Graduate students, undergraduates, and postdocs at all stages are strongly encouraged to participate! Presenting at the Gala is a great way to share your work and ideas with the rest of the department, no matter how complete or polished they may be. You’ll be surprised by the insightful comments and fruitful conversations that often follow Gala presentations. Generous cash prizes are awarded for the best student presentations - we gave out thousands of dollars last year!
This year, each student may choose to participate in all of the following ways:
Giving a traditional 10-minute research talk or poster,
Giving a traditional 10-minute talk or leading a 10-minute discussion on DEI or outreach-related topics
Giving an ‘Up Goer Five’ talk, in which students are challenged to get creative and teach us about any earth or space science topic, including describing their research, using only the 1000 most common words in the English language.
All ESS undergraduates, graduates, and postdocs are encouraged to submit abstracts!

You will need to provide an abstract title, the abstract, a preferred session, and a preferred presentation format, among other details.

Photo submissions close on 03/31/25
All ESS department members are invited to submit photos.
This contest will be awarded by popular vote, and winners will be given cash prizes! You are allowed to submit TWO photos per entry. The 2023 winners of the photo contest are included on the form as examples. For inspiration, see the winning photos from previous years.
ALL TALKS: Please submit your presentation with “ESS GALA—Your Name” in the subject of the email to Ben Cohen (bencohen@uw.edu) by MONDAY 3/31/25 at 5:00 pm as a PowerPoint or PDF.
Traditional: These are traditional conference-style talks, with a 15 minute slot for presentation and questions. Please keep your talk to 10-12 minutes with time for 1-2 questions. We’ll start switching the slides at 14 minutes to keep with the 15 minute timeframe.
Up Goer 5: This session is going to be a rapid-fire session of talks, one every 5 minutes. Please keep it to 5 minutes and be up and ready to present as the presenter gives their talk (we will have a small transition time between each presentation). You are only allowed to say the 1,000 most used words in the English language. Part of the judging for this session is to make sure you stick to the words, so as a result, there won’t be any questions. The start time of any talk is subject to the preceding talks sticking to the time limit, so we ask that you show up with plenty of time prior to the estimated order outlined in the schedule. The Upgoer-5 session is going to be rapid-fire, so we are putting all the talks together to make it a faster transition and not lose time switching between presentations.
Poster Pitch: At the beginning of each poster session, the presenters are asked to give a BRIEF ~1-2min pitch for visiting their poster. Please prepare a single slide to use for your pitch and submit with “ESS GALA—Your Name” in the subject of the email to Ben Cohen (bencohen@uw.edu) by MONDAY 3/31/25 at 5:00 pm as a PowerPoint or PDF.
Poster Printing: Please print your posters using budget number 75-0440 on the ground floor poster plotter by 3/31/25.
Fill out the form by the poster plotter with the size poster they printed and to use the budget number above. Before the morning of 3/28, you can print your poster by sending the poster in PDF form to comphelp@ess.washington.edu. If you cannot print before then, schedule a time with a Gala Committee member to print your poster.
We will be unable to help students print the mornings before the poster session, so please print your posters before your scheduled date.
Poster should be hung up on the back hallway of the first floor, near Johnson 170 during your assigned poster session. There will be poster boards provided. Please hang every-other board so there is space to gather.
More poster details:
1. Both poster plotters are up and are loaded with paper: 36" on the ATG 219 plotter, and 42" on the JHN029 plotter. (This is the width of the roll, so you can use this as a max for the shorter dimension of your poster)
2. Email approval for ESS Gala Poster Printing has been forwarded to the team, so "ESS Gala" can be entered as the budget/project on the clipboard (rather than remembering the budget number).
3. Do a test print on the JHN -29 color printer to verify there are no layout issues before using the plotter to print the final poster
4. Avoid dark backgrounds - the paper can get splotchy if the background is too dark and the ink pools.
5. Bring both the original format (PPT, PSD, etc) and a finalized version (PDF) to the print lab with you in case of last-minute changes needed after a test print.
6. Don't wait until the last minute - lots of things can make printing take longer than expected (toner or paper changeouts, printing mishaps, etc).

• If someone already knows how to print on our plotters they just need to remember to fill out the signout sheet
• If someone wants to learn how to print they can schedule a time with one of us to go over the procedure
• If preferred someone can also email comphelp@ess.washington.edu their poster and we'll get it printed out for them
