All general members (undergraduate students at the University of Alberta completing a major/minor/program under the Department of History, Classics, and Religion) are eligible and encouraged to vote in the elections. A brief description of the roles and responsibilities of each Executive position. For a more detailed description of the specific duties and time commitments, see the document below.
*All positions are required to complete Event Organizer Training, attend Monthly Meetings, and run at least one event per semester.
As the President of HCRUS, they set the tone for the rest of the executive team, help other positions fulfill their duties, attend Department Council with the Vice President Academic, and re-register HCRUS with the help of the Treasurer. They also schedule meetings and give final approval on HCRUS expenses.
Vice President Academic must oversee all academic events hosted by HCRUS, ensuring they are held throughout the semesters. They are also co-chair of the Undergraduate Research Conference with the Constellations Liaison, meaning that these two positions must plan and coordinate the entire event in the Fall Term, and speak at the event. Finally, they must also attend the Department Council with the President and provide academic resources/support.
The Vice President External runs all social media accounts and Discord server, is a representative on the HCR Department's Equity, Diversity, Inclusion, Indigenization and Decolonization Committee, and is a point of contact between HCRUS and external organizations.
Vice President Internal is responsible for creating and managing the monthly newsletter, managing the HCRUS email, organizing and running all elections, and being a point of contact between HCRUS and members within the HCR Department.
The role of the Secretary is to make agendas for all meetings and record the meeting minutes, schedule and hold office hours, update calendars, and file/maintain all documents and records, both physical and digital.
The Treasurer's most involved roles include creating and maintaining a budget for the entire fiscal year (June - May), applying for and securing grants and funding, managing the cash box and bank account, and keeping records of all financial transactions (physical and digital). Additionally, the Treasurer must budget for and secure funding for the Undergraduate Research Conference in the Fall Term and assist the President in re-registering the group in May.
Classics Member at Large must have a major or minor in Classics. They are a point person for Classics undergraduate students to bring their concerns and questions so they can be addressed by the President and the rest of the Executive team.
The History Member at Large must have a major or minor in History. They are a point person for History undergraduate students to bring their concerns and questions so they can be addressed by the President and the rest of the Executive team.
Studies Member at Large must have a major or minor in either Ancient & Medieval Studies or Religious Studies. They are a point person for Ancient & Medieval Studies and Religious Studies undergraduate students to bring their concerns and questions so they can be addressed by the President and the rest of the Executive team.
Constellations Liaison is not an elected position but is designated by the Constellations Editorial Team. They facilitate collaboration between Constellations and HCRUS and relay questions and concerns between the two groups. They are also Co-chair of the Undergraduate Research Conference with the Vice President Academic, meaning that these two positions must plan and coordinate the entire event in the Fall Term, and speak at the event.
