By using the Automated Presence & Feedback App or Website ("the App"), you agree to the terms of this Privacy Policy. If you do not agree with the terms, please do not use the App.
The Automated Presence & Feedback App collects only the information necessary for organizational operations and system functionality. This may include:
Employee/staff identification data (e.g., name, ID, department, designation)
Login credentials (such as username and encrypted passwords)
Attendance records
Location data (see Section 2 for full details)
Feedback data submitted within the system
Basic system usage logs for security and performance purposes
We do not collect unnecessary personal information unrelated to attendance, feedback, or organizational management.
The App accesses your device's location — including when the App is closed or not actively in use — to support automated attendance tracking.
What we collect:
Precise (GPS) and/or approximate (network-based) location coordinates
When we collect it:
Foreground: When you open the App and manually mark attendance
Background: Periodically, even when the App is closed or not in active use, using a scheduled background task (Android WorkManager). This allows the system to automatically verify and record attendance-related location data (such as check-in/check-out or geofence entry/exit) without requiring you to keep the App open
Why we collect it:
To verify that attendance is being marked from an authorized organizational location
To automatically detect arrival/departure from a designated work site (geofencing)
To prevent attendance fraud (e.g., false check-ins from unauthorized locations)
To send periodic location data to our servers via API calls triggered by the background task, so attendance records stay accurate and up to date
How it's stored and shared:
Location data is transmitted securely to our servers via encrypted API calls
It is visible only to authorized administrators of your organization, for attendance verification purposes
It is not used for advertising, profiling, or any purpose unrelated to attendance management
It is not sold, rented, or shared with third parties, except as described in Section 5
Your control:
You may disable location permissions at any time through your device settings
Disabling location access may limit or disable automated attendance features, and you may be required to mark attendance manually, if permitted by your organization
The information collected is used only for legitimate organizational and system purposes, including:
Managing attendance records (including location-based verification)
Managing employee feedback
Authentication and secure login access
Improving system performance and reliability
Maintaining internal organizational records
Ensuring system security
Compliance with legal and organizational obligations
The Automated Presence & Feedback App is a restricted-access platform. Only authorized employees or staff members of registered organizations are allowed to log in. Public users do not have access to the system.
We do not sell, trade, or rent user data — including location data — to any third parties.
Information may only be shared in the following cases:
With authorized organization administrators (including attendance and location data, for verification purposes)
With trusted service providers who help operate the App (e.g., hosting or cloud infrastructure), under strict confidentiality agreements
When required by law or legal process (court order, government request, etc.)
We implement reasonable technical and organizational security measures to protect data, including:
Secure authentication systems
Access control mechanisms
Encrypted data transmission (including location data sent via API)
Data protection protocols
However, no digital system is 100% secure, and we cannot guarantee absolute security.
User data, including location data, is retained only as long as necessary for:
Organizational operations
Legal compliance
System functionality
Data may be deleted upon organizational request or account deactivation.
This App uses Android's WorkManager to periodically run background tasks that may access device location and communicate with our servers, even when the App is not actively open. This is required for automated, real-time attendance tracking. You will be asked to grant "Allow all the time" (background) location permission during setup, in accordance with Google Play policy. You may revoke this permission at any time in your device settings.
This application is not intended for children. The system is strictly for registered organization employees and staff members. We do not knowingly collect data from individuals under the age of 13.
We may update this Privacy Policy from time to time. Any changes will be posted within the App or Website. Continued use of the system after changes means acceptance of the updated policy.
