Newcastle 2023-24 Parent Agreement
As e-signed on Google Form prior to enrollment
As school schedules change, we will remain dynamic to the needs of our families. We will strive to issue a 30-day written notice in advance of any change in the basic rate. However if schools change the schedules without sufficient notice, we may need to change our pricing as duration of care changes.
Parents who share custody and pay separately for days must each set up an account online to pay for days.
All payments must be made online, including late fees. No payments will be accepted at the Club Site or at Customer Service. If you payment is not received, we may fill that spot and there may not be space available for you to enroll for that time. Outstanding balances will interrupt service and place a hold on registration for all programs and classes offered by Auburn Area recreation & Parks district until paid in full.
The Club does not operate on closures due to severe weather, snow days, power outages, or other circumstances beyond the program’s control, and no credit or refunds will be issued for those days.
You will not send your child to our program if they are experiencing any of the following symptoms: Fever or chills • Cough • Shortness of breath or difficulty breathing • Fatigue • Muscle or body aches • Headache • New loss of taste or smell • Sore throat • Congestion or runny nose • Nausea or vomiting • Diarrhea. You must notify our staff ASAP if your child develops any of these symptoms.
Payments are due online by midnight by the due dates listed on the Club's calendar and website. Payments received after the due dates are considered late and will incur a $30 late fee. In addition, if payment is not received by the due date, the student will not be admitted to the Club until payment is made.
Days may not be changed or moved once payment is received. Parents will not receive credit or refunds for unused days or routine appointments except in the event of a medical illness or dental emergency with a doctor/dentist’s note stating specific dates his/her child may not attend.
The afternoon program closes at 5:30 p.m. This means that staff will be locking the door and exiting the building at 5:31 pm. There is a $1.00 per minute late fee beginning at 5:31 by the site clock. Payment of the late fee may be made on the Parent Portal of DayCareWorks and must be received by the next business day. Consistently late pick-up may result in a two-week notice of termination of child care.
Our program utilizes an electronic sign in/sign out procedure. Parents and authorized guardians will be issued a PIN for the system. Every person authorized to pick up your child will be required to use this PIN for check out. New authorized individuals can be added by contacting the Site Director.
Parents/authorized representatives receiving subsidized care must comply with regulations and procedures in a timely manner to ensure payment to the program. Failure to complete paperwork properly, communicate with staff in a timely manner, or to use service that is not approved will result in termination of care. The parent/authorized representative will be personally responsible for any payment that the subsidy agency does not cover.
Service may be terminated due to unpaid fees, consistent late pick-up, non-compliance with subsidy regulations and procedures, an unsatisfactory working relationship with parent and/or child, situations posing a health or safety hazard to themselves or others, removing a child from the Club without following our sign-out procedures. In the event of a health or safety hazard or outstanding fees, care will be immediately terminated.
If you want to be released from this agreement, you must give a 14-day notice in writing to the Site Director stating that you are withdrawing from the program. Failure to do so may incur fees for that time period.
Our program may offer afternoon snack. If preferred, or if your child has an allergy, you may provide nutritious snacks for your child. Lunch will need to be either provided by the parent or purchased through the school cafeteria. More information can be provided upon request.
The program requires that students enrolled are able to follow directions, treat other students and staff with respect, remain with staff at all times and are able to care for personal needs such as eating and toileting without assistance.
Students may not carry cell phones or bring smart watches to the program. Please bring a water bottle daily. Students may not carry medications, including over the counter. Leave ALL medications with the Director and complete a meds permission form. Backless shoes are not allowed; shoes must be safe for play.
