EXECUTIVE BOARD POSITION DESCRIPTIONS

*President

In order to be eligible for this position, a person must have served on the Penn Valley PTO E-board for a minimum of 1 term in the past 6 school years and attended 6 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The President will represent the PTO in all PTO meetings inside and outside of the organization. He or she will preside over all meetings and prepare all meeting agendas. The President will be the primary contact for the school principal, will coordinate and assign work with board members, chair members and committees.

He or she will attempt to attend all PAC meetings (monthly meetings of Pennsbury superintendent and all Pennsbury PTOs.

*Vice President

In order to be eligible for this position, a person must have chaired an event and attended 5 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The Vice President acts as an aide to the President and will assume the President’s duties during an absence. He or she will oversee pre-selected events as an aide to the Chair person(s). The Vice President will also attempt to attend PAC meetings. The Vice President makes amendments to the bylaws when needed or every 4 years.

*Secretary

In order to be eligible for this position, a person must have chaired an event and attended 5 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The Secretary is responsible for recording meeting minutes and attendance of PTO Executive and General Board Meetings, then distributing those notes to all board members. The Secretary is responsible for keeping accurate records for the organization.

The Secretary will oversee pre-selected events as an aide to chairperson(s).


*Treasurer

In order to be eligible for this position, a person must have chaired an event and attended 5 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The Treasurer is responsible for the funds of the PTO, and for receiving and disbursing all monies of the organization. He or she will provide written reports of these receipts and disbursements to the PTO membership at the monthly meetings to ensure that the stated budget for the year is followed. As well as providing a budgetary report of all present events, at the PTO E-Board and General Public Meeting.


*Volunteer Coordinator

In order to be eligible for this position, a person must have chaired an event and attended 4 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The Volunteer Coordinator recruits new volunteers to fill chair and volunteer positions, and helps coordinate volunteers at PTO events. He or she will assist new volunteers with getting clearances, if the main office isn’t available.

The Volunteer Coordinator verifies all volunteers have clearances, prior to any event. The Volunteer Coordinator creates and maintains the online Sign Up Genius for all volunteer positions and communicates all events and positions to the school as they request it done. He or she will oversee pre-selected events as an aide to chairperson(s).


*Fundraising Coordinator

In order to be eligible for this position, a person must have chaired an event and attended 4 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

The Fundraising Coordinator finds new fundraising opportunities and presents them to the E-Board for approval, maintains a relationship and communicates with the fundraising companies throughout the entire fundraiser. He or she also communicates to parents and guardians the importance of raising funds for the school and acts as a liaison to the board for feedback from the school community regarding all fundraising events.

The Fundraiser Coordinator will oversee pre-selected events as an aide to chairperson(s).


*Media Coordinator

In order to be eligible for this position, a person must have chaired an event and attended 4 monthly or 3 bi monthly PTO meetings in the school year and paid their membership dues.

Media Coordinator will manage and maintain the PTO website and social media pages by monitoring its members, sharing upcoming events, flyers, advertisements, spirit days, digital photos and uploading all PTO minutes, forms, and documents.

He or she will communicate and educate parents on upcoming PTO events. Media Coordinator will oversee pre-selected events as an aide to chairperson(s).
