Brain Plus Academy is committed to protecting your privacy. This Privacy Policy explains how your personal information is collected, used, and disclosed by Brain Plus Academy. This Privacy Policy applies to our website, and our associated subdomains (collectively, our "Service") alongside our application, Brain Plus Academy.

By accessing or using our Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy and our Terms of Service.

Information We Collect :

We collect specific information to provide, maintain, and improve the services offered by the Brain Plus Academy application. The types of information we collect include:

1.Personal Information:

- Account Credentials (All Users): To ensure secure access, all accounts (Administrators, Teachers, and Students) require an Email Address and Password for authentication. While accounts are initially provisioned by the coaching administration, users have the ability to securely update their own login email and password from within the app.
- Contact & Academic Details: We collect your Full Name, Phone Number, and role-specific data such as Academic Details (Class, Standard, Stream, and Enrolled Subjects for students) or Teaching Profiles (assigned classes and subjects for teachers).

2. Profile Data

Profile Media: Once your account is active, you may voluntarily upload a Profile Picture. This is optional and is used solely to personalize your user interface within the app.

3. Educational & Financial Data To support the comprehensive management and communication features of our coaching application, we process and store the following institutional data:

Financial Records: Fee reports (for students) and Salary reports (for teachers), including due amounts, payment status, and historical records.
- Note on Payments: The app does not process live financial transactions or link to your bank accounts. However, users may upload images or documents as "Payment Proofs" (e.g., screenshots of external UPI transactions) for the Administrator to manually verify.
Academic Records: Attendance logs, Test Scores, Examination Marks, and overall student performance data.
Administrative Records: Leave Applications submitted by students and teachers, Global Notices, and Class-specific notifications.
Course Content: Homework assignments, Class Notes (including images/PDF attachments), and Video Course data managed by the administration.

Device Permissions :

To provide core features, Brain Plus requires the following permissions. You can revoke these at any time via settings, though some features may stop working.

Notifications: Required to send you instant alerts regarding Fee Dues, Homework Assignments, Leave Approvals, Salary Credits, and important Admin Announcements.
Camera: Required to capture profile photos and take pictures of physical homework/notes for submission.
Storage (Read/Write): Required to pick images/PDFs from your gallery for uploads (e.g., homework, study materials) and to download resources provided by teachers.
Internet/Network: Required to communicate with our secure Firebase servers and stream educational video content.

How We Use Your Information :

To manage student and teacher academic records.
To facilitate class-specific communication and global notices.
To verify fee payments and manage salary disbursements.
To display educational videos and course content.
To send essential push notifications and in-app alerts regarding your account, attendance, fees, and classes.
To prevent fraudulent access to the application.

Third-Party Services :

We use third-party services to facilitate our Service. The specific providers we use include:

Google Firebase: We use Firebase for authentication (Email & Password), database services (Firestore), cloud storage (to securely store images and class notes), and server-side cloud functions. Firebase provides a secure, industry-standard infrastructure to keep your data safe.
YouTube API Services: We use YouTube's embedded player to deliver educational video content directly within the app. By utilizing this feature, users agree to be bound by the YouTube Terms of Service and acknowledge the Google Privacy Policy.

Data Security :

All personal data, including homework files, fee reports, and salary records, is transmitted over a secure SSL connection and stored on Google's Firebase servers, which utilize industry-standard encryption. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Retention & Account Deletion

1. Data Retention We retain your personal information, academic records, and financial history only for as long as your account is active and you are enrolled in or employed by Brain Plus Academy. Once your relationship with the institution ends, your data will be securely removed from the active application database.

2. Requesting Account Deletion You have the right to request the permanent deletion of your account and associated personal data at any time.

In-App Deletion: You can request account deletion directly within the app by navigating to your Profile > Security Settings > Request Account Deletion.
Manual Request: Alternatively, you may contact the Coaching Administrator directly to request the removal of your account.

3. The Deletion Process When an account deletion request is approved and processed by the Administrator, our automated systems permanently erase your data from our servers. This includes:

Your login credentials (Email and Password).
Your Profile Picture and personal identifiers.
Associated app data, including your Leave Applications, uploaded Homework/Class Notes, Fee/Salary records, and Test Scores.

Please note: While your data is permanently purged from the Brain Plus Academy mobile application and its associated cloud servers, the coaching administration may retain offline copies of certain administrative or financial records strictly for legal, accounting, or regulatory compliance purposes.

Children's Privacy (COPPA & Families Policy Compliance)

Our Service allows access to educational content for students of various ages, including children under the age of 13. We are fully committed to complying with the Children's Online Privacy Protection Act (COPPA), Google Play's Families Policy, and Apple’s App Store guidelines for kids.

Educational Use Only: We collect and process personal information from children (such as Name, Class, Test Scores, and uploaded Homework) strictly for educational and coaching management purposes. We absolutely do not use this data for advertising, marketing, profiling, or behavioral tracking.
Account Provisioning & Parental Consent: Student accounts cannot be self-activated by children. All accounts are either directly created or manually verified and approved by the Coaching Administrator. We rely on the educational institution (Brain Plus Academy) to obtain the necessary and verifiable offline parental consent (e.g., via physical admission forms or offline enrollment) before a child is granted access to the app.
Parental Rights & Control: Parents or legal guardians maintain full control over their child’s data. You have the right to review your child’s personal information, request its deletion, and refuse further data collection. This can be done by triggering the "Request Account Deletion" feature within the app's Security Settings, or by contacting the Coaching Administrator directly.
Data Safety & Sharing: All student data, regardless of age, is encrypted and stored securely on Google's Firebase infrastructure. We do not sell, rent, or share student personal information with third parties unless legally required to do so, or strictly necessary for the app's core educational functionality (such as utilizing secure cloud storage).

Changes to This Privacy Policy :

We may update our Privacy Policy from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page.
