The Metcalf Institute fellowship sessions will take place at the University of Rhode Island Graduate School of Oceanography in Narragansett, RI.
Travellers are headed for South Kingstown, Rhode Island (see map below), where they will be lodged at the Hampton Inn South Kingstown (see lodging information below).
The closest airport is T.F. Green International Airport (PVD), also referred to as "Providence," located in Warwick, Rhode Island, about 12 miles south of downtown Providence and 23 miles north of the hotel.
When you review schedules for trains and buses, be sure to select the departure day. Weekday, weekend and holiday schedules, destinations and fares vary.

Rides for hire or rent via apps requiring an account - these services are sparse in the southern area of Rhode Island, so planning ahead for rides is critical
The 2024 Metcalf Fellows should plan to arrive at the hotel in South Kingstown, Rhode Island, no later than 3 p.m. on Monday, June 3, 2024, in order to check in and be present for the opening orientation and group dinner.
Group lodging is included for Friday night, June 7, on the presumption that Fellows will depart on Saturday, June , 2024.
Lodging for the 2024 Fellows and guests is at the Hampton Inn South Kingstown, about 6 miles from the University of Rhode Island Kingston Campus.
2024 Metcalf Fellows are staying in pre-paid single-occupancy rooms. While rooming is covered by the fellowship, all guests will be asked for ID and a credit card to cover personal incidental expenses.
The hotel is located in South Kingstown, Rhode Island, in the South County Commons.
Breakfast is provided at the hotel as part of your stay. All lunches and four group dinners will be provided. Per diems will be paid with your reimbursement for the two travel days at the State of Rhode Island rate (see Getting Paid). One dinner will be "on your own" and covered by reimbursement of receipts. We will collect food preference information prior to the fellowship.
Weather in southern coastal New England is unpredictable in June. To best prepare, Fellows are advised to track the forecast for the fellowship week using a weather app or website data provided by the National Weather Service. Clothing layers are recommended to accommodate conditions between indoors and outdoors and from day to day. The fellowship field trips will go out rain or shine, so bring a rain jacket or coat and head covering in case we get rain. Most outdoor field trips will not be conducive to umbrellas.
Refer to the agenda to understand where you will be each day, and what activities will necessitate which clothing and shoes.
As with any travel, the right footwear is critical during the Metcalf workshop. You will need comfortable walking shoes, sneakers or sandals for campus events and the excursions to Roger Williams Park (June 4) and Aquidneck Island / Newport and Middletown (June 7). You will need non-skid closed-toe shoes that can get wet (like sneakers) for the R/V Cap'n Bert (June 5), and, because shoes may get wet when you're aboard, consider bringing a backup pair of shoes. For the salt marsh trip (June 6), you will be provided with hip waders to change into, but bring warm cotton socks, especially since these boots may run a little large.
Style is personal, but using conventional terms (casual, dress casual, dress-also known as business casual), here are recommendations for each day:

Be sure to pack personal care items such as prescription medications and preferred skin care products and allergy remedies. Metcalf Institute will carry a first aid kit with sun block and bug repellent in the van every day. We will also issue hats with bills to sun protection. There are pharmacies and markets in nearby Wakefield, and you can ask the van driver to bring you into town for shopping needs. The trawl on Narragansett Bay is not likely to cause undue discomfort, but if you are sensitive to motion sickness on the water, consider packing accordingly.

The University of Rhode Island Accounting Department requires the payee to submit a W9 tax ID form (for U.S. citizens) or W8-BEN tax ID form (for non-U.S. citizens). This form is used to establish payee identity in compliance with general accounting practices.

Travel to and from Rhode Island for the June Metcalf Workshop
All Fellows will book their own travel and seek reimbursement via the Travel Reimbursement form (see Forms, below). Fellows must retain and submit all travel receipts and one dinner receipt for reimbursement.
You are free to book the trips that are most convenient for you.
URI Metcalf Institute will reimburse up to $600 for U.S. based Fellows, $1200 for non-U.S. based Fellows, for all travel expenses combined, such as airfare (coach/economy class only), train, bus, car rental, gas, parking, taxis, Uber/Lyft, or auto mileage. If you book a class higher than coach/economy, you must provide coach/economy fare information (a screenshot works) on the date that you book for reimbursement. URI will not reimburse any redeemed travel points.
The fellowship will pay per diems for two travel days at the rate set by the State of Rhode Island. The allowance is a flat $25 or $50 based on departure and arrival times. (For departures from home before 12 noon = $50; for departures after noon = $25. For arrivals back home after noon =$25, for arrivals after noon =$50.) On the Travel Reimbursement Form you will find all information about rates and can enter your travel details to align with the per diem payments. Meals provided by the workshop host cannot be claimed for per diem. Alcohol cannot be reimbursed. Fellows will have one night on their own to pay their own way for dinner on Thursday, June 6, 2024.
Metcalf Institute will provide program-related ground transportation during the workshop week in a 10-passenger van. Personal ground transportation during the workshop week will not be reimbursed.
Remember to retain and submit all receipts (other than meals) for reimbursement.

For payments to addresses in the United States, payments will be made by check and mailed to the address on the submitted tax ID form (see above). For payments to addresses outside of the United States, a Non-Repetitive US Funds Transfer form and sent via wire transfer.

For other personal amenities, consider bringing sun block, bug repellent (I've been seeing more ticks this spring, likely due to more rain), and remember any prescription medications. The morning on the trawler is not expected to cause undue discomfort, but if you are particularly sensitive to motion on the water, consider bringing your favorite remefy (one that won't make you sleepy). There are good local pharmacies and markets, and you can ask the van driver to bring you into Wakefield, the nearby town, for supplies you need. We will carry a first aid kit with sun block and bug repellent, and we will give out hats with a front bill for sun protection, but we encourage you to pack and carry items that address your personal preferences.
