What is the purpose of a Monthly Report?
Collect information about VISTA progress activities in a report for CNCS.
Track and document progress toward program and campus goals & objectives.
Provide an opportunity for site supervisors to assess the VISTAs' progress in completing the work plan.
Collect stories and data to share with the public, legislators, and funders to promote the good works of NC Campus Compact VISTAs.
Provide an opportunity for the VISTA to track, evaluate, and reflect on their service and impact in their community.
Are Monthly Reports cumulative?
All quantitative reporting should be reported as a cumulative number. However, in the space provided for description, please only outline progress made in the last month.
Do I need to review my report with my supervisor?
Yes. Once you have completed your report, and before submitting, please sit down with your supervisor to review its contents.
Do I have to complete the report in one session?
Yes. Please set aside approximately 30 minutes to complete the form all at once.
Can I talk about the department as a whole in my report?
No. Reports should reflect only the efforts of the VISTA, not the efforts of the entire department or institution.
Do volunteer hours completed by an individual required to do them (such as for a service learning class) count toward the total number of volunteer hours?
Yes. Individuals required to perform service may have those service hours counted towards the volunteer hours total if they are supported by you and your office.
Student groups spent several hours planning an event. Can I count these hours as volunteer hours?
Yes. Time spent by student leaders/groups meeting to plan and organize should be included in these hours, as long as the students are not being paid for this time.
Do workshops I attended as part of the Hunger Dialogue count as training/professional development?
Yes. Workshops count as training/professional development.
Who are considered volunteers?
Volunteers include anyone who comes to your event and lends a hand. This includes, but is not limited to: students, staff, and faculty.
If I didn't plan the event, but connected individuals with a volunteer opportunity at the event, should I report on those volunteers?
Yes. Those volunteers may be listed.
If I am tallying the hours of a large group of volunteers, do I count the hours of the entire group or the individual?
If you have a group of volunteers you should tally the hours by the individual. For example, if you have 10 volunteers that do 2 hours of work you would count it as 20 hours because each individual volunteer did 2 hours of work.
Can I count volunteers as in-kind donations?
No. Volunteer service hours may not be counted as in-kind donations. The Corporation for National and Community Service (CNCS) defines in-kind donations as "non-cash contributions, including donated good or services, expert advice, equipment or property."
If someone donates a specialized, intangible service (e.g. a lawyer who does pro bono work) is it considered an in-kind donation?
Yes. A specialized service may be counted as an in-kind donation and calculated using the individual's standard hourly rate. NOTE: A Person providing a specialized service should NOT be counted both as an in-kind donation and a volunteer. Please classify them as one or the other to prevent double-counting.
Are funds received as a result of grants or fundraising considered cash or in-kind resources?
Grant and fundraising resources should be considered cash resources.
A local grocery store has donated a gift card to their store for one of my projects. Is this donation considered a cash or in-kind resource?
Gift card donations should be reported as cash resources.
A student organization on my campus donated a portion of their budget. Would I report this as a cash or in-kind resource?
A monetary donation from a campus organization should be reported as a cash resource.
How should I classify donations from Campus Kitchen?
Donations from Campus Kitchen should be reported as in-kind donations.
I helped with an event that collected food/canned goods. Are they considered in-kind donations?
Yes. Canned goods and food donated should be reported as in-kind resources. Any non-cash donations collected directly by the VISTA or through student and service efforts that the VISTA is involved with are considered in-kind donations. This includes, but is not limited to: soliciting donations from area restaurants to provide lunch during a service event; collecting food, toys, clothing, or other goods to support community agencies; donations of supplies for construction.
How do I calculate the value of in-kind donations/resources?
If a company is donating services or physical items (e.g. building supplies from a hardware store) feel free to ask your contact at the company for the value of the items donated.
In-kind donations should be valued at fair marked value which the IRS defines as "the price at which property would change hands between a willing buyer and a willing seller, neither having to buy or sell, and both having reasonable knowledge of all the relevant facts.”
CNCS Guidelines: Dollar value of in-kind resources leveraged by CNCS-supported organizations or national service participants.

For the purposes of this report, disadvantaged youths may be:
School Aged Children who
attend a Title 1 school,
are eligible for Free or Reduced Lunch (FRL), OR
your community partner has deemed eligible to receive their services.
My program places volunteers in classrooms. How do I count the number served?
Volunteers working in a classroom serve the whole class. Report the number of students in that class. For programs that are school-wide use the total enrollment.
