Basic Requirements
Every club must meet these requirements to remain active:
A faculty advisor must be present at all club meetings and events. The advisor is the responsible party for the club.
Clubs track attendance using the shared spreadsheet provided by Club Council.
Each club sends one representative to monthly Club Council meetings.
Clubs operate in accordance with school rules and UCPS policy.
Advisors may sponsor up to three clubs. Exceptions can be requested from site-based leadership.
Starting a New Club
Applications open twice per year, at the start of each semester.
The faculty advisor submits the application — not the student.
Club Council reviews applications at the monthly meeting and sends a recommendation to site-based leadership.
Site-based leadership makes the final decision.
Existing clubs continue automatically. No annual reapplication required.
Applications are reviewed for things like duplicate clubs, unclear purpose, or a pattern of clubs being started and abandoned. Club Council recommends; site-based decides.
Club Council Meetings
Club Council meets monthly. Each club is expected to send one representative.
Representatives provide input on new club applications.
Meetings focus on coordination opportunities, school-wide events, and information sharing.
This is how clubs stay connected to each other and to Club Council.
Support Status
If a club stops meeting or violates a basic requirement — such as holding a meeting without an advisor present — Club Council will reach out to the advisor directly.
The goal is to understand what’s happening and help fix it. Club Council will work with the advisor for a defined period to address the problem. After that window, the options are to continue, extend support, or recommend dissolution to site-based leadership.
Support status is not punishment. It’s a structured way to help clubs that are struggling before dissolution becomes necessary.
Dissolution
Clubs can be dissolved in two ways:
Voluntary dissolution: The advisor and club president can choose to dissolve the club at any time.
Recommended dissolution: If a club cannot be stabilized during support status, Club Council recommends dissolution to site-based leadership, who makes the final decision.
Dissolution is always a last resort. Club Council will not recommend it without first making a genuine effort to help.
