MEMBER ACCESS PORTAL

What App Does NTsuites Use?

NTsuites uses an all-inclusive new app named NTsuites Salons and Offices, branded by OfficeRnD. This NTsuites app will enable you to pay rent easily, book conference rooms, and enter the building (via Digital Key), so it's pretty important that ALL tenants/ members register.

How Can I Gain Access to NTsuites/OfficeRnD?

All tenants will receive a member portal invite from NTsuites Salons and Offices OfficeRnD. When you get the invite, PLEASE REGISTER IMMEDIATELY, as the link expires after some time.

 

First-time access must be done on a desktop/laptop via an internet browser and NOT on your phone or iPad. Visit: ntsuites.officernd.com after receiving your invitation.

What Can I Do On NTsuites/OfficeRnD?

OfficeRnD will be used, amongst other things, to do the following:

1. Handle all invoicing and rent payments, including setting up payment methods
2. Trouble Ticket Reporting
3. Conference room bookings (replacing Skedda and Shutterfly (discontinued))
4. Customer/ Client Check-in in the lobby
5. Internal and external communication with tenants and public
6. App-based access control for doors via Bluetooth and a digital key.

Adding Marketing Information to Your Tenant/Member Profile In OfficeRnD

If you're an existing active tenant, you have the opportunity to enhance your online presence by updating your profile and business information. This will boost your visibility on Google searches and provide valuable insight for your customers and clients.

To add your business information, visit ntsuites.officernd.com using a web browser on a laptop or desktop rather than the NTsuites app on your phone, and login with your username and password as shown in the image above.


After you login, visit your profile by clicking on the icon at the top right of the page (see image 1 below). You should see a personal and a company tab (image 2).


For the Personal profile, add all the information you choose to. We encourage you to fill the “bio” and “social media” sections. When you put in the details of who you are and what you do, it helps the system automatically display your information to others.


Confirm what category of business yours belongs to in the “Additional Information” section (image 3).


For the Company Tab, please fill in your details, including the Mini Salon License and Salon Owners License numbers provided by TDLR in the Additional Information section, and select if you would like us to autodraft your account (image 4). 

Please take your time to include the links to your website and social media accounts to ensure that people can easily find your business!

If you prefer not to be listed, you can adjust your profile privacy settings and leave the BIO and DESCRIPTION fields blank.

RENT PAYMENT AND INSURANCE

What Day of the Month Is My Rent Due?

At NTSuites, all rent payments are due on the 1st of every month. We will send you an email invoice one day before the end of the month (e.g., around the 29th of the month) for the following month's rent payment. 

Please note that tenants will receive invoices and can make payments via OfficeRnD, as it is our official platform.


If you would like to get your invoice earlier, please email sales@ntsuites.com, and we'll gladly assist you.

What Payment Methods Do You Accept?

Our preferred method of payment is online through OfficeRnD. You can also contact us if you'd like to mail a check

You can download the OfficeRnD Members App for easier access.


Also available with your monthly email invoices is the option to autopay directly via ACH or Bank Draft

How Do I Add My Bank Account to OfficeRnD?

OfficeRnD has now made instant ACH verifications possible! To add your bank details, visit ntsuites.officernd.com using a web browser on a laptop or desktop rather than the NTsuites app on your phone, and login with your username and password. 

Click on billing from the left side bar and select payment (see image 1)

Select Add Payment Option and select your NTsuites location (image 2)

Next, choose what payment method you would like to add (credit card or bank account) and they will be immediately verified (image 3).

Please note that there is a 3% service charge for credit cards but no charge for bank accounts.

How Do I Pay My Invoice/Bill Online?!!!

Please see the video instructions below on how to pay your NTsuites invoice or bill online. Please note that this must be done on a laptop/desktop browser and NOT your phone/iPad.

How Long After the Due Date Do I Have to Pay?

All invoices are due by the 1st day of the month. However, you have until the 7th day of the month to pay.

Auto Draft - Recurring Payment Option

You can turn on Autodraft by selecting the yes option in the additional information section of the company tab when you visit your OfficeRnD profile.

What Happens If I'm Late on a Payment?

A $50 late fee will be imposed on any payments received after the 7th day of the month and $10 daily after that

Am I Required to Have Insurance Before Moving In?!!!

Each tenant is responsible for holding a comprehensive public liability insurance policy to cover any accidents or damages that may happen in the office/salon space. The insurance should be at least $500,000 for injuries to one person, $1,000,000 for injuries to more than one person, and $50,000 for property damage, like theft.


For salons and beauty professionals, some have used Beauty and Bodywork Insurance. We've included below the direct links to the application for each location. It will automatically populate NTsuites as the additional insured, saving you time.

REFERRAL PROGRAM

What is the New Tenant Referral Program?

Our new tenant referral program gives you a ONE-TIME $500 REFERRAL CREDIT for each tenant you refer who signs a new lease! Please pass on the news about our new location. 


Tenant referral bonuses can only be given if informed PRIOR to the new tenant's lease signing. Please contact management for more details.


This referral program is only eligible for the NRH and Southlake locations only.

BUSINESS & OPERATIONS

Tdlr Licensing and Registration Requirements

All salon tenants are responsible for their own TDLR licensing requirements. Please see the attached building-specific TDLR gallery licenses.

All Mini Salon Licenses MUST register and document their Operator License AND their Mini Salon License in the profile under the NTsuites.OfficeRnD.com

Conference Rooms

Yes! All our buildings are fully equipped with modern conference rooms that you can reserve before use.



Please note that we have transitioned to the OfficeRnD booking platform for ALL conference room reservations. Visit ntsuites.officeRnD.com and go to New Booking on the right.

However, Conference Room B is NOT reservable and is used on a first-come, first-served basis. If you need further assistance, you can speak with the landlord.



Conference Room A can be used for up to EIGHT HOURS WEEKLY per tenant, continuously or separately.


Conference Room B can be used for up to TWO HOURS at a time and per tenant.



In the event that you have to reschedule or cancel your PRE-BOOKED meeting, please visit the ntsuites.officeRnD.com calendar or the iPad available in the conference room. There will be a fine imposed for violating this term.

Break Rooms/Waiting/Common Area

Our buildings have two break rooms with fridges, microwaves, dining tables, etc.


Break Room A is located on the Ground floor center front right.

Break Room B is on the 2nd floor, back center left.


Use of the break rooms is for all tenants. However, break rooms are to be kept tidy, and all garbage and waste items disposed of.

WiFi and Communications

Wired/wireless high-speed internet from AT&T/Frontier is available in every office and common area. 



Yes, tenants can choose their private dedicated connections. AT&T, Frontier, and Spectrum offer high-speed services to the building.





Yes! NTSuites offers dedicated phones and phone service to each suite through our partner Vonage Business. There are different phones to choose from for an affordable monthly rental fee. Please check https://business.vonage.com/features/?ICMP=BMM_Features for more information.


Display of Marketing and Business Information

Other than utilizing the business card display in the front lobby or the bulletin boards in the break rooms, no other marketing or business displays can be placed in the common areas. You can place only a small size of material on or around the door. 


No personal furniture can be placed in the hallways.


FACILITY USE AND MANAGEMENT

Building Access Updated

The building's front center door will remain open approximately during daylight hours. You can access the facility. You can access the facility during off hours using the NTsuites app. 


Look for the blue key located at the bottom right of the home screen. This is the “Digital Key” used to open the doors. Just hold your phone up to the door reader, and it will be scanned.

Off-hours begin around 7 pm when it's generally dark outside.



Yes! There are WiFi cameras inside/outside of all entrances for your security.


Sharing of Suites

As per our lease agreement, no sharing of suites will be allowed. In addition, no subletting will be permitted without prior written consent from the landlord


Instances where the authority to share with one other person has already been granted will continue to be honored.  Exceptions to this may be given at the landlord's discretion. Typically, a 15% increase in rent is applied for sharing. 



Parking Lot Crimes

Please note that only serious parking lot incidents will be investigated. We apologise for any inconvenience. Reviewing camera footage is a  time-consuming manual process. 


This policy does not apply to incidents inside the building, and we are actively seeking more efficient solutions to address these challenges.

Smoking Policy

Please note that absolutely NO smoking, including e-cigarettes, is permitted inside the building. Please be mindful of this. 


If you notice any violations, please inform management. Thank you for your cooperation.  


Cleaning Services

Individual office cleaning is the responsibility of the tenant, and all common areas are cleaned regularly. 



Our Optional In-Suite Weekly Cleaning Service is available for an extra $50/month. It includes trash and trash liner removal and replacement, wipe down, and vacuuming. 




Yes! Please note the refrigerator will be COMPLETELY cleaned out weekly. If ANYTHING is NOT to be thrown out, please place a round sticker on the item. EVERYTHING else will be removed


All items must be marked with a suite number. Any unmarked or old food items in the fridge will be disposed of weekly.


The fridge will be deep-cleaned every three months or sooner as needed. Stickers and notices will be placed on refrigerators one week before cleaning out.


Pest Control

Please notify management of any pests/insects found in and around the building. Insecticide is regularly used as needed. 

Storage/Trash/Furniture

No! Please note that no tenant items should be placed under either stairwell. Items found will be disposed of unless prior permission is given. 



Yes! Please note that anything immediately kept outside the elevator room can be picked up by anyone who can use it. These items are available on a first-come-first-serve basis. 



All lost and found items can be placed and retrieved from the drawer in the main lobby's waiting area. 



Immediately to the left of the main dumpster is a 6-yard recycling bin. Our recycling bin is emptied once monthly, so please feel free to use it to recycle. 


Salon Equipment Care

Please note that ALL tenants/salon owners are responsible for the regular cleaning and maintenance of the shampoo bowl hair trap. If not cleaned, it will get clogged

What is typically included in a salon?

For all salons, our standard package includes:


One or two wall-mounted white cabinets, depending on the size of the salon.

Either a vanity (sink) or shampoo bowl, along with a chair.

These essential furniture items are provided to ensure functionality and aesthetic appeal in our salon spaces.

MAIL/PARCEL DELIVERY

FedEx/UPS/USPS/Amazon Deliveries

If you're away and get a delivery that has a signature on file or has no signature required, it will be delivered and placed under your suite door. In the event that it is either too large or a signature is required, then delivery will be rescheduled. 

Wrong Mail

There are instances where mail is incorrectly delivered to the wrong mailbox. If you receive an item that's meant for another, please email sales@ntsuites.com for immediate delivery.
