These are the common reasons for the delay in processing of REB submissions:
1. Unsigned and/or not properly filled-out protocol application form: This should be signed by the center head and dean. Make sure the technical synopsis and ethical considerations are filled out.
2. No paragraph and page number indicated in Protocol Assessment and Informed Consent Assessment Forms.
3. Sending Google Drive Link of files: the REB needs the documents for their file/archiving so actual files/documents must be sent.
4. Incomplete documents: please make sure to check all the documents needed before submitting via email.
5. Sending pictures of documents: PDF or WORD files of the documents should be submitted and not pictures.
6. Sending just one document/file containing all the requirements: Requirements should be sent in separate files. If there are 10 documents needed for example, you must send 10 PDF or WORD files.
7. Not scanning forms properly: The forms that need to be signed must be scanned in their entirety, not just the page where the signatures are.
8. Sending the documents in different emails. To help the REB easily track the files you are submitting, it is recommended that all documents must be attached in one email.
9. Sending resubmissions in a new email thread. The REB needs to keep track of all the files you submit. This will also facilitate the tracking of comments and documents you submit. It is therefore recommended that resubmissions must be sent in the original email thread.
Advisers are chosen based on their expertise. Choose an adviser who will best help you with your research topic. It is recommended that student researchers choose advisers after they have identified a research topic, as advisers can help refine and polish the topic's focus.
Advisers should work with you from your proposal until the completion of your final paper. This should also be considered when choosing a research adviser. If there is a need to change your adviser, for example due to the resignation of your current adviser, this should be referred to the department head to evaluate the validity of the reason for the change. Then it shall be endorsed to the dean for approval. Please note that the previous adviser should also be notified and consulted before any move to change adviser is done.
The researchers may seek the assistance of external data analysts or language editors. However, as part of the Research Mentorship program, students are encouraged to seek the assistance of instructors within the university for these services. It is also worth noting that in the forms that will be approved, only instructors within the university can be officially approved by the departments. This is also to ensure that the research outputs adhere to the standards and guidelines set by the university
The submission for ethics review will be done after the proposal is approved by the URIO. Ethics clearance must be obtained before implementing data collection.
