Use groups in ArcGIS Online to organize and share items, collaborate securely with others, and manage your organization's content.
All Stanford AGO users can create basic groups on their own at any time.
When multiple people need to update the same item or set of items, you can create a shared update group. In a shared update group, the item owners maintain ownership of their items, but other group members can make updates to the items, including updating the content and the item details.
The Shared Update group privilege is not included in the default user role in Stanford's AGO Organization. If you think you need shared editing capabilities in your group, please contact your AGO admins at stanford-geospatial@stanford.edu.
A partnered collaboration is a way to establish a formal relationship between two ArcGIS Online organizations. In a partnered collaboration, participating organizations use groups and member management tools to collaboratively add and edit content such as web maps and apps.
A partnered collaboration should only be requested in cases of official closely integrated work between AGO Organizations. E.g. a long term combined project involving researchers from two or more orgs where all members need to share and edit work together in ArcGIS Online.
Items are the content you work with in ArcGIS Online. They represent files, layers, maps, scenes, and apps. All user items are managed through the Content menu in AGO and assigned an Owner based on who created and manages those items.
Changing content ownership requires special privileges in AGO.
If you need to move content to a new user in the Stanford AGO Org, please use the following protocol:
In your Contents window in ArcGIS Online, create a new subfolder and name it "Transfer to [username of new owner]".
In the Contents window, select all of the items you wish to transfer and use Move to collect them in your new transfer sub folder.
Send an email to stanford-geospatial@stanford.edu requesting a change of ownership, include your AGO username and the AGO username of the new owner.
Note: the SGC is not responsible for any links or apps the break as a result of moving content in ArcGIS Online.
Some AGO content can be migrated from one AGO Org to another using the ArcGIS Online Assistant.
You will need to be able to log in to user accounts in both AGO Orgs. From there, follow the Penn State University instructions on transferring content.
Note that while Data and maps are simple content and should migrate easily, more complex content such as Stroymaps, Dashboards or Experience Builders may require additional effort to ensure they migrate cleanly.
Content in ArcGIS Online (including public Dashboards, Web Maps, and StoryMaps) must be owned by a current Stanford affiliate in order to remain active in the Stanford AGO Org.
Once a user is no longer an active Stanford student, staff, or faculty they will immediately lose access to AGO account and it's Contents.
Publicly accessible AGO content will remain visible online until removed from the Org by Stanford AGO admins.
The current grace period for old user content is 1 year from the last date of use on any non affiliated user account.
