Procedures and Policies for maintaining and Utilizing Facilities through the Library

 

Library-

The college ensures optimal allocation and utilization of the available financial recourses for maintenance and upkeep of different facilities by holding regular meetings of various committees constituted for this purpose and using the grants received by the college as per the requirements in the interest of students.

Book Purchase Policy:

·        Teacher’s recommendations are preferred.

·        Student’s and other staff’s recommendations are also considered.

·        Latest published books are also received on approval basis in the library and are sorted out with the help of concerned teaching staff.

·        Publisher’s catalogue are also taken into consideration for latest publications.

·        Eligible Discounts are taken as per the category of the book.

·        Foreign Books are purchased with utmost care. GOI rates published by FPBAI are followed in purchase of foreign books.

·        Pirated and poor quality books are avoided. Renowned publications (TMH, Pearson etc.) are preferred.

New Arrivals:

1.     The newly arrived books in the library are kept for display in New Arrivals cupboards for first few days.

2.     They are also issued for reading at home, if demanded by readers.

3.     Diwali Issues are being kept for display and premises reading for one month and then issued for home reading.


 

Magazine Purchase Policy:

1.     The selection of Indian & foreign journal subscription during the calendar year is made on the basis of recommendations of the faculty of our colleges and Library Committee.

2.     The most number of Periodicals are subscribed through vendors for optimum security.

3.     The missing issues are being dealt with all possible measures.

Newspaper:

1. Library subscribes leading newspaper in Marathi, Hindi & English language.

2. Newspapers are subscribed on the basis of recommendations from Teachers and Students of the college.

3. Newspapers are purchased from local vendor to ensure proper and in time availability.

NLIST E-resources Consortia:

1.     Every year in the beginning of session, students are being informed and motivated to register themselves for INFLIBNET NLIST Consortia through the library.

2.     The notice is circulated and membership is provided to students throughout the year.

3.     This service is available without any charges.

4.     Subscription to the Consortia is renewed in the month of March-April every year.

Use of Feedback forms for suggestions and improvements in our library services/ implement new ideas:

Every year library distribute and fill out Feedback Forms from the students. It helps a lot in introducing new ideas and services, improve existing ones and thereby enriching the usage and activities in the library.

Overdue Books Policy:

·        To ensure return of books from students, ‘no dues’ from the library is made mandatory for students while getting originals documents from the college.

·        To ensure return of books from staff, ‘no dues’ from the library is mandatory for staff before retirement from the college.

Visitor’s Statistics:

·        The entry register of visitors (students and staff) on daily basis is maintained.

·        Entry registers are also maintained at various sections such as reading hall, discussion room, internet section, newspaper and periodical section etc.

Stock Verification Policy:

·        Complete physical verification of books or sometimes sample verification is done every 5 years.

·        The documents not found during stock verification are being listed.

·        Library staff to make all possible efforts to locate the documents that are not found during stock verification

·        Compare losses with borrowing/ consulting / photocopying statistics.

·        A pre-final list of the documents not found is being verified.

·        Compile a final list of documents not found.

·        Compare with the list of earlier stock verification to identify common entries.

·        The stock verification report and list is approved from the Principal/The Library Advisory Committee/ Book Bank Committee.

·        Necessary entries in the accession register are done.

·        The status of withdrawn records are edited in databases.

·        It is tried to improve the system with additional precautionary measures. 

 

Stock Verification Policy of Books in Book Banks :

·        Library staff prepares a list of old and obsolete titles not used since last 10 years and organize subject wise.

·        Get approval from the Principal/The Book Bank Committee/The University.

·        The approved books are withdrawn from the live collection.

·        Make necessary entries in the accession register.

·        Update records in databases.

·        Improve the system with additional precautionary measures. 


 

Pest control:

·        Every attempt is made to keep the books and bookracks clean and tidy and free from dust by regular cleaning drives.

·        One Treatment of termite has done every five years.

·        Four Treatment of General disinfection & Six Treatment of Rodent control is carried out in every year.

Library Rules

 

1. Every Student entering the Library Premises should have a valid college identity card. It should be produced as and when demanded.

2. Identity card and Reader’s Ticket are non-transferable.

3. Students are informed to handle books, periodicals, etc. with great care, any attempt to damage books or Periodicals, by defacing or tearing the pages will treated as serious misconduct and strictly dealt with.

4. If the Reader’s Ticket is lost a duplicate will be issued on payment of Rs. 50/- each.

5. A complete silence and strict discipline should be maintained in the library and Reading room.

Circulation Services Policies & Procedures

Patrons

Students of the College are required to have a current validated college Identity Card and Library Card to borrow materials.

Borrowing Limits

The limits are as follows:

·         Aided Teaching Staff: 20 Books

·         Unaided Teaching Staff: 10 Books

·         Temporary Staff: 05 Books

·         Aided Non-Teaching Staff: 02 Books

·         Un Aided Non-Teaching Staff: 02 Books

·         Students: 02 Books (1 book for home reading, 1 book for premises issue)

Policy Regarding Late Return of Books from Students :

·        In case of late return of books, students will have to pay fine at the rate of Rs.1/- per day for the first week and Rs.2/- per day afterwards.

·        In case of serious default amount of fine may be increased to Rs.10/- per day.

·        While charging the fine holidays are counted.

·        Re-issue of the books will depend upon the demand for the same.

 

Policy Regarding Late Return of Books from Teachers :

·        In case of late return of books, Teachers will not have to pay any fine.

 

Book Bank Facility Procedures:

 

There are two book bank schemes provided by the library.

Student Aid Fund Book Bank:

This book bank scheme is run for the Economically Backward/ Other Backward Class Students. Books regarding syllabus are issued to students for the whole year and taken back after final examination is over. The funds for this scheme are raised from Student Aid Fund of the college.

BC Book Bank:

This book bank scheme is run for the SC/ST Category Students. Books regarding syllabus are issued to students for the whole year and taken back after final examination is over. University of Mumbai, Mumbai provides funds for this scheme every year.

Book Bank Policies:

·        A notices of BC & SAF Book Bank is published on all the notice boards and is circulated in all the classes at the beginning of the Academic Year

·        A student has to apply in the prescribed form, available in the Library and submit it to the library along with necessary documents.

·        The forms are sent to Book Bank Committee for verification and selection.

·        Beneficiary Students will get one set of Text Books at the beginning of every semester.

·        Students has to deposit all issued books within seven days after exam.

·        In case of late return of set of Text Books, students will have to pay Rs. 25/- fine.

·        BC Book bank students do not have any other charges.

·        SAF Book bank students have to pay a charge of Rs. 100/- as book bank facilities charges.

 

Library Promotion Policies:

·        Library offers orientation programs to the students of the college in the beginning of every academic year. Through this program, an effort is made to familiarize every new member with the resources, services, facilities, policies etc. offered by the Library.

·        The Library organizes various activities, games, competitions, events, exhibitions for students to encourage their reading habits and to make optimal use of the library.

·        Every year, the library nominates two/three regular students for Best Library User Award to be conferred at the Annual Prize Distribution Program.
