This Privacy Policy describes how Ludo Mechanical ("the App"), used by VES Boys Basketball, collects, uses, and protects information entered by authorized users of the program.
Ludo Mechanical is a private, invitation-only application used exclusively by VES Boys Basketball program staff, student-athletes, and their parents or guardians. Access is granted only by a program administrator. There is no public registration.
The App collects the following information entered by authorized users:
• Account information — name, email address, and role (coach, manager, player, or parent)
• Player performance data — game statistics, practice statistics, shooting workout logs, and activity logs (lifts, court time)
• Academic data — grade snapshots and eligibility status imported from school records by program staff
• Physical assessment data — body composition results (InBody) and baseline fitness test results
• Recruiting information — college targets, division interest, and communication notes entered by coaches
• Scheduling data — practice and game calendar events
• Device tokens — used to deliver push notifications to your device
All data is entered manually by authorized program staff or student-athletes. The App does not access your contacts, camera, microphone, or location.
Information collected in Ludo Mechanical is used exclusively for:
• Tracking and supporting individual player development
• Monitoring academic eligibility for participation
• Managing the team schedule and communicating program updates
• Sending push notifications (daily prompts, schedule changes, activity reminders)
• Generating internal coaching reports for program improvement
Your information is never sold, rented, or shared with any third party outside of the services listed below.
Access to information is strictly role-based:
• Coaches and Administrators — full access to all player data for program management purposes
• Managers — read-only access to team statistics, roster, and schedule
• Players — access to their own data only
• Parents — access to their linked player's high-level progress indicators and eligibility status only; no access to detailed statistics or academic records
Ludo Mechanical uses the following third-party services to store and manage data:
• Google Firebase (Firestore, Authentication, Cloud Storage) — provides secure database storage, user authentication, and file hosting. All data is stored in Google's secure cloud infrastructure. Google's privacy policy is available at policies.google.com/privacy.
No other third-party analytics, advertising, or tracking services are used.
All data is stored in Google Firebase and protected by Firebase Security Rules, which enforce role-based access so users can only read and write data they are authorized to access. All data is transmitted over encrypted HTTPS connections.
Access to the App requires authentication via email and password through Firebase Authentication.
Ludo Mechanical handles educational records for student-athletes in accordance with the Family Educational Rights and Privacy Act (FERPA). Academic grade data is imported solely by program administrators and is accessible only to coaching staff. Parents have access only to eligibility status (eligible/not eligible) and no access to individual course grades or GPA.
Ludo Mechanical is operated by Virginia Episcopal School ("VES") and is subject to the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g. This application may collect and store student education records, including academic grades, athletic performance data, and physical development metrics, for use by authorized school officials with a legitimate educational interest.
Student data is stored securely using Google Firebase, a Google Cloud Platform service. Virginia Episcopal School maintains a Google Workspace for Education agreement with Google LLC, which includes a FERPA-compliant Data Processing Amendment governing the handling of student education records stored on Google's infrastructure.
Access to student records within this application is restricted by role. Only authorized school personnel (coaches and administrators) may access individual student academic and performance data. Students may access only their own records. Parents and guardians of minor students who wish to inspect, review, or request correction of their child's education records should contact the VES Athletic Department directly.

Data is retained for the duration of a student-athlete's participation in the program and for a reasonable period thereafter for historical reporting purposes. Upon request, a program administrator can delete any user account and associated personal data.
Authorized users may request access to, correction of, or deletion of their data at any time by contacting the program administrator. Accounts that are removed lose all access to the App immediately.
