Minor program changes most commonly consist of adjusting a program’s course requirements (e.g. by changing one course for another; by reallocating unit distribution, etc.), adding/removing courses to/from an electives list, or making small adjustments to admission requirements for a program. A good rule of thumb is to consider whether your change will require additional governance templates or forms in addition to the Calendar program change template.
Major program changes might include one or more of the following:
Changing a program’s overall course load (unit count)
Overhauling a program or significantly changing large portions of program requirements
Significant changes to admission requirements for a program
Suspending a program
Terminating a program
Creating a new program
Reactivating a suspended program
These changes will require one or more additional forms or templates beyond the Calendar program change template. These changes require consultation with the Programs Team (please contact Natasja Saranchuk and Suzanne Dayman), as well as other stakeholder consultations.
These are changes made to a faculty’s own regulations page in the Calendar, typically titled “Faculty of [Name] Regulations.” Faculties often have specific regulations related to the following, among others:
Residence requirements
Academic standing
Graduation
Academic appeals & grievances
Co-op/Practicum/Work Experience
A regulation change may be major or minor, depending on the extent of the change and the impact on students. Minor changes will often require only a Calendar change template, while major changes may require additional governance forms/templates.
This category affects all university students, or occasionally all undergraduate or all graduate students. This category might be subdivided into the following areas:
General University Policies (e.g. University Infectious Diseases Regulation, etc.)
Registration
Tuition and Fees
Academic Regulations (e.g. attendance; evaluation procedures and grading system; examinations, etc.)
Changes to University Regulations require an examination of the source of truth to determine where the change must be made (e.g. UAPPOL, Calendar, etc.). Faculties are encouraged to reach out to University Governance (ugovgfc@ualberta.ca) or Calendar (calendar@ualberta.ca) with inquiries about these regulations or recommendations for changes.
Do not repeat information
To maintain the integrity of the Calendar and preserve a single source of truth for each policy or regulation, avoid repeating information already present in another Calendar section. Instead, such content should instead be linked to (e.g. See English Language Proficiency).
Changes may affect more than one section of the Calendar
Changes to one section of the Calendar could require changes to other sections of the Calendar for consistency; be sure to include all related changes in the change proposal. For example, a program change may also require updates to admission requirements, academic standing, and/or associated program pages (such as minors or electives).
Global Changes are limited
Changes to the Calendar are not global, which means that making a change on one page of the Calendar does not result in the same change being automatically made throughout the Calendar. Changes must be made with intent, and each Calendar page to be changed must be individually considered.
The only exception is in the updating of a course title, number, or designator, which is automatically updated in any existing reference to that course throughout the entire Calendar.
Editorial changes are those that do not require governance approval.
The following editorial changes will be updated in both the current and upcoming Calendars, but do not need to be listed as addenda or errata:
Web/contact Information - Phone numbers, e-mails, physical locations, web page links
Spelling or punctuation errors
Calendar navigation or administrative text
The following editorial changes will only be updated in the next Calendar draft:
General information - descriptive or recruitment-focused information
Reordering or reformatting of content, as long as it does not change the meaning of the policy or regulation
Course changes classified as editorial (see Editorial Course Changes)
These changes can be submitted at any point during the Calendar production cycle until the final editorial deadline (normally at the end of January). Contact calendar@ualberta.ca with any editorial Calendar change requests and ett@ualberta.ca with any editorial course change requests.
