This Privacy Policy explains how the CapFlow mobile application ("CapFlow", "the app", "we", "us", or "our") handles information when you use it.

In short: CapFlow is a privacy-first app. Your videos and the speech in them are processed entirely on your device — they are never uploaded to us or anyone else. We do not require an account, and we do not collect your name, email, contacts, location, camera, or microphone. The only data collected is what our advertising partner (Google AdMob) needs to show ads, anonymous usage and crash-diagnostic data, and standard technical data needed to download the speech-recognition model and to process in-app purchases.
This policy applies to the CapFlow app distributed through the Google Play Store. It does not apply to any third-party services, websites, or apps that CapFlow may link to or interact with, which have their own privacy policies.
CapFlow is designed to minimise data collection. We do not:
Collect, upload, or store your videos or audio on any server. All captioning and translation happens on your device.
Require you to create an account or sign in.
Collect your name, email address, phone number, or contacts.
Access your device's camera, microphone, or precise/approximate location.
Access your general photo/media library — you choose a single video through the system photo picker or file selector, which does not grant us access to your other files.
The following data is created and stored locally on your device and is not transmitted to us:
Your video projects and captions: The text, timing, and styling of the captions you generate or edit, stored in the app's local database.
App settings: Such as your theme, default caption style, default export quality, and translation preference, stored in local app storage.
The speech-recognition model: A machine-learning model file the app downloads once and stores locally to perform on-device transcription (see Section 4).
This on-device data is removed when you delete a project, clear the app's data, or uninstall the app. Exported caption files (videos, .srt, or .vtt) are saved or shared only when you choose to do so, to the destination you select.
To provide certain features, CapFlow connects to the following third-party services. When it does, standard technical information such as your device's IP address may be processed by those services to complete the request.
CapFlow displays ads through Google AdMob (Google Mobile Ads SDK). To serve ads, AdMob may collect and process:
Your device's advertising identifier (Advertising ID) and other device identifiers;
IP address and coarse location derived from it;
App interaction and diagnostic data related to ad delivery and performance.
Where required by law (for example in the European Economic Area, the United Kingdom, and Switzerland), CapFlow shows a consent form (via Google's User Messaging Platform) before personalised ads are served, and lets you change your choice at any time from Settings → Privacy → Manage ad privacy options. You can also limit ad personalisation or reset your Advertising ID in your device's system settings.
Google's handling of this data is governed by the Google Privacy Policy and How Google uses information from sites or apps that use our services.
If you purchase CapFlow Pro, the transaction is processed by Google Play Billing. We do not receive or store your payment card details. Google processes your purchase and provides us only with confirmation of your entitlement. See the Google Play Terms of Service and Google Privacy Policy.
The first time you caption a video, CapFlow downloads a speech-recognition model file from our content delivery network, which is managed by a third-party hosting provider. This is a one-time download of a public model file; no information about you, your video, or your audio is sent in the request. To deliver the file, our provider may process standard connection data such as your IP address and request time.
If you use the translation feature, CapFlow uses Google ML Kit to translate captions on your device. To do this, ML Kit may download language model packs from Google. The text of your captions is translated locally and is not sent to Google for translation. See the Google Privacy Policy and the ML Kit Terms.
CapFlow uses Google Analytics for Firebase and Firebase Crashlytics to understand which features are used and to detect and fix crashes and errors. These services may collect app-interaction events (for example, when a caption is created, exported, or a purchase is made), device and installation identifiers, your IP address and the coarse location derived from it, and crash and diagnostic information such as stack traces. This data is used only to improve the app's reliability and experience; it never includes your videos, audio, or caption text. Analytics and crash reporting are enabled for all users. Google's handling of this data is governed by the Google Privacy Policy.
To provide its core functionality, CapFlow only requests standard system permissions. We use these standard permissions to:
Access the internet to download the speech-recognition model, translation language packs, and to show ads.
Run background processes to ensure your video transcription and exports continue reliably even if you temporarily leave the app.
Send optional notifications to update you on transcription or export progress.
Connect to Google Play to process in-app purchases.
Permissions we do NOT request: CapFlow respects your privacy and is designed to function without accessing your sensitive device sensors. We do not request permissions to access your camera, microphone, precise or approximate location, contacts, or your broad storage/media library.
Information is used only to:
Provide the app's core features (on-device captioning, editing, translation, and export);
Download the model and language files needed for those features;
Display and measure advertising (unless you have CapFlow Pro or have declined personalised ads);
Process and restore in-app purchases;
Understand feature usage and diagnose crashes so we can improve the app's reliability and experience;
Respond to your support requests.
We do not sell your personal information, and we do not use your data for profiling beyond what our advertising partner does to serve ads as described above.
Where the EU/UK General Data Protection Regulation applies, we rely on:
Consent: For personalised advertising (collected through the consent form) and for optional notifications.
Legitimate interests: For delivering the app, downloading required model files, non-personalised ads, analytics and crash reporting to improve the app, security, and preventing abuse.
Contract: For processing in-app purchases you request.
We do not share personal information with third parties except:
Google (AdMob, Play Billing, ML Kit and Firebase Analytics and Crashlytics) and our third-party hosting providers (for model downloads), as described in Section 4, acting as our service providers or independent controllers for the purposes stated.
When required by law, such as to comply with a valid legal request.
On-device data (projects, captions, settings, the model file) is retained on your device until you delete it or uninstall the app.
Data processed by third parties (e.g., advertising and purchase data) is retained according to their own policies.
On-device data stays within your device's app storage, protected by Android's application sandbox. Network connections to our model CDN and to Google's services use encrypted (HTTPS/TLS) connections. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
CapFlow is a general-audience creator tool and is not directed to children under 13 (or the equivalent minimum age in your country). We do not knowingly collect personal information from children. Because CapFlow displays ads, it is not enrolled in Google Play's "Designed for Families" programme. If you believe a child has provided information through the app, contact us and we will address it.
Depending on where you live, you may have the right to access, correct, delete, or restrict the processing of your personal information, and to object to processing or withdraw consent. You can:
Manage ad consent at any time in Settings → Privacy → Manage ad privacy options.
Reset or limit your Advertising ID in your device's system settings.
Delete your on-device data by deleting projects, clearing the app's data, or uninstalling the app.

California residents (CCPA/CPRA): We do not sell your personal information for money. Sharing of identifiers for cross-context behavioural advertising is governed by your ad-consent choices and your device Advertising ID settings.
The third-party services we use (such as Google and our hosting providers) may process data on servers located outside your country, including in the United States. These providers implement safeguards for such transfers as described in their respective privacy policies.
The app relies on third-party services whose privacy practices we do not control. We encourage you to review their policies:
Firebase (Analytics and Crashlytics)
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide notice within the app or on our store listing. Continued use of CapFlow after changes take effect constitutes acceptance of the updated policy.
