The best way to analyze efficiency and effective service delivery is to evaluate our labor allocations. Each employee should track their time using Harvest.
The labor allocation data, or task, you designate via Harvest gets imported to Airtable and Looker via automation.
All supervisors should review the labor allocations within Harvest once per week to verify that the correct client and task have been applied. This is critical to ensure our Win-4-All dashboards are accurate.
W4A = bookkeeping MRR / shadow billing shadow billing = last month's hours x hourly rate (see the attached image for the hourly rates)
Also, the following filters have been applied while calculating the W4A ratio.
only include active clients
exclude stride internal
include records where billable field = false
exclude special projects tasks
exclude cfo advisory tasks
For example, As of 5/31/22, Ag Innovations has a W4A of .90. This is determined by:
$8,000 (MRR) [divided by] $8,928 (total billable labor)
All hours are included as billable labor if they are categorized under a task in Harvest that is noted as billable. This is most often Special Projects Billable and CFO/Advisory though this may change based on the clients shared agreement.
Billable labor is calculated as in the photo below:
The dashboard has 6 sections available:
Win For All Summary, Win For All Detail, Delivery Team Hours, Service Categories, Administrative Categories, and OKR Summary.
Each section gives you a different analysis viewpoint based on org-wide labor allocations. You can also drill into the data to get more granular with the information and find the answers you're looking for.
W4A = Win For All Ratio
LM = Last Month
L3M = Last three months
L6M = last six months

If you want to look at data specific to a client, double-click the client name in the first dashboard display
Now when you review the remaining displays, the data shown is client specific. Now you can see the total billable labor amount for Ag Innovations, month of May 2022, was $8,928.
You can continue to drill down into more detail by clicking on the function and/or role. You can make this client specific or for all clients - it's up to you.
Finally, if you want to review the actual labor allocation entries, you can use the last display box at the bottom of the page:
