Maple Valley HOA Board Meeting Notes 07.27.2020

II. Old Business
A. Dues
1. Kim reported that only 9/128 still need to pay dues. It was decided to use marquee sign to encourage the remaining houses to pay. Vicki will put up sign. Kim will also send final notices. We agreed to use Westside bookkeeping ($75) for collections agency, if needed.
2. 2021 Dues will be sent out by January 31, 2021. They will be due by March 31, 2021. Kim will be reimbursed for cost of paper, envelopes, and stamps.
3. We revisited the idea of lowering dues. It was decided among the board to propose a vote at the next general meeting to keep dues at $50/year but offer $25/year discount for those using Waste Connections, as we need to keep the number of people using Waste Connections above 80% to retain discount.
4. The board also decided to propose a vote at the general meeting to waive board member’s dues to encourage others to run for the positions.
B. Neighborhood Maintenance
1. Vicki reported that two dead pine trees were removed by the city along Maple. However, two more trees now are diseased and need to be removed as well. Vicki will report those now to the city. She will also report cracking along the park bike path.
2. The front entrance lights are not working again. Rick will contact Delta Electric regarding warranty. He will also look in to having someone power wash the sign.
3. Rick has been in contact with the owners whose houses back up to Maple. Their fence needs repair. Rick will organize volunteers to help rebuild the fence. Homeowners will pay for all materials. A brick fence was discussed for the front entrance, but it was determined that the cost would be too great.
III. New Business
A. Fall meeting
1. We will hold our fall meeting at fire station 21 at 135th and 21st. Vicki will arrange the room reservation for October 13, if available, with October 20th as a backup.
2. It was decided that we would like to have the ability to amend our by-laws at general meetings. Currently, it takes 75% of the neighborhood to amend by-laws. However, we never get 75% of the neighborhood at meetings. We will send a ballot out with the 2021 dues to propose this change: In order to amend by-laws, only 75% of those present at meeting are needed. The ballot will also include votes to continue/discontinue specific events: dumpster days, neighborhood garage sales, Easter egg hunt, neighborhood night out.
B. Facebook page
1. We will setup a Facebook group for the residents of Maple Valley HOA. Only adults will be allowed in the group. Vicki will setup the page; all board members will be moderators. Any posts will have to be screened by moderators before being made visible to the entire group. Acceptable post items will include garage sale listings, lost pets, crime/vandalism concerns, and neighborhood events.
2. Having a Facebook page will allow residents to pay dues directly to Kim using PayPal’s “Friends and Family” option.
