Privacy Policy for CIB OMS

CIB OMS (“the App”) is developed and maintained by the Cambodian Investment Board (CIB), which is an official government institution and one of the three operational arms of the Council for the Development of Cambodia (CDC). The CIB is a government sector responsible for investment policy and facilitation in Cambodia, working to serve officials within the organization.

2. Information We Collect

The App collects and processes the following types of information:

• Personal Information: Name, email address, phone number, profile photo, and organizational role.

• Attendance Data: Check-in/check-out times, location data (for attendance verification), and attendance history.

• Leave and Meeting Records: Leave requests, approvals/rejections, meeting schedules, and related remarks.

• Device Information: Device type and operating system for technical support and security.

• Uploaded Files: Images, PDFs, CSVs related to attendance, permissions, or meetings.

• Usage Data: Logs of app activity for troubleshooting and analytics.

• Telegram Usernames: For notification delivery via Telegram bot.

3. How We Use Your Information

Your information is used to:

• Authenticate users and manage secure access to the system.

• Record and verify attendance using QR code and geolocation.

• Process leave requests and approvals.

• Schedule and notify about meetings.

• Generate reports for administrative oversight.

• Send real-time notifications via Telegram bot for attendance, leave, and meetings.

• Improve app functionality and ensure system security.

4. Information Sharing and Disclosure

We do not share your personal information with third parties except:

• Within the CDC/CIB: For administrative and HR management purposes.

• Service Providers: To facilitate Telegram notifications and cloud hosting, with strict confidentiality agreements.

• Legal Requirements: If required by law or government authorities.

We do not use your data for advertising or share it with commercial third parties.

5. Data Security

We implement appropriate technical and organizational measures to protect your data, including:

• Secure cloud hosting and encrypted communication.

• Role-based access control to restrict data access.

• Regular security audits and updates.

6. Data Retention and Deletion

• Data is retained as long as required for HR management and legal compliance.

• Users may request deletion of their personal data or account by contacting the CIB IT Department (see contact below).

• Upon account deletion, all associated personal data will be removed unless retention is required by law.

7. User Rights

You have the right to:

• Access your personal data and attendance records.

• Request correction or deletion of your information.

• Withdraw consent for certain data processing (where applicable).

8. Children’s Privacy

The App is intended for use by officials of the Cambodian Investment Board and is not directed at children under 18.

We may update this Privacy Policy from time to time. Changes will be communicated via the App and updated on our website.
