II. New Business
A. Treasurer Position
1. Our treasurer has moved out of the neighborhood. Kim Estes was a past treasurer. She was nominated and elected tonight. In the past, Kim would send second notices for dues and we would receive 90% of dues. We will add Kim as treasurer on the bank account. Vicki suggested looking into a tax identification number, as that is what is required to utilize online payment through Paypal. Rick will ask John if the HOA has a TIN.
B. Finances
1. Adrienne sent out a Maple Valley newsletter. Residents gave positive feedback and especially enjoyed having the expense report included.
2. We discussed our current financial report. Right now, we have $12,000 in the bank. We paid close to $5,000 this year to fix the front entrance. The plants that are now in the front entrance island are under warranty for one year from Brady Nursery. Rick thinks one of the problems with the plants in the past was watering too much.
3. We may need to pay to remove the pine trees along Maple, like Auburn Hills recently did. They are in the right of way. If the city does it, it takes up to two years. We may ask the city to take them down to the base, then we could pay for the stump removal.
C. Neighborhood repairs/needs
1. Rick wants the street sign at Firefly and Taft replaced. Vicki will file a Wichita report.
2. We are still working with the electrician to get the front entrance lights working. We will need a new unit.
3. Vicki moved to accept bids for mowing. Brett has been doing it for the last five years. He trims, and only mows when he needs it. We would like to make sure his price is still competitive. We will advertise in February and March and then we will decide as a board.
4. There has been a lot of fast cars in the neighborhood. It was decided to use the marquee sign to encourage drivers to slow down and be aware of kids.
5. Trash cans are being left out past pickup day. We will add a reminder to the next newsletter and speak to residents as needed.
D. Activities for 2020
1. The 2019 Christmas lights drawing was successful in encouraging more residents to decorate. We will do it again in 2020. Guidelines: If you have lights on your property, you can win one of 3 $50.00 Lowes gift cards. Lights need to be up on your property (not necessarily on your house) by December 18, 2020.
2. Rick has heard from some residents who want to move the garage sale back to April. It was decided that we will do it when Auburn Hills does their neighborhood garage sale to increase traffic. Rick will get a hold of Auburn Hills and let Adrienne know the dates.
3. Everyone loves the dumpsters as both are full in an hour and a half. It was decided that we will pay for two dumpsters this year. If they both fill up, we will increase it to four dumpsters. We will advertise in the newsletter.
4. It was decided to keep the Easter egg hunt in the park, and serve doughnuts and coffee. Bruce will run this again and Vicki will help Easter egg stuffing. Those interested in helping should contact Bruce.
5. We discussed hosting a Neighborhood Night Out in late August. We would like to do it before college football starts on a Sunday afternoon. Adrienne has a grill, but we would need to advertise the need for more grills. This would be in the park. The HOA will pay for the meat and buns, paper products and condiments. Residents will be asked to bring a side or dessert, drinks, and chairs.
6. We also discussed a Neighborhood cleanup day where residents can volunteer to help each other with projects. It was decided to discuss this more at a separate meeting in the spring.
III. Old Business
A. Janene continues to be our welcoming committee. She takes each new resident cookies and a Lowes giftcard from the HOA.
B. Rick negotiated with Waste Connections for $36/quarter for trash service, provided that 85% of the neighborhood uses Waste Connections. We are having trouble keeping this at 85%. We will include this in our newsletter.
C. Our next meeting will be in the Fall of 2020.
