CONSTITUTION OF THE DUNGEONS AND DRAGONS SOCIETY
PREAMBLE
We, the members of the Dungeons and Dragons Society, subscribing to the policies and regulations of Ball State University, do hereby establish this constitution to govern the matters within our organization.
ARTICLE I –Name
The name of this organization shall be the Dungeons and Dragons Society at Ball State.
ARTICLE II –Purpose
Section 1. Purpose Statement
The purpose of the Dungeons and Dragons Society shall be to provide an inviting place for fans of Tabletop RPGs to gather and play, as well as allow anyone who is new to the game to give it a try. The organization will also allow its members to discuss Tabletop RPG updates and be kept informed of any new developments from the companies that make them.
Section 2. University Mission
The purpose of [name of organization] supports the educational mission of the University and the Division of Student Affairs and Enrollment Services: to provide distinctive opportunities for student learning; develop innovative experiential programs that support student academic success, wellness, and personal growth; foster an inclusive, diverse, safe, and accessible campus community; cultivate individual, campus, civic, and global responsibility; and ensure opportunities for the development of leadership skills.
Section 3. Private Financial Gain
This organization shall not exist to provide access to campus resources for external entities, sell goods or provide services for commercial enterprises, or for the private financial gain of any of its individual members.
ARTICLE III – Membership
Section 1. Membership Eligibility.
Membership in the Dungeons and Dragons Society shall be limited to Ball State University faculty, staff, and students currently enrolled at the University.
Section 2. Non-discrimination Policy.
The Dungeons and Dragons Society shall not discriminate against any individuals by refusing membership based on age, race, color, gender, religion, national origin, physical or mental disability, sexual orientation, or military status.
Section 3. Membership Responsibilities.
Members of the Dungeons and Dragons Society shall attend meetings biweekly meetings each semester.
Section 4. Revocation.
A quorum of three-fourths of the voting membership must be present in order to request the expulsion of a member or officer, with a majority vote needed to carry the decision. Members of the Dungeons and Dragons Society may be expelled from membership for conduct deemed inappropriate by club officers or via numerous complaints made by fellow society members.
Section 5. Resignation.
If a member wishes to resign from the organization voluntarily or resign from an officer position, they shall submit their resignation in writing to the President or Vice President of the organization.
Article IV – Officers
Section 1. Elected Officers.
Elected officers of the Dungeons and Dragons Society shall be President, Vice President, Treasurer, Secretary, Webmaster, and Head DM. A quorum of three-fourths of the active membership must be present in order to elect these officers, with a majority vote needed to pass the vote. Elected officers shall serve a term of one academic year, at which time new officers will be elected.
Section 2. Officer Duties.
A. President
1.Shall serve as chief executive, and exercises responsibility for the administration of all club business.
2. Shall preside over all club meetings, ensures the financial and administrative integrity of the club, and acts as principal liaison between the club and Ball State University.
B. Vice President
1. Shall assist the President in the management and direction of the club by providing advice and counsel, and by participating in policy and procedural decisions.
2. Shall perform all of the duties of the President in his or her absence.
C. Treasurer
1. Shall receive all dues and other monies paid to the club, and disburses club funds in a timely payment of all bills owed. Maintains appropriate accounting records reflecting financial transactions and the financial condition of the club.
D. Secretary
1. Shall assist the President by providing advice and counsel, as well as participating in policy and procedural decisions.
2. Shall keep all minutes and records of the meetings of the membership and of the Executive Board. Issues notice of all meetings, and furnish the Community Association with periodic or special reports, as necessary or required. Conducts correspondence relating to the club; ensures that the Secretary’s records are retained for three years and, upon leaving office, passes the records to his or her successor.
3. Shall plan and coordinate clinics and make sure they run smoothly.
E. Webmaster
1. Shall run the club’s social media accounts, and the club’s website
2. Shall oversee the Club’s office email account.
Section 3. Executive Board.
The President, Vice President, Treasurer, and Secretary, and Webmaster shall serve as the executive board for the Dungeons and Dragons Society. This board will deal with revoking membership statuses, designating the equipment used by the club, and deciding on issues deemed important by the President or Vice President.
Section 4. Advisor.
The Advisor of Dungeons and Dragons Society shall be the club liaison to the Office of Student Life.
Section 5. Removal of Officers.
A quorum of three-fourths of the active membership must be present to conduct a vote to request the resignation of an officer, with a majority vote needed to pass the vote.
ARTICLE V – Meetings
Meetings will be held biweekly. Specific dates and times will be determined by the members of the Executive Board on a year-to-year basis. At least one half of the total voting membership must be present in order to conduct business in a regular meeting setting, two of whom must be officers.
ARTICLE VI – Rules and Organizational Procedures
Section 1. Quorum
A quorum of ¾ of the members is required for all meetings and is the minimum number of members who must be present in order this organization to conduct business.
Section 3. Parliamentary Authority
This organization will observe the following rules of order for meetings:
The rules contained in the current edition of Robert’s Rules of Order shall govern the Dungeons and Dragons Society. In the event of conflict concerning proper rules of procedure, Robert’s Rules of Order will serve as the recognized authority.
Article VII– Finance
Section 1. Dues
The dues for members of this organization shall be paid by:

Section 2. Financial Responsibility
The Dungeons and Dragons Society shall be solely responsible for management of its finances in compliance with the rules and regulations prescribed by Ball State University, and any applicable local, state and federal laws.
Article VIII – Campus Advisor
Section 1. Qualifications
The advisor of Dungeons and Dragons Society shall be a full time faculty or professional staff member currently employed by Ball State University. The Advisor will also serve as a liaison to the Office of Student Life.
Section 2. Resignation and Removal
The campus advisor may resign at any time by written notification to the chapter president and the Office of Student Life. In the event that the Campus Advisor fails to meet the organization’s expectations the following procedure shall be taken for removal of office. The Executive Board shall notify the organization at a meeting consisting of at least two-thirds (2/3) of all active members. The membership will hold a vote of confidence for the Campus Advisor. If the Campus Advisor receives a vote of “No Confidence” from two-thirds (2/3) of the membership, the Campus Advisor will be notified in writing and shall be removed from advising the organization.
Section 4. Advisor Vacancy
In the event of a resignation or vacancy within the position of campus advisor, no business shall be conducted until a new campus advisor has been appointed by the organization and approved through the Office Student Life.
Article IX – Amendments and Revisions
Section 1. Amendment Procedures
In order to amend this constitution, the following process will be followed:
(1) Any proposed amendment(s) must be presented in writing to the membership at the meeting preceding the meeting where the amendment vote will occur, (2) discussion should occur at a full meeting, (3) a vote for acceptance shall occur at the following meeting, (4) the amendment(s) shall become part of the constitution upon a 2/3 vote of what proportion of membership or quorum.
Section 2. Revisions
This constitution shall be reviewed for revisions at least every fourth year by the Executive Board of The Dungeons and Dragons Society. A quorum of three-fourths of the voting membership must be present in order to conduct a vote to pass revised constitutions with a majority needed to pass the vote.]
Article X – University Policy Agreements
Section 1. Code of Student Rights and Responsibilities
This organization and its individual members are expected to comply with the Code of Student Rights and Responsibilities (which governs both on and off-campus conduct by individuals and student organizations), the terms of the Student Organization Handbook, and all university policies, and federal, state and local laws.
Section 2. Hazing
Hazing is prohibited under the Code of Student Rights and Responsibilities. The University Hazing Policy defines hazing as any mental or physical requirement, request, or obligation placed upon any person (including but not limited to a pledge, associate member, affiliate, prospective member, guest, initiate, or team member) which could be harmful to the health and/or welfare of the person, or which is personally degrading to the individual involved, or which has an adverse effect on the academic progress of the person, or which violates any federal, state, or local laws or University policy. Individual acceptance of or acquiescence to any activity covered by the foregoing definition in no way validates or excuses the activity.
Section 3. Sexual Misconduct
Sexual misconduct, including harassment and discrimination, is prohibited under the Code of Student Rights and Responsibilities, and Sexual Misconduct policies.
Section 4. Weapons
Possession or carrying weapons of any kind while on University property, regardless of whether an individual is licensed to carry the weapon or not, is prohibited. In addition, possession of weapons is prohibited from student organization activities on or off-campus.
Section 5. Annual Recognition Update
This organization shall at all times maintain with the Office of Student Life current officer, advisor and membership information, and the most recently amended constitution.
