Introduction

The Department of Community Medicine in association with the Office of the Principal, Patna Medical College, has assumed the responsibility of electronic verification of credentials and status of student ambassadors and alumni applying for examinations conducted by ECFMG (e.g. USMLE).

Advantages

The electronic process has several advantages, including but not limited to the following:

  • All electronic submissions to be made by candidates, thus, no (or minimal) need to visit the institution for paperwork
  • Average time for the verification process reduced to one month as opposed to 3 months earlier
  • Most requests are cleared within 14 days
  • Minimum time in which a request has been cleared is 1 day

Participation of candidate

In order to speed-up the verification process, candidates are required to contact Prof Dr Rashmi Singh, Coordinator of EMSWP for Patna Medical College, on psm.pmch [at] gmail.com, and Principal's Office at principalsoffice[at]rediffmail.com with the required documents.

As of current medical school policy developed by the Principal of PMCH, in coordination with the EMSWP coordinator, the participation of the candidate in the verification process is absolutely necessary.

Important information

  • As per current medical school policy, the unique medical school ID is the candidate's serial number in the alumni list of the college as available on the website - oblique - year of admission, composed as [serial no]/[YOA]. (E.g. for Dr Prateek Nishant enlisted at sl. no. 18 in admission batch 2011, the UMSID is 18/2011). Use the panel on the left side to find your name in the alumni list. If there is discrepancy in the name or year of admission, this should be rectified first by emailing PMC Alumni Association with a copy sent to psm.pmch[at]gmail.com and principalsoffice[at]rediffmail.com
  • In part 3 on the first page, the candidate has to write the name of the document attached for the corresponding purpose. Then the candidate should compose scanned copies of the documents in the exact order in the same PDF file.
  • In case candidates have problems composing the PDF files, they may send the files separately, but this is likely to delay the verification process. In case of ERAS document uploads, it is better to also send the MSPE and transcript separately, in addition to the single PDF file. Read 'tips for candidates' for details.
  • It is highly recommended to get your Medical School Transcript composed at the Principal's Office well before you require it. Indicate in the Medical School Transcript, as applicable, the date of admission, month of final MBBS exam, date of completion of internship, date on MBBS degree, permanent registration no. and date, partwise description of MBBS exams - periods of study, exam month and year, subjects, marks obtained/maximum marks, percentage, no of attempts and the reason for delay of session if any.
  • Sample transcript is attached at the bottom of this page. Candidates are required to fill the green boxes only, and not the red ones. Please note that if your name has been changed vide a valid affidavit e.g. post-marriage, you need to mention your name as [Present name (name changed from <old name>)]
  • In case you are unable to visit the institution for obtaining the Transcript, send your information along with the text of the Transcript in Word format (.doc or .docx), and copies of your marksheets of all MBBS exams, college leaving certificate and medical registration certificate by email, along with a signed letter requesting the Principal, Patna Medical College to issue Final Medical School Transcript in the specified format. Candidates will be required to send a person with a print-out of a faxed/emailed letter of authorization to collect the original transcript after it has been issued. Disclaimer: The process is likely to take time and Patna Medical College is not responsible for procedural delays. Please also note that an unsigned request letter is likely to be rejected.
  • Updates about the process will be communicated only over email. Do not delete the email communications from psm.pmch Add psm.pmch[at]gmail.com and principalsoffice[at]rediffmail.com to your address book. Send all emails copied to both email addresses.

Process

The candidates are required to send by email the required documents for verification. The subject of the email should be

"URGENT: Patna Medical College ECFMG Status Verification" (or Credential Verification as applicable)

The information should be composed in a single PDF file with its first page written in the following format:

Tips for candidates

To speed-up the verification process:

  • Before applying to any ECFMG exams, visit the Department of Community Medicine with required documents, their scanned (soft) copies and photocopies, or send them by email in anticipation of their requirement. Submit your e-mail address and Indian and foreign phone number for communication
  • In part 1, provide your recent photograph clicked professionally, and not by a mobile camera. Provide preferably the same photograph as you submitted in the ECFMG application system.
  • In part 2, enter USMLE ID, the code which looks like X-Y-000-000-0 in this very format
  • In part 2, provide date along with month and year for attendance start, end, graduation and degree
  • In part 3, send a scanned copy of your passport or class 10 certificate as proof of date of birth
  • In part 3, send your Medical School Transcript as proof of starting study of MBBS.
  • In part 3, send your marksheet of final MBBS exam as proof of passing final year exam
  • Try to be as complete as possible with the information you provide. Incomplete information will delay the process.
  • Compose information in a single PDF file. Multiple files cause delays and inconvenience in data handling.

ERAS:

  • In cases of ERAS wherein the medical school is required to upload the MSPE, Medical School Transcript and PTAL (if applicable), please send an email to psm.pmch [at] gmail.com with your Name, USMLE ID, date of application and separate coloured scans of the required documents in pdf format with a file size no larger than 1200 kb and a resolution of no more than 300 dpi. None of the pages should be larger than 8.5x11 inches.
  • Depending on ECFMG policy, ERAS document submission sessions may close on 01 September of every year. Thus, applicants with ERAS tokens applying in a particular year must send their documents at least 15 days before the closing date, i.e. latest by 15 August of that year, and separately contact Prof Dr Rashmi Singh for the same. Candidates sending documents later than this may face the consequences of procedural delay, and their current ERAS season may be missed. This date is subject to change, depending upon when the ERAS seasons close.

Privacy Policy

The information collected will be shared only with the Principal of PMCH, the people involved in the processing of the information in the Principal's office and Department of Community Medicine and with ECFMG through the online submission system. As the information is stored on Gmail, it will also be governed by Google's privacy norms.

The authority for redressal of complaints is Prof Dr Rashmi Singh, Head of the Department of Community Medicine. The appelate authority for the process is Prof Dr Ramji Prasad, Principal of PMCH.
