Volunteer Assignments

Thank you all so much for helping us make this event great for all of the participating bands and spectators of New Mexico!  Please use the contact form if you have any questions about your assignment.  Don't forget about the volunteer walk through Wednesday 10/19 at 6pm (we will meet in front of the band room).

Assist with Breakfast & Lunch:

Breakfast: bagels, coffee and orange juice

Lunch: Dagmar's Bakery Box Lunch- turkey or ham sandwich, bag of chips, cookie and one drink: a cup of coffee, soda or bottle of water

Mr. Bott is picking up the Pinon Coffee for Lunch

Volunteers in the area will sort, fill the wagons and student runners will deliver lunch to each station

Once the last of the Volunteers has checked in and lunch has been cleaned up after, this station can hang out unless needed.  Tear down once Cleveland High has checked in and is on the Practice Field and can then follow our kids to the Stadium.

Water Plan:

The football boosters will fill 3 jugs for each table.  Kelley will make sure each table has her cell number to text when they need more ice or get through 2 and 1/2 jugs and need a refill, and she will coordinate the boosters

Practice Field Plan:

Will have a schedule on hand, will direct a band to the right half of the field, and the next to the left side of the field, each for 30 minutes and repeat

Will have a sheet of all the directors in order, when they present their ID cross them off, hand them their package of information.  If they have any merch, Amanda will hand it to them and mark them off her list.

WHEN OUR KIDS LEAVE THE PRACTICE FIELD FOLLOW THEM TO THE STADIUM

Bus Parking/Traffic:

Traffic Plan:

1 at entrance directing buses straight in, volunteers to the right, and lunch to the left.  Food delivery will drive and park next to the table.

WHEN OUR KIDS LEAVE THE PRACTICE FIELD AND ALL VOLUNTEERS LEAVE THIS WHOLE BAND SIDE TO FOLLOW TO STADIUM, THE EXCEPTION IS AT LEAST ONE TRAFFIC DAD.  PLEASE KEEP ONE BAND DAD AT THE ENTRANCE TO KEEP PEOPLE FROM COMING IN.  ONCE AWARDS ARE OVER, THE BANDS WILL BOARD THEIR BUSES AND LEAVE

Photography Plan:

The bands will exit the stadium and walk to the auxiliary gym and the team will escort them in and out.

NO PARENTS WILL BE FOLLOWING- EXCEPT DESIGNATED CHAPERONES- TO BUY/ORDER THE PICTURES.  We will have the link for the photographer's website at the merch table and outside the gym area

Main Parking/Traffic:

Parking Plan: 1 volunteer at round-a-bout directing traffic, 1 volunteer at entrance directing equipment trucks to the right into the "Senior Parking" lot and directing attendees to the left into general parking.  1 exception: Organ Mountain will come with a semi, park this up the middle lane.  Equipment will offload, props will be pushed up through the visitor's entrance onto the field.  And then out the home and to their trucks to be taken down and put away.  They can repark to a separate location for tailgating

Port-0-Potties will be located on the side of the gym facing the basketball court.  

1 Dumpster will be located in the middle lane

Gate Keeper:

Visitor Gate: Stephen Lopez all day until props and Brandon Mosley all day until props

Home Gate: George Ottesen all day, Danny Montes all day until props and Weldon Phillips all day until props

Hopefully we will get in ROTC Cadets to take over these posts

Gate Plan:

Stand at the gate, open to let the bands and props in, open to let them back out and keep all attendees out.  Only official BAR workers and band workers are allowed in.

Stadium (if no MCROTC student volunteers) Crowd Control:

"Will Call" for those that purchased tickets online will accept the receipt shown on phone or printed and give them a ticket

Entrance volunteers will ask to see their ticket but will not take it, stamp or give anything to the attendees.

Merchandise Plan:

Sarah and Valerie will be taking money and cards while everyone else puts items in bags.  Individuals pre-ordered merch will be bagged and tagged and under the table to be handed out to parents.  Videography will be sold at this table and photography ordering information will be  here as well.

Trophies:

Trophy Plan:

Arrange trophies on tables, will hand trophies to Dr. Schmidt to award to the bands during awards ceremony

Band students will get assignments from Mr. C upon arrival

We are still waiting to hear how many (if any) NHS and ROTC student volunteers we will have.
