The primary “office” or “location” of ASA is the Chair’s home address. The primary phone number is the Chair’s cell number. A home phone number is not used in case texting is needed to verify information.
The Treasurer’s phone number is used for Google accounts, accounting software, and access to bank accounts.
The Bookkeeper’s address is listed anytime a check needs to be mailed (e.g., paying tuition).

The addresses and phone numbers should be changed within one month of transitioning to new leadership.
ASA greatly values our relationship with the Seventh-day Adventist Church (aka the PAC) and is grateful they let us use their building each week. These building rules help us maintain our ongoing relationship and keep the building in great shape.
No climbing on tables, ladders, or any part of the building. No climbing on the fence or in the trees.
Do not enter the Sanctuary unless we have been given specific permission by the PAC. Do not enter the Sanctuary Loft if it is unlocked. Do not go into any part of the basement.
Outside doors should not be left propped open to help save the cost of heating & cooling the building.
No food or drinks other than water are allowed on any carpeted area. Food and drinks are allowed in the gym and kitchen. No food should be stored long term in the refrigerators.
Cooking is allowed in the ovens, on the stove, and the microwaves. All messes related to cooking should be thoroughly cleaned up, leaving the area cleaner than when it was found (including the floor). Avoid putting anything other than liquids in the sink (even though there is a garbage disposal).
Report any damage done to the building to the facilities committee immediately.
Each student at ASA is assigned a building cleaning job to do each week. These jobs include helping to set up the building in the morning, cleaning after lunch, or cleaning classrooms or main areas at the end of the day.
These jobs are assigned by the Facilities Committee based on students' schedules after registration has ended. Once assignments are made, the Facilities Committee sends the list to parents to check if any changes need to be made. Additional changes may need to be made after the Add/Drop deadline.
A list of jobs is posted each week with checklists for students to use. An announcement in Core during the first week of school can also be made. During the first week of school, the Facilities Committee trains students during lunch and after school how to do their jobs. Each week they oversee students as they do their cleaning jobs and work with those who may not be fulfilling their assignment.
The PAC provides keys that include a building key (that also opens classrooms and closets). There are also small keys that open the ASA storage cabinet.
Members of the Board of Director have stewardship over the keys, which are specifically managed by the Facilities Committee. All keys are collected at the end of the school year and kept by the Head of the Facilities Committee over the summer.
All outer doors should be locked when the person who unlocks the building in the morning arrives. If an outside door is found unlocked, the Head of the Facilities Committee should be notified immediately so she can inform our contact at the PAC that something may have happened.
The person who opens the building should take note of anything out of the ordinary or damaged so that it can be reported right away. This keeps ASA from being liable for damage done by anyone who has the used building before us.
At the end of the day, all lights should be turned off, and all classroom, closet, and outside doors should be locked and checked. Pay particular attention to outside doors from classrooms (room 5 & 6). Also check that the Sanctuary Loft is locked.
All students should be out of the building 15 minutes after the end of the last class after they complete their cleanup job. This allows the lock-up members of the Facilities Committee to check that the entire building is cleaned and locked by 30 minutes after the last class.

Events can be held at locations other than the PAC if the building isn’t available or a space at the PAC would not be large enough to accommodate the group. When an event is held off-site, those planning the event should strive to have the location be as centrally located as possible to be sensitive to drive times for members who live all over Utah Valley.
As a non-profit, ASA may be able to take advantage of meeting rooms that are provided for community non-profits.
ASA stores basic classroom, electronic, and cleaning supplies such as sharpies, colored pencils, glue sticks, scissors, quiz buzzers, garbage bags, and clorox wipes in the metal cabinet outside Classroom #3. A complete list of the supplies are located in the Infocenter on the website. Students are responsible for providing their own pen or pencil for class.
The facilities committee member assigned to the supply closet ensures that the supplies are usable and stocked at the beginning of the year. Supplies are stocked as needed.
Lost and Found items are also stored in the metal cabinet. Periodically, pictures of lost items are sent on slack to be claimed and shown to the students during Core. Unclaimed items are donated at the end of each semester or as needed.
The metal cabinet is used to store general supplies. Supplies used for specific classes are stored in the mentor’s homes.
When a class is not being taught but will be taught again, generally the last mentor who taught the class will store the class supplies in a bin at their home.
Several TVs are available for use. TVs are permanently in Room 3, 5, and 6. A portable TV can be picked up by the sanctuary door. The facilities committee moves it there each morning.
White board markers and erasers are available to use for class. They are available to be picked up in the kitchen and are stored during the week in the metal supply cabinet.
ASA considers all supplies less than $500 disposable so we don’t have to report them as assets to the State of Utah, as required by our non-profit status. Disposable supplies may still be stored for more than one year to be used in future years but are not required to be.
