General planning communications
Evaluations - Evaluations have been key in program improvement. We found that the frequency and length of the survey matter in receiving responses to make improvements.
2. Curriculum and Content - The Digital ID research sprint website (https://brk.mn/DigitalID) gives you a better idea of planning and format that goes into a research sprint. This site also includes sample assignments (e.g., pre-work) in the Sessions section.
These are messages related to the meeting sessions of the Sprint. These were typically sent out in an agenda-type format.
a) Pre-session emails to session leads and speakers - Example
This is a critical communication component for a successful sprint session. This email should highlight participation logistics like Zoom information, session activities, and also confirm any readings or pre session activities for participants. Ideally, this comm should be sent before the pre session email to participants and at least two working days prior to the session.
b) Pre-session emails to participants - Example
This email can be used to highlight pre session readings and distribute the session agenda. This type of comm can be replaced by something like a dedicated Slack channel.
c) Follow up emails to participants - Example
Like the above email, this comm can also be replaced by something like a dedicated Slack channel. Typical content can include presentation materials (e.g. slides), highlighted papers or articles, any potential session activity outputs. In certain cases, it may be helpful to coordinate this comm with session leads and speakers.
d) Post-session Thanks Yous to leads
This can be a simple follow-up email with session leads and speakers thanking them for their time and effort.
These are comms used to communicate with potential participants and speakers during the planning stages of the spring.
a) Invitations for Prospective Participants to Apply - Example
This communion invites nominated applicants to apply for the Sprint. It is only used if a nomination-only type of application process is being used.
b) Interview Scheduling and Process - Example
This is a lengthy logistics email explaining the interview process to candidates selected for interviews. Depending on your application process, some tweaks may be needed.
c) Invitations to participants to confirm their acceptance - Example
This is the “acceptance letter” to participants informing them they have been accepted into the Sprint and asking for their confirmation of commitment.
d) Invitations to session leads
This is an email to a Sprint program staff member inviting them to serve as a session lead.
