ADIRAJ ADA ("the App") is an enterprise workforce management application developed and maintained by Soil Soft Technologies Private Limited on behalf of ADIRAJ Group and its associated companies.
The App is intended for use by authorized employees, supervisors, HR personnel, field staff, and management. It is not intended for use by the general public.
This Privacy Policy explains what information the App collects, how it is used, how it is protected, when it may be shared, how long it is retained, and how users can request deletion of their personal information.
The App collects only the information necessary to provide workforce management, attendance, HR, recruitment, payroll support, and statutory compliance services.
Depending on your role and employment requirements, we may collect:

Date of birth
Gender
Photograph
Designation
Department
Factory or worksite assignment
Joining date and exit date
Mobile number
Email address
Residential address
Aadhaar number
PAN
UAN
ESIC number
NAPS/NATS apprentice registration information
Bank account details required for payroll processing
Nominee name and relationship
Employment and identity documents
Certificates and other documents required for employment or statutory compliance
Digital/on-screen signature captured for employment-related forms
The exact information collected may vary depending on the user's role and the requirements of the employer.
The App collects your device's precise location when you check in or check out of a shift.
Location is used to verify that attendance is being recorded at the assigned worksite or within the applicable geofence.
The App does not continuously track your location in the background and does not collect location when you are not performing an applicable attendance or worksite verification action.
The App may request camera access when you choose to:
Capture a profile photograph
Photograph an identity or employment document
Scan a document
The App does not access the camera without an action initiated by you.
The App may collect limited technical information such as:
App version
Operating system version
Device model
User/account identifier
Error information
Diagnostic information
This information is used to troubleshoot technical problems, maintain security, and improve application reliability.
If you enable fingerprint or face authentication for signing in, authentication is performed by the security system provided by your device.
The App does not collect, store, process, or transmit your fingerprint or facial biometric templates.
The App only receives confirmation from the device that authentication was successfully completed.
The App may use Google ML Kit and on-device machine-learning technology to recognize text from documents that you choose to scan.
OCR processing is used to assist with entering information into forms and reduce manual data entry.
Where OCR is performed on the device, the document image is processed locally for text recognition. Information extracted from the document may subsequently be submitted to our servers when you save or submit the relevant form.
Once submitted, the extracted information is handled in accordance with this Privacy Policy.
We use personal information only for legitimate workforce and employment-related purposes, including:
Recording attendance and shifts
Verifying attendance at assigned worksites
Managing leave and attendance requests
Maintaining employee and worker records
Recruitment and onboarding
Managing employee documentation

We do not sell your personal information.
We do not use your personal information for advertising.
We do not use your information to create advertising or marketing profiles.
Information submitted through the App is transmitted securely to our application servers and databases.
Employee documents and photographs may be stored using secure cloud/object storage infrastructure provided by our service providers.

Encrypted communication between the App and our servers
Access to employee information is restricted based on organizational roles and permissions.
Your information may be accessible to or disclosed to the following categories of recipients where necessary:
Authorized HR personnel, supervisors, payroll personnel, administrators, and management of ADIRAJ Group and its associated companies may access information relevant to their responsibilities.
Information may be provided to government departments and statutory authorities where required for legal, employment, payroll, social-security, apprenticeship, or labour-law compliance.
We may use trusted technology and infrastructure service providers for hosting, database infrastructure, cloud/object storage, application operation, OCR/ML functionality, and related technical services.
These providers process information on our behalf and are required to handle the information in accordance with applicable contractual and security requirements.
We may disclose information where required by applicable law, regulation, court order, governmental request, or other valid legal process.
We do not share personal information with advertisers or data brokers for their own purposes.
We take reasonable technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, loss, or destruction.

Secure authentication and session management

Aadhaar numbers and other sensitive identifiers may be masked in the App interface and generated documents, except where an authorized user is permitted to access them for a lawful business or statutory purpose.
No electronic transmission or storage system can be guaranteed to be completely secure. We nevertheless take reasonable measures to protect your information.
Employment and statutory records may be retained for the duration of employment and thereafter for the period required under applicable Indian laws, including requirements relating to:
Employment records
Payroll
Taxation
Provident fund
ESIC
Apprenticeship
Labour-law compliance
Other statutory or regulatory requirements
Information that is no longer required for a legal, statutory, contractual, security, or legitimate business purpose will be deleted or anonymized where reasonably practicable.
Subject to applicable laws and legitimate business or statutory requirements, you may:
Ask what personal information we hold about you
Request correction of inaccurate or incomplete information
Request deletion of your personal information where legally permitted
Request deletion or deactivation of your account
Raise a concern about how your personal information is handled
Withdraw device permissions such as location, camera, and notifications through your device settings
Please note that disabling certain permissions may prevent related App functions from working. For example, attendance check-in may not work if the required location permission is disabled.
Because ADA is an enterprise application provided through your employer, requests relating to employment records are generally handled through your organization's HR department.
ADA Workforce Management accounts are created and managed by ADIRAJ Group and its associated companies for authorized employees and personnel.
Users cannot independently create or delete their employment account through the App.
If you want to request deletion of your ADA account or personal information, you may:
Contact your organization's HR department; or

When submitting a request, please provide sufficient information to allow us to identify and verify your account, such as:

Employee ID
Organization or factory name
Contact information
Details of the information or account you want deleted
We will review the request and process eligible deletion requests in accordance with applicable law and our contractual obligations.
Certain information may need to be retained even after an account deletion request where required for:
Employment records
Payroll records
Taxation
Provident fund
ESIC
Apprenticeship records
Labour-law compliance
Legal claims or disputes
Fraud prevention and security
Other statutory or regulatory requirements
Where retention is legally required, the relevant information will be retained only for the applicable period and will be securely deleted or anonymized when it is no longer required.
Where deletion is legally permitted, applicable personal information will be deleted or anonymized within a reasonable period following verification and processing of the request.

The App may use trusted third-party technology and infrastructure services necessary for its operation.

Third-party service providers are used only for legitimate operational purposes and are expected to protect information processed on our behalf.
The App does not use Firebase Analytics, Firebase Crashlytics, or Firebase Cloud Messaging.
The App is intended for authorized employees, field staff, supervisors, and legally eligible apprentices.
The App is not directed toward children and we do not knowingly collect personal information from individuals below the minimum legal working age.
We may update this Privacy Policy from time to time to reflect changes in the App, our services, applicable laws, or our data-handling practices.
When we make changes, we will update the Effective Date at the top of this Privacy Policy.
Where a change is significant, we may notify users through the App or through other appropriate communication channels.
