The CitySA Constitution lays out the rules underpinning how the Students’ Association is run. These rules should guide how you carry out your role, so do take the time to familiarise yourself with it. The SA team will be happy to help with any questions.
All staff and student members should be familiar with their Health & Safety responsibilities and Fire drill protocol.
For some of our work, we are required to carry out Risk Assessments: take a look at our How-to Guide for a step-by-step look at how to complete one. The SA team will also be happy to support you.
The SA is guided by the College's Safeguarding policy, which lays out our responsibilities to protect all students, including children, young people and vulnerable adults.
As a representative of the SA, it is always better to be cautious: if you have any concerns - no matter how small - about the welfare of a student, report them to an SA staff member.
In many SA roles, you will need to collect students’ personal data - through registers, for example. The College's Data Protection Policy requires that this information is kept secure and up to date.
The following should cover most of your work, but if in doubt please ask an SA staff member for help:
If you are working with hard copies (e.g. hand- written registers or sign-up forms), they should be handed into the SA office as soon as possible for safe storage.
If you are working with digital information, it should be saved in a secure space such as a password-protected drive. You must never transfer personal data onto a mobile device, including a USB stick. All data must be passed over to staff before the end of the year.
The SA has a set amount of money to spend each year. Take a look at the SA constitution to see how we make decisions about how and where we spend.
Your role will sometimes require you to spend, for example on food and decorations for an event or on resources for a workshop. If you need to make a purchase, please speak to the SA Coordinator as soon as possible as it can take a few weeks to get final permission. This is because, per the College's Procurement procedure, we can only buy items from Management-approved suppliers. If you need to buy from a supplier who is not on the list, we need to request approval: the whole process can be time-consuming!
The SA has a responsibility to represent all students, which means our activities must be accessible and welcoming to all. To support you in doing this, familiarise yourself with the basics by completing the Equality, Diversity and Inclusion module on MyCity. We also recommend you take a look at the College's EDI Policy to understand how it should guide your work.
When planning SA events, we carry out Equality Impact Assessments (EIA) to ensure we are meeting EDI requirements. The SA team will let you know if your work requires an EIA, and support you in completing it.
