The data held typically includes:
Personal detail, emails, address, phone numbers, your provided medical information, your provided emergency contacts, and the days you attend the group (if applicable). Note: we do not hold any financial details of members.
Event sign in forms.
Answers to surveys, questionnaires, interviews, etc.
Photos and videos, typically for publicity and reports.
Where the data is stored:
Electronic data is held in a password protected Google and/or Microsoft account.
Physical data is scanned to become digital data (see above) and then securely destroyed.
Access is controlled and provided to those that need it, which is typically just the group committee members who undertake membership duties.
What the data is used for:
Communication with members of the community group.
Communication with members' named emergency contact. Please note that any medical information members have supplied will only be used or released in the event of a medical emergency.

Data will only ever be used by the community group the member is associated with.
Data will not be shared between community groups.
Data will not be shared with third parties (medical emergencies are the only exception to this - please see previous section).

Data is only held only on current members of the community group as long as they are current members.
Data on lapsed members is deleted approximately every six months.
Members will be asked to reconfirm their data, and their agreement to hold the data, approximately every twelve months.

Photos and videos, typically for the lifetime of the group.
Physical data will be destroyed securely.

The right to complain to the ICO (Information Commissioners Office) if you believe there is a problem with the way your data is being handled.
