Policies and Procedures

Permission to examine materials in archives is granted when a patron has registered with the archivist. Registration forms will become part of the permanent record of the department. Sign-in will always be required at each subsequent visit.

  • All materials must be used in the Archives area.

  • Neither food nor drink is allowed in the archives area.

  • The library is a smoke-free building.

  • All backpacks, purses, or other carrying cases must be stored in an area designated by the archives staff.

  • All personal property brought into the reading area of archives is subject to inspection upon leaving.

  • Pencils and laptop computers only for note-taking. Pens, markers, and scanners may not be used in the Archives.

Care must be taken in handling all archived materials. If you feel something is misplaced or missing, please consult immediately with the archives staff.

  • Avoid leaning on, writing on, or writing over documents.

  • Avoid folding, tracing, fastening with paper clips, or handling material in any way likely to damage it.

  • Avoid using post-it type markers.

Limited photocopying is available at 10 cents per copy. The Archives reserves the right to limit copies made and to refuse to copy an item deemed fragile or any material, which in our judgment would involve violation of copyright law. Researchers must agree to acknowledge the Bennett College Archives as holding the original document. A credit line must appear directly beneath an image published or reproduced. Researchers agree not to duplicate documents for sale.

Circulation Policies

Materials in Archives cannot be taken outside the Archives area.

Researchers may check out up to 4 boxes/materials at a time.

Material cannot be retrieved after 4:00 p.m. Monday through Friday.

Archives are open Monday-Friday 9 a.m. to 5 p.m. appointments encouraged.

Duplication Agreement

Copying manuscripts, photographs, and archival media are subject to the following conditions:

Copies are made for reference and research only. Permission to publish from copies must be requested in writing. When editing an entire group of manuscripts for publication, permission should be requested and received prior to making a request for copies. The Library reserves the right to limit the number of copies. Since clear copies cannot always be made from the original materials, copies and permitted at the discretion of the archives staff.

Warning concerning copyright restrictions:

U.S. Copyright Law governs the making and use of most photocopies and other reproductions of copyrighted materials. Fair use under U.S. copyright Law (Title 17, U.S.c.) permits reproduction of single copies of selected items for personal research and private use. Further transmission, reproduction, or presentation (such as public display or performance) of protected items requires the written permission of the copyright owners. More information can be obtained from the U.S. Copyright Office. Additionally, the reproduction of some materials may be restricted by terms of gift, privacy and publicity rights and/or licensing and trademarks. The nature of archival collections means that copyright status or other information about restrictions may be difficult or even impossible to determine. It should be noted that in most cases the Library does not own the intellectual right to materials in its collections. Whenever possible, the Library provides information about copyright owners and restrictions in catalog records, finding aids, and other texts that accompany collections. The Library provides information as a service to aid researchers in determining the appropriate use of an item, but that determination ultimately rests with the patron.

Images, texts, transcriptions, and/or recordings reproduced in this document may be protected by copyright. Users who contemplate reproducing materials for other than private use should make an additional effort to determine ownership and if restricted, seek permission before reproducing. The Thomas Holgate Library Archives will appreciate receiving a copy of any paper, article, or other work that's made of any records requested from the Archives.


Citation Information

When citing materials, the proper acknowledgment should be given to Thomas Holgate Library Archives, Bennett College.

The citation is as follows:


[Item Name], [Name of Collection], [Collection Number]. Bennett Archives at Thomas F. Holgate Library, Bennett College.


This will properly credit Bennett College for the use of the Archival Materials.
