DevelopLogix ("we," "us," or "our") operates AutoLedger ("AutoLedger," "the App," or "the Service"), a vehicle and fleet management application. This Privacy Policy explains how we collect, use, store, share, and protect information when you use AutoLedger on Android and other supported platforms.
By creating an account or using the App, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Who This Policy Applies To
This policy applies to:
Personal users who track their own vehicles and expenses
Business and fleet administrators who manage multiple vehicles, drivers, and team members
Fleet members (managers and drivers) whose accounts may be created by a fleet administrator
If you are a fleet driver or manager, your fleet administrator may also control certain account settings and access permissions. Some data you enter may be visible to your fleet administrator as part of fleet operations.
2. Information We Collect
2.1 Account and identity information
When you sign up or sign in, we may collect:
Email address
Display name
Firebase user identifier (UID)
Email verification status
Authentication method used (email/password, Google Sign-In, or Apple Sign-In)
Subscription-related identifiers linked to your account
For fleet users created by an administrator, we may also store:
First and last name
Phone number (optional)
Driver license number, category, and expiry (optional)
Role (administrator, manager, or driver)
Assigned vehicle identifiers
Account status (active, locked, first-login flag)
We do not collect precise GPS location or continuous location tracking through AutoLedger. Places, routes, and addresses you enter are stored as information you provide manually.
2.2 Vehicle and operational data
Depending on how you use the App, you may store:
Vehicle or asset details (type, manufacturer, model, year, color, license plate, VIN/serial number, meter readings)
Vehicle photos
Log entries such as refueling, service, expenses, income, routes, and meter readings
Reminders and maintenance schedules
Driver profiles
Documents and compliance records
Inspection checklists and form responses
Custom catalogs (categories, gas stations, places, payment methods, reasons, fuel prices)
Budget, component, fuel price, and achievement-related data you choose to record
Most of this data is content you choose to enter. You are responsible for ensuring you have the right to store and process any personal or business information you upload, including information about drivers or third parties.
2.3 Files, photos, and attachments
On paid plans, you may attach photos or files to entries and documents. These files are stored:
Locally on your device
In the cloud (Firebase Storage) when you are signed in and using cloud-enabled features
We track approximate storage usage (total bytes used) to enforce plan limits.
2.4 Device and app usage information
We may automatically collect or receive:
App version and build number
Device type and operating system information through standard platform and SDK APIs
Local app preferences (such as theme, onboarding completion, and sync timestamps)
Notification and background task status needed to deliver reminders
Advertising identifiers and ad interaction data when ads are shown to free users (via Google AdMob)
Purchase and entitlement status through RevenueCat and Google Play Billing
We do not use AutoLedger to build a cross-app advertising profile beyond what is described in the Advertising section below.
2.5 Information from third-party sign-in providers
If you sign in with Google or Apple, those providers share limited account information with us (such as email address, name, and authentication tokens) according to your settings with those providers and their privacy policies.
3. How We Use Information
We use collected information to:
Provide, operate, and maintain AutoLedger
Authenticate users and manage sessions
Store and sync your vehicle, fleet, and financial records
Deliver reminders and local notifications
Enforce subscription tiers, usage limits, and feature access
Process subscriptions and restore purchases
Display advertisements to free-tier users
Send fleet welcome emails when an administrator creates a user account
Respond to support requests
Improve reliability, security, and performance
Comply with legal obligations
We do not sell your personal vehicle or fleet records to third parties.

When you create or use an account
Free-tier users can use the App locally without cloud backup. Paid plans unlock cloud sync, attachment storage, and related cloud features according to plan limits.
5. Cloud Sync and Fleet Access
5.1 Cloud sync
If you sign in and have an eligible paid subscription, your data may be synchronized to Firebase Firestore and Firebase Storage so you can back up and restore data across devices.
Sync operations require an internet connection. We store metadata such as last sync time and schema version to support synchronization.
5.2 Fleet and multi-user access
Fleet administrators may:
Create manager and driver accounts
Assign drivers to vehicles
View and manage fleet operational data within the App
Deactivate or lock driver accounts when downgrading plans or managing access
Fleet members use the App under the subscription and permissions set by their administrator. If your fleet account is locked or deactivated, you may be signed out and unable to access fleet data until your administrator restores access.
6. Third-Party Services
We use trusted third-party providers to operate AutoLedger. These providers process data according to their own privacy policies:

7. Advertising
Free-tier users may see banner and native advertisements served through Google AdMob. Paid subscribers generally do not see in-app ads.
AdMob may collect device identifiers, ad interaction data, and similar information to deliver and measure ads. You can learn more about Google’s advertising practices at https://policies.google.com/technologies/ads.
You may be able to limit ad personalization through your device or Google account settings.
8. Permissions We Request
AutoLedger may request the following device permissions:

You can deny some permissions, but related features may not work.
9. Data Retention
We retain information for as long as your account is active or as needed to provide the Service.
Local data remains on your device until you delete it, uninstall the App, or use in-app cleanup/account deletion features where available.
Cloud data is retained while your account remains active and while cloud features are in use.
Subscription records may be retained by Google Play and RevenueCat according to their retention policies.
When you delete your account, we attempt to delete associated cloud data, authentication records, and stored files as described in Section 10.
10. Account and Data Deletion
You may delete your account from Settings → My Account → Delete Account when signed in.
When an account owner or fleet administrator deletes their account, we use a secure cloud function to:
Delete Firebase Authentication credentials
Delete Firestore user data and related subcollections
Delete files stored in Firebase Storage under your user path
Delete fleet member accounts and associated cloud data created under that administrator, where applicable
Fleet drivers and managers generally cannot self-delete accounts that were created by an administrator. Those accounts must be removed by the fleet administrator.
Deleting your account does not automatically cancel an active Google Play subscription. You must manage or cancel subscriptions through Google Play.
Local data on your device may remain until you uninstall the App or clear app data manually.
11. Data Sharing
We do not sell your personal information.
We may share information only in these situations:
With service providers that help us operate the App (Firebase, RevenueCat, Google Play, AdMob, email delivery for fleet onboarding)
With your fleet administrator, if you are a fleet member using an admin-provisioned account
For legal reasons, if required by law, regulation, legal process, or to protect rights, safety, and security
In a business transfer, if ownership of AutoLedger changes, subject to this policy or a successor policy with notice where required
We do not share your private vehicle logs with other AutoLedger users except through fleet features controlled by your administrator.
12. Data Security
We use reasonable administrative, technical, and organizational measures to protect information, including:
Firebase Authentication for account security
Encrypted transport (HTTPS/TLS) for network communication
Access controls for fleet administration functions
Server-side account deletion workflows
No method of transmission or storage is completely secure. You are responsible for keeping your sign-in credentials confidential.
13. International Users
AutoLedger may be used in multiple countries. Your information may be processed in countries where we or our service providers operate, including the United States and other regions where Firebase and related Google services process data.
If you are located in the European Economic Area, United Kingdom, or other regions with data protection laws, you may have rights such as access, correction, deletion, restriction, portability, and objection, subject to applicable law. Contact us to exercise these rights.
14. Children’s Privacy
AutoLedger is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
15. Your Choices
You can:
Use the App without signing in for local-only features, subject to plan limits
Choose not to enable cloud sync by remaining on the free tier or not signing in
Manage notification permissions in device settings
Export a local JSON backup from the App
Update your display name in account settings
Request account deletion as described above
Manage Google ad personalization through Google/device settings
16. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this document. If changes are material, we may provide additional notice in the App or by other reasonable means.
Continued use of AutoLedger after an update means you accept the revised policy.
