SHIFT TASKS
Check and action any tasks on Gymflow.
Action leads—attempt a call and send the new lead email template.
Review the staff communications page.
Tidy the gym (restack weights, vacuum, check defibrillator light, ensure first aid kit is stocked, organise lockers).
Add ideas (socials, challenges, events) to the Google Drive “ideas” document.
Clean as needed.
OVERDUE PAYMENTS
Billing Day: Thursday, unless otherwise notified by the member.
Thursday morning: Email all members with overdue payments (Gym Flow: Users > Filter > Membership Status > Overdue > Apply > Select all users > Email icon > Failed payment template).
Friday: Attempt payment again and call if it fails. Leave a note if no answer or set a task if a payment time is agreed upon.
Monday: Email members with payments 5+ days overdue (use the template), then attempt a call again.
If payment is overdue the following Thursday, apply a $10 late fee under products.
After two weeks of no contact, email the member warning that their membership will be cancelled if the payment remains overdue.

CLASSES & AUDIO/MUSIC SYSTEM
Classes take place in the X room and last 45 minutes. Bookings are on the Gymflow calendar, accessible via the iPad in the X room cupboard.
Class examples are in the white folder in the X room cupboard.
Music System:
Gym music controls are under the admin desk. The control panel is on the large black monitor, and songs/playlists can be changed using the iPad in the cupboard.
X-Room Music:
Spotify playlists can be shared or created on the iPad. Clearly label them by class type or genre.
X-Room Timer:
The remote is in the cupboard. Use the keypad to click in the top right corner on 24fitx, select timers and customise as needed.
GIFT VOUCHERS & STOCK
Gift vouchers are in the top middle drawer of the admin cupboard. Stock is in the large brown box in the storeroom.
WIPES & CLEANING
Wipes are on the middle shelf in the storeroom, and cleaning supplies are on the bottom shelf. Use half a cup of sanitiser from the big drums (purple or yellow) in the storeroom to fill the bucket. Spray bottles are also available. Clean all machine parts, not just the seats and handles.
BINS
Leanne, the cleaner, empties bins on her scheduled days. If needed, empty bins into the public bin in the car park.
SPARE TIME TASKS
Check the "Social Media" document in the PPI drive (under “gym crew documents”) to research ideas for posts.
You can also take videos/photos in the gym for social media or prepare for upcoming classes. Upload content to the drive or send it to the manager.

Addison is going to get a weekly attendance report and if his clients aren't using their membership, he will ask for them to be removed. Therefore, you will need to add a member note of who is being removed and - $10 off the amount.
