How can I find out how many CE credits my instructor has?
This information is found on the Training Reporting Dashboard, embedded below. Instructors for filtering the spreadsheet are included just above it.
When can my new instructor start earning CE credits?
New instructors can start earning Staff Meeting CE credits as soon as they are hired. They must complete their Level 3 Learning Plan in the Training Hub OR old Level 2 training (i.e. all required new hire training) before they can earn any other type of CE credits. Ask the Training Director if you are not sure if they are eligible yet!
Can I require my instructor to do a specific CE training?
Yes! You are their boss! 🙂 If you want them to finish in a specific time frame, though, you will probably need to set aside time for them to work on it in the center.
Can my instructors work on CE training outside of the center?
Yes, up to 6 hours per pay period. If they work on CE training outside of the center, they must fill out the "Report Completed CE Training" form on the Instructor Dashboard.
What if my instructor wants/needs to work on CE training outside of the center for more than 6 hours in a pay period?
If there is a valid reason (e.g. they want to attend two live trainings and they happen to fall in the same pay period), then they can email the Training Director for approval beforehand.
What happens if my instructor submits more than 6 hours of CE training outside of the center in one pay period?
They will be paid for all time reported, because not paying them would be illegal. If they are only over by a few minutes (less than 10 or so), nothing will happen; rounding errors and misestimating by a few minutes are understandable. If they are over by longer than that and did not get prior approval from the Training Director, the first time it happens, they will get a reminder from the Training Director and the incident will be documented. If it happens repeatedly, further documentation and a more serious discussion with the Personnel Director may be warranted.
When are my instructors paid for hours worked outside of the center?
Just like hours worked in-center, training hours worked on the 27th through the 10th will be paid on the 16th, and training hours worked on the 11th through the 26th will be paid on the 1st.
How many CE credits does my instructor need to get a raise?
Instructors earn a 50 cent per hour raise for every 15 CE credits.
The dashboard says my instructor has 15+ CE credits - when will their raise go into effect?
Raises take effect on the first day of the next pay period after the instructor reaches 15 credits.
My instructor has earned 15+ CE credits from Staff Meetings, but they haven't finished Level 3 Learning Plan in the Training Hub OR old Level 2 training yet - do they get a raise now?
No. Instructors are only eligible for CE raises once they complete the requirements to earn their second new hire training raise.
My instructor forgot to report a previous staff meeting for CE credit - can they fill out the form more than once per month?
Yes, but they must email the Training Director with the dates of the missed staff meetings that correspond to the extra forms. Their attendance will be verified by checking their time sheet. If they do not email the Training Director, duplicate entries will be deleted.
How will I/my instructor know that their raise has been put in?
Your instructor will receive a "Moving On Up" recognition badge in Paylocity. You will be able to see it on the Community page.
I'm pretty sure my instructor should have gotten a raise this pay period, but I didn't see a badge for them.
Email the Training Director. The dashboard calculation that totals CE credits is sensitive to mismatched cases, extra spaces, typos, etc. The "Report Completed CE Training" form emphasizes the importance of double-checking for these things, but mistakes happen!
My instructor wants to do one of the assessments for CE credit - what do I need to do?
To print the assessment, go to Radius and select Business Documents > Assessments for Printing, then search for the correct assessment (double check in the Reference Guide that the one they want to do is eligible for CE credit). Once the instructor has completed it, grade it and put it into Radius (you can use a fake student, or put it under an existing student and delete it when you're done), then click the button on the student page to create a learning plan from the assessment results. You do not need to edit the learning plan like you would for a student - simply print the whole learning plan and put it in the instructor's binder.
Does my instructor have to complete every PK pulled up by their assessment to receive credit for a learning plan?
They must master the Mastery Check for every PK pulled up by their assessment. They are not required to complete every PK page, and should be encouraged to move on to the Mastery Check as soon as they feel they have mastered the concept.
Do I have to grade the PKs/Mastery Checks in my instructor's learning plan or give a post-assessment?
No. They are responsible for checking and correcting their own PKs and Mastery Checks using the answer keys available in Radius. You are responsible for verifying that they have mastered all Mastery Checks before signing their CD Verification Form.
My instructor wants to attend Larry's Masterclass. How can I find out when it is happening?
This live training happens quarterly. You have access to the Live Training Schedule on your home page in the Training Hub. You must assign your instructor the Larry's Masterclass Learning Plan so they can register for a session. Your instructor cannot access the Live Training Schedule through their own Training Hub account.
My instructor wants to attend a Training Day, but doesn't know if they are eligible to attend again yet. How can I find out?
Open their employee file in Paylocity and navigate to Career > Skills. The Renew Date next to Student Management Training Day is the soonest they can next attend. If an instructor registers for a Training Day and they are not eligible to attend again yet, their registration will be cancelled and they will receive an email from the Training Director letting them know.
My instructor wants to watch the Making Math Make Sense for All Students webinar - where can they find the video?

The dashboard below displays each instructor's current total of CE credits. Hover over it and click on the arrow that appears in the top right corner to open it in a new tab. To find out how many credits an instructor has, choose your center from the "Center Filter" dropdown and start typing your instructor's name in the "Name Filter" box - it should autofill when it matches a name on the list. To show the correct total number of credits, make sure "Include Staff Meetings?" is set to Yes. When you have finished checking a specific instructor's CE credits, please clear the name and center filters so it is ready for the next person!
