Brantingham Village Hall Terms and Conditions of Hire
· It is understood and agreed by both parties that the said booking is considered a ‘private’ transaction.
· All payments payable direct: Sort Code: 40-42-25 Account 30183431 or separate cheque are subject to the conditions set out below. Payments should be payable to ‘Brantingham Village Hall’ with the bank card details on the back. Please email brantinghamvh@gmail.com to confirm payment.
· Deposits will be returned upon satisfactory completion of the hire contract. Deductions will be made against loss, damage, additional cleaning requirements, unacceptable conduct by attendees by way of noise or nuisance. Any damage exceeding the value of the deposit but must be paid for in full.
· Full payment for all bookings must be made prior to the event and sent by BACS or cheque as above.
· Confirmation of bookings is conditional upon the return of a signed booking form.
· The person responsible for the booking must be in attendance at all times during the function/event.
· Third party providers of entertainment, catering etc. must be aware of these terms and conditions and have their own insurance and appropriate qualifications as applicable.
· Persons using the Hall must observe the fire regulations in place at the time of the booking. These can be found in the Fire Plan displayed in the Hall. The Fire Plan will also be emailed to you if an email address is provided. Fire drills should be carried out as appropriate.
· Persons using the Hall must leave the premises in a quiet and reasonable way at the end of the function.
· Persons using the Hall must confine their activities within the building and act in a reasonable way regarding noise pollution.
· All waste must be taken away by the persons hiring the Hall.
· All furniture must be returned to the storeroom as indicated in the photographs.
· No items should be pinned or stuck to any walls, ceilings or woodwork. Hooks are available for general decorations.
· The hall should be cleaned and returned to the condition it was originally found in. The floor should only be cleaned as instructed.
· On leaving the hall all heating must be switched off or returned to original settings as instructed and doors locked.
· If for any reason the Hall becomes unavailable due to circumstances beyond the Committee’s control, the Committee undertake to advise the person responsible as soon as is practicable.
· The Committee can accept no responsibility with regard to cancellation by them, due to these circumstances.
· In the event of Emergency Services being required 999 should be called and advised of the location at HU15 1QG.
· The Committee reserve the right to refuse bookings without explanation.
· The lighting of fires or BBQs within the Hall grounds is strictly prohibited.
· The inside of the hall is a no smoking area. Smoking is allowed to the side of the hall. The receptacles provided must be used for any used smoking materials
· Safeguarding – the hirer is entirely responsible for Child and Adult Safeguarding.
· Keys can be collected and returned on the day of the function/event by prior arrangement with the Booking Clerk.
· GDPR – in signing this form you agree to your contact details being retained in the Brantingham Village Hall Bookings’ Diary for the purpose of managing your booking. We have a legitimate interest as defined within the legislation.
The Village Hall Committee reserve the right to terminate the agreement before or during the function/event should the terms and conditions as set out above not be adhered to and complied with by the person responsible for the booking or the persons in attendance.
