicable law, you may have the right to:
Request access to personal information
Request correction of inaccurate information
Request deletion
Request a copy of certain information
Object to or restrict certain processing

Backup and recovery procedures
Firebase recommends using Firebase Authentication together with Firestore and Storage Security Rules to enforce user and role-based access.
No electronic system is completely secure. We cannot guarantee that unauthorized access, loss, misuse, or disclosure will never occur.
Users must protect their credentials and report suspected unauthorized access promptly.
12. Children’s Privacy
Collision Sync is a business application intended for collision repair organizations and their authorized employees.
It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.
If we learn that information was collected directly from a child in violation of applicable law, we will take reasonable steps to delete it.
13. International Data Processing
Information may be processed or stored in the United States or other locations where Collision Sync or its service providers operate.
Privacy and data-protection laws may differ from those in your location.
Where required, appropriate safeguards will be used for international data transfers.
