Copy of Coach Debra's 5/12/17 email...

Hello Gator Families!

It is almost time for our summer swim team to get started.  I apologize for being so late in contacting everyone but as most of you know…I fell and broke my hip in mid-February so am just now able to get out, sit in a chair and resume most of my normal activities.  I appreciate everyone’s patience during this time.

There are MANY changes in the swim team this summer so please be sure to read this entire email, even if you are a returning Gator!!

Opening Day Picnic – May 21  2-5 PM at the pool
This is a great opportunity for families to get to know fellow team members, POGA Board members and the coaching staff.  Registration paperwork and fees will also be collected at this time. If you haven’t registered, no worries. The POGA board members will handle this during the picnic.  Families should bring a side dish and dessert plus  drinks (if you don’t like lemonade). The team will provide hot dogs, buns, utensils, plates, condiments and lemonade.   The picnic is open to the entire family, so bring your suits & towels and enjoy a relaxing afternoon at the pool.

Coaching Staff

There will also be a variety of Junior Coaches who will assist practice both from the pool deck and in the pool.

Or feel free to send in your check still at PO Box 1373, Louisa VA 23093. The 2017 Registration form is attached, if you would like to fill it out in advance.  If you have recently sent in your registration fee and paid the $195, we will credit the overpayment to your fundraising obligation.

Practice Information
Practice begins on Monday, May 22.  We will have evenings only for the first week since LCPS is still in school.  Our swimmers are assigned a color based on their ability. Returning swimmers should come to the same practice as last year.  New swimmers should come at 5:15 to the Activity Pool to meet with Coach Debra.  They will be assigned a color at that time and will then switch to the appropriate practice and main pool for the remainder of the season.  It is possible the swimmer will remain in the activity pool for several days to work on a specific skill or endurance prior to moving to the main pool.

All swimmers should wear a suit & have goggles.  The team will be providing a swim cap for each child at no charge, additional caps or replacement caps will be $10.  The caps will be available from POGA board members during the picnic and practice.

Prep Team
Our prep team is designed as a nine day intensive skill instruction practice.  We focus on basic skills needed for all four competitive strokes as well as building confidence and endurance.  Prep swimmers may progress to the main pool/team at any point during this time.  At the end of the first two weeks, Prep members are expected to join the team and practice in the main pool unless the coaching staff deems they are not ready.  At that time, the remainder of the team fee will be assessed, with credit given for all but $10 of the Prep Team fee paid.

Practice Schedule – Week One, May 22-26 (evenings only)
Main Pool
5:00-5:45  Yellow
5:45-6:15  Blellow
6:15-7:00  Red
7:00-8:00  Green

Activity Pool
5:15-5:45  Blue (and all new swimmers who are not in Prep)
5:45-6:15  Prep

Week two of practice will feature both morning and evening practices…note time changes due the LCAF being open to the public for normal hours.   I have attached a copy of the summer schedule. We will also have copies available at the pool.

Team Suits
The POGA board has decided not to require a specific team suit this year.  During swim meets, swimmers must wear either solid black or purple/black suits.  There are a variety of suits featured on our team store athttps://www.swimoutlet.com/louisagators or you may purchase at another store of your choice. The prices of competition suits vary…but cheaper is not always the best deal.  Please note…suits worn at swim meets must meet FINA requirements and will have a scan code visible on the suit.  Swimmers may wear any suit during practice (girls should wear one piece to avoid issues when diving).

Goggles
The POGA board has decided NOT to have goggles available for purchase during practices & meets.  Families should plan to have at least one extra pair for their swimmers in case one is lost or breaks.  There are several pairs listed on our team store, or you can purchase them at other retail stores.  Please be sure to make some identifying marks on your goggles…paint pen or fingernail polish usually works.

Stroke & Turn Judges
Each swim team is required to provide a minimum of four Stroke & Turn Judges at each swim meet.  Therefore, the Louisa Gators should have a minimum of six parents certified in this position.  In order to become certified, you must complete an on-line certification class which is composed of videos demonstrating correct and incorrect versions of the swim strokes and turns.  This portion of the class will take a minimum of 3 hours.

If you are interested, please contact Tracy Eppard (Meet Director) at tfursman@hotmail.com.  She will then forward you a passcode in order to take the class without a charge.  Upon successful completion of the online course, you will be required to attend a group class to get information on specific rules and changes which our league has implemented.  This class runs approximately 1 hour and is followed by a Starter class for those of you who might be interested in starting the meet.

At this time, two group classes have been scheduled at ACAC – Four Seasons in Charlottesville.  Wednesday, May 31 6:00 Stroke & Turn, 7:30 Starter OR Monday, June 5 6:00 Stroke & Turn, 7:30 Starter.  Returning Stroke & Turn judges are only required to take the online portion of the training but will still need to contact Tracy Eppard to get the passcode. Remember….online portion of training must be completed prior to attending the group class.

JSL Championship Meet
The Championship Meet is the culmination for the entire summer swim season.  The meet is open to ALL swimmers who compete in at least two meets during the regular season.   All swimmers will be placed in this meet unless your family will be on vacation or has a specified conflict.  There are many changes with the Champs meet this year, but please note the times & age group information is tentative and will be confirmed once all teams have submitted registration information.  For new swimmers, swimmers are only required to come at that time of their age group…they will not need to be there all day both days!

Fundraising
Each family is responsible for raising $100 per swimmer in addition to registration fees.  The fee may be handled in several ways:  outright payment, get a team sponsor or participate in a team fundraiser (Shamrock Shuffle which was held in March) or the team raffle.  This year, we have chosen a Yeti cooler as our raffle prize, tickets will be available from POGA board members at practice.

In the event your family is unable to participate this summer, please let me know and I will remove you from our email list.  Feel free to contact a POGA board member if you have any questions!  Looking forward to seeing (and meeting) everyone at the pool!!

President's Message...

Welcome Back Gators!
Louisa Gators Swim Team Update
Happy New year everyone!! My name is April Pekary, and I wanted to introduce myself. I am your new President of the Parents of the Gators Association (POGA). I have three kids on the team…Eleanor, Peyton, and Holden. Our family has been a part of the Gators for over six years now. We are very passionate about swimming and look forward to the summer swim season every year. It’s by far one of my favorite sports to be involved with! That being said…we (the POGA board) are very excited about what the Gators have in store for you, and can’t wait to kick off our new season together!!
Below I have listed the fee information for those of you that want to take advantage of our early bird discount that has been extended to January 31st!!
-$160 per swimmer for returning Gator families only until January 31st
-$180 with a $10 sibling discount per child by April 1st
-$195 with a $10 sibling discount per child AFTER April 1st
Here are a couple of dates for you to remember. Please mark your calendars!!
March 8th from 6-8pm: Swim Team Registrations at the Betty Queen Center
March 18th: Louisa Gators 5k Fundraiser (tentative)
April 2nd: Swim Team fees go UP!!
May 21st from 2pm-4pm: Swim team opening picnic
May 22nd: SWIM PRACTICE BEGINS!!
We have a lot of great fundraising opportunities to offer this year to help fulfill your fundraising obligation. Our season kicks off May 22nd 2017. I have attached a sponsor letter, for any of you that would like to get a head start on fundraising. It is very crucial to the team that we continue to bring in outside money. Our sponsors are what keep the team in motion! Without them, we wouldn’t be able to pay the staff, and operate as a team! I’ve also attached an updated swim team registration form for those of you that have not yet signed up for the team. You are more than welcome to print the form, fill it out, and mail it in to our PO BOX.
Thanks so much for all support. We wouldn’t be here without each and every one of you!!
See you at the pool,
April Pekary

Hello Gators!
Great job hosting our first home meet last week…everyone young and old worked hard and cooperated to make a successful meet.  Let’s keep up the good work!!

JSL Champs – Heat Sheet Ad Sales
We will be selling ads for the JSL Championship Meet Heat Sheet this week.  I hope we can get 100% participation in this program.  Our team receives 60% of all ad sales, all team ads are grouped together so they will be easy to find.  Ads can be individual family or a business. There will be examples of ads and sizes at the front desk.  Ad prices are as follows:  Half page - $100, Quarter page $55, Business Card $35 and Family Sponsor $15.  In order to put a picture of your swimmers on your ad, you will need to do at least a business card ad.  I will be happy to put the ad together for you, just let me know what you want to say and send me a picture of your swimmers if you want to include the picture.  Suggestions for pictures: siblings, best friends, relay team etc, action shots are hard to see in the book so candids are best.  Suggestions for writing:  Include your swimmer’s name…we are so proud of you!  Great job this swim season!  Congratulations on a fantastic season!   8 & Under Girls Free Relay…you ROCK!  All ads must be in good taste!  Families will receive credit for entire amount of all ads sold.

Fundraising Opportunities
There are several other fundraising opportunities which can be used to help your family fulfill the $100 per swimmer fundraising obligation.  Here are the current options:

Swim-A-Thon – will be held on June 30.  Yellow/Blellow swimmers will swim from 7:30-8:30 PM, Red/Green from 8:30-9:30 PM.  Forms are available at the front desk, this is a great chance for your swimmer to actually help meet the fundraising obligations.  They can contact family and friends to seek sponsors for swimming laps.  Money can be turned in at any time, checks payable to POGA.  If your swimmer would like to participate but is not available on June 30, make up times can be arranged with Coach Debra.

Snack Cart – we have a swim team snack cart which should be out during all practices.  The cart features water, GatorAid & various snacks.  Parents may work the cart and will receive a $10 credit for each hour worked.

Raffle – the POGA Board has chosen a Perception Sport Swifty Kayak & paddle for this year’s raffle.  The kayak is 9’6” long, 30” wide and weighs 44 pounds.  It will hold up to a 240 pound person.  It has a built in padded seat, 10” rear storage well and Keeper foot braces.   Tickets are available at the front desk during practice and will be $5 each or $20 for 5.  Families will receive the entire amount sold towards their fundraising obligation.

Swim Meet – June 29   This week is our SECOND HOME swim meet…we will be swimming with ELKS.  You will need to arrive by 4:45 in order to swim in warm ups which are at 5:00 with the meet beginning at 6:00.  Our team will sit in the grass at the deep end of the pool.  Whenever possible, please park down in the lower lot next to the Betty Queen Center.

We will be having concessions so you will be able to purchase food and drink.  Our menu will be hot dogs, BBQ and nachos.  We will also have a variety of candy/chips and drinks.  The prices will be extremely reasonable so please support our team!  As always, swimmers & families should keep all belongings in bags in order to grab quickly in the event of a storm. Parents are reminded that each family is expected to work at least one half of the swim meet however this is a home meet and we have to provide a few extra people.

Time Improvements
Although swimmers receive ribbons for each event…the Gators focus on the Red, White & Blue Time Improvement ribbons.  Our goal for this summer will be 200 time improvements.  Swimmers who get time improvements will be recognized at our picnics, we had 39 Time Improvements against Gordonsville.  Please watch our progress by checking out the Gator on the bulletin board.  He will continue to get colored in as we get more Time Improvements. These ribbons are very important…they demonstrate the progress swimmers are making throughout the season regardless of whether they ever place in a meet.  Let’s keep up the good work!

GOLD TIMES
Each year, our swimmers strive to obtain a GOLD time in each event.  These times have always been established by the league however they have not been updated since 2014.  Therefore, at this time, we are going with those times but we are in the process of trying to figure out how to update them to insure our swimmers have to work to achieve these times.  Congratulations to the following swimmers for obtaining GOLD times at this point:  Rett Delbridge – Backstroke, Lauren Dessent – Butterfly, Benjamin Hiter – Butterfly, Alison Soriano – Butterfly and Kyler Soriano – Butterfly.

Make sure you have signed up for our group texting so that you can stay up to the minute on important information.  Note – swim meets are NEVER cancelled in advance due to pending weather.   The league requires that teams stay on the premises until 7 PM, so in case of storms we will simply go to cars and wait. As always, let me know if you have questions!!

Hello Gators!

I am really proud of how hard of our Gators have been working during practice!  They are doing a great job of listening and trying everything the Coaches ask…even when it is chilly!

Swim Meet – June 15
This week is our FIRST swim meet…it will be at Lake Monticello.  It is very important for me to know if your swimmer will be out of town and not swimming in the meet this week!  Please contact me by Noon on Monday if your child gone.  Also, please take time to list any additional vacations on the purple pages located in the sign-in book at the front desk.

You will need to arrive by 5:00 in order to swim in warm ups, the meet begins at 6:00.  Please allow ample travel time, there is usually a lot of traffic, under normal circumstances it takes about 30 minutes from the Town of Louisa.  The address of the pool is 41 Ashlawn Blvd, Palmyra, 22963.  From the Town of Louisa, you will take Rt. 208 (Courthouse Rd) to I 64 West.  You will exit at the Zion Crossroad exit onto James Madison Highway – South.  You will turn right onto Union Mills Rd (there is a sign for Lake Monticello here) and continue until you reach a four-way stop sign.  You will turn left onto S Boston Rd, continue until you reach Lake Monticello Rd.  You will turn right and go up the hill, if you miss this turn and get to the river – turn around and come back.  Once on Lake Monticello Rd, you will get to the gates of Lake Monticello and will turn left into the subdivision.  After stopping at the front gate, you will continue straight across on Ashlawn Blvd in until you reach the tennis courts, clubhouse and pool.  Parking this summer will be difficult due to renovations.

This pool has limited lighting outside of the pool deck so be sure to bring a flashlight, also bring chairs as the deck has limited seating.  The pool will have concessions so you will be able to purchase food and drink.  Swimmers & families should keep all belongings in bags in order to grab quickly in the event of a storm. Parents are reminded that each family is expected to work at least one half of the swim meet each week.

Our league has developed on-line training videos for all worker positions at a swim meet.  Most take only a few minutes so please take time to review the video for those positions you are considering.  Please see the information below:

JSL has completed a series of NEW online training modules for all volunteer dual meet positions.  Hopefully this will make training easier, faster, and perhaps entertaining for our volunteers.  All of the modules are "Power Point" type presentations and all but the most technical positions take less than 10 minutes to complete.  Ten of the 18 modules take less than 5 minutes to complete.

Hello Gators!

I am excited to announce that Swim Season 2016 has arrived although we are still waiting on the sun and warm weather!!  We will be at the pool in ONE week!!!  Thanks to everyone who came out for our Cinco de Mayo 5K, we had a lot of fun despite the gloomy weather.  Welcome to our new Gators, we can’t wait to get to know you and your family.  To our returning Gators…can’t wait to see you again!!  The POGA board has worked hard this winter to create a fun-filled summer with a variety of activities and opportunities which we are looking forward to sharing with you.  I have attached the summer schedule, please remember that there may be adjustments throughout the summer so be sure to check our Gator Bulletin Board for the most up to date information.  Just a few reminders until we get to the pool…

May 15 – Gator Opening Day Picnic, 2- 5 PM
All swim team families are invited, please bring a side dish and dessert to share with the team.  We will provide hot dogs, buns, condiments, plates, napkins and utensils.  The pool will be open so bring your suits and towels!  This will be a great opportunity to meet the bulk of the coaching staff, order equipment, try on suits, pick up fundraising information and get to know the rest of the team!

May 16 – May 19 Schedule  (no practice Friday, May 20)
5:15 – 5:45  Blue swimmers (Activity Pool)
5:45 – 6:15 Prep (Activity Pool)
5:00 – 5:45 Yellow
5:45 – 6:15 Blellow
6:15 – 7:00 Red
7:00 – 8:00 Green

Team Apparel
This year we will be handling all team apparel purchases (exclusive of team suit and goggles) through Image Designers in Richmond.   Order forms will be available at registration or on the website.  Orders will be submitted two times throughout the summer.  There will be a lot of options for us, examples of products will be available when we get to the pool.  Note – with the exception of the team suit, team apparel is NOT required.  Each swimmer will receive a team t-shirt & swim cap as a part of their registration fee.  Additional family team shirts may be purchased to show your support.  The deadline for the Team T-shirt order will be May 31…please pre-order to insure you get your shirt.  May 31 will also be the first deadline for the team apparel.   The second and final apparel deadline will be June 17.  These deadlines will allow items to be received in time to use/wear during the season.

FUNDRAISING OPPORTUNITIES
Attractions Dining & Shopping Guide – we will have 2016 Attraction Guides for both Fredericksburg and Charlottesville area restaurants and grocery stores.  The guides cost $25 and contain coupons for many different places.  Each guide contains $30 worth of Food Lion coupons so money can be recouped quickly!  Families will receive the team portion of each guide sold.

ShopWithScrips – is a great program which allows families to purchase scrips (essentially gift cards) for places they normally shop and the team will receive a designated amount.  Specific instructions and help signing up will be provided at registration meetings and at the pool or by contacting Rhonda Reinhardt at soundrr@yahoo.com.  This is an amazing way to raise money without changing anything about your life!

Raffle Tickets – we hope to have at least one for the 2016 season.  Families will receive credit for the actual amount of money collected from raffle ticket sales.  The POGA board will pick an item during the upcoming week so that tickets will be available at the picnic next weekend.

JSL Champ Ads – swimmers may sell ads for the Championship Meet.  The deadline will be June 29 so get started early.   The team gets to keep approximately 50% of the actual amount of the ad sold, therefore you will receive credit based on the 50% amount you sell.  (Exact amount will be determined by JSL Champs Committee)

Swim A Thon – each swimmer can participate by getting pledges for the number of lengths they swim in a designated time period.  The Swim A Thon will be held on June 30 for all swimmers.  Yellow/Blellow will be from 7:30 – 8:30 PM, Red/Green will be 8:30 – 9:30 PM.  Note – during the Swim A Thon, there will be NO practice for swimmers not participating in the Swim A Thon. Make up times may also be scheduled during practice if needed.  This is a great opportunity for family and friends who do not live in the area to become involved in the team.  Forms will be available at registration, the front desk at the pool and from Coach Debra.  This is an easy fundraiser and requires minimal effort for parents as the swimmers do all the work!  Parents will be needed during the Swim A Thon to count laps for your swimmers.  Swimmers will receive Fundraising credit for the actual amount of Swim A Thon money submitted to POGA.

Summer Concert Series
The Swim Team will be handling the beer concessions at the Summer Concert Series held at the Louisa Art Center on June 17 & July 15.  We will need several adults to handle the concession and will also be able to sell raffle tickets or other items at this time.

Team Sponsors – each family can solicit sponsorship and/or goods from area businesses.  Please refer to the donation list below to get the breakdown on what each level of donation will receive from the team.  All donations over $150 will receive name on t-shirt if received by May 27.  Sponsor forms are available from Coach Debra, the Louisa Gators website and can be found in the small file box on the front desk at the pool.

Coach Debra Email Update... 3/24/16

posted Mar 24, 2016, 11:07 AM by Louisa Gators Swim Team

 Hello Gators!

I hope everyone is beginning to get excited about summer swim team!  The warm weather is definitely helping.  Just a few reminders as you get ready to enjoy Spring Break.
Team Registration
I will be at JES during LASA soccer on Saturday to handle team registration for this summer.  I will set up on the basketball court from 10 AM – 1 PM.  The current Early Bird fee is $170/first swimmer and $160 each additional swimmer in the family. I will also have Attraction Books, Sponsorship Information and our Cinco De Mayo 5K race forms.  Note – I will not have suits to try on at JES.

I will also be working the LCPRT office next Thursday & Friday.  Hopefully everyone will have the chance to get registered before the April 1 deadline.  After that, the registration fee goes to $185/first swimmer and $175 each additional swimmer.

Sponsor Forms
I am attaching the 2016 Sponsor Forms for you to begin looking for team sponsors.  The 2016 fundraising obligation is $100 per swimmer.  Sponsors of $250 or more received by April 15 will be listed on BOTH the Cinco De Mayo 5K t-shirt and the 2016 Team T-shirt.   That is a great deal of exposure because there will be at least 200 shirts running around the area advertising your business sponsor!

Attraction Books
I have Attraction coupon books for Fredericksburg & Charlottesville.  The Charlottesville book has $35 (4 different) Food Lion, 4 – BOGO at McDonalds, 4 – BOGO at Arby’s, 4-$10 at Dick’s Sporting Goods, 15% off at Walgreens, 2 BOGO at IHop, 4 - $5 off at Pizza Hut…and the list goes on!  Coupons are from businesses in Louisa, Orange, Greene, Albemarle Counties and the City of Charlottesville!

The Fredericksburg book covers Stafford, Spotsylvania, Caroline, King George and Orange County. This book also has $35 Food Lion (doesn’t list Louisa stores but may work everywhere), McDonalds, Arby’s, Domino’s, $35 (4 coupons) Bass Pro Shop, many restaurants, golf courses and amusement type business.

Both books also have National Chain coupons for ice cream parlors, car maintenance and tires as well as many other restaurants and businesses.  It is a great deal, just $25 which you can get back just from shopping at Food Lion.  Your swimmer will receive at least $10 towards their fundraising obligation.  This is a fantastic way for you to raise money as well as helping your own budget!

Cinco De Mayo 5K
Our 5K race & Fun Run will be held on Thursday, May 5…beginning and ending at the Louisa Arts Center.  We will begin race check in at 5:00 PM, the 5K race will begin promptly at 6:00 PM (in order for runners to miss the train!) and the Fun Run will begin at 7:00 PM.  Advance registration is $25 or $15 Fun Run – prior to April 15, all military & service personnel are just $15, registration the day of the race is $30.  During and after the race we will have live music from The Freddy Fingers Band as well as snacks and beverages (for all ages!).  This is also a great opportunity to check out the Louisa Art Center exhibits!  All race registrations associated with your family can be credited towards your fundraising obligation.

Mineral Parade Float
We are having a parade float in the Mineral Fireman’s Parade on April 29.  I think we have the trailer under control but need ideas and people to help decorate!  PLEASE contact me if you are interested in helping with the float, we are having a planning meeting on Wednesday, March 30 at 6:00 PM at Los Tres Potrillos (Louisa Mexican Restaurant).  Decorations will need to be done ahead of time so that we can fix the trailer at the last minute.  We will also need swimmers to walk/ride but I will let you know about that closer to the parade.

Hope to see most of you tomorrow…or very soon!

Email from the President... GatorAid 5K & Fundraising!

posted Mar 20, 2016, 7:13 AM by Louisa Gators Swim Team   [ updated Mar 20, 2016, 7:33 AM ]

Hi everyone,

It has been a long winter off, and I want to welcome everyone back and say hello to all of our newest team members and their families!  For new folks, I like to keep it short and sweet, and I would like to introduce you to Little Johnny, our example swimmer.  He's a nice, fictitious kid who serves us well as you will see below.

Each year, Little Johnny has a fundraising obligation to meet by the end of the summer.  This year each swimmer will need to raise $100.  You can do this in many ways...participate in the SCRIP program to buy gift cards to pay for things, sell sponsorships, buy raffle tickets for our end of the year raffle (TBD).  What is the EASIEST way Little Johnny can do this you ask?  Getting people to sign up for the GatorAid Cinco de Mayo 5K!!!!!!!!!  The cost is $25 until 4/15.  Everyone you sign up at $25 will take $25 off your fundraising obligation!  They can even walk!  Little Johnny may not be old enough to run/walk the 5K, but he certainly can do the Kids Fun Run for $15, which also is a credit.

Example: Little Johnny and his older brother (who doesn't swim-boo) have parents.  They all sign up to run or walk in the 5K, which is $100 credited to your fundraising account.  Little Johnny has taken care of it in 1 day before the season even begins.  Voila!  Hooray over-achieving Little Johnny!

Seriously folks, this is easy.  Sign up your friends, co-workers, dentists, vets, classmates to come run/walk with us through downtown Louisa on Thursday, May 5th at 6pm.  Each registrant gets a t-shirt and a free adult or non-alcoholic beverage to celebrate Cinco de Mayo.  The information and signup is here: https://sites.google.com/site/louisagatoraid5k/

I have attached our flyer as well.  Please print it out and post it everywhere.  If you need color copies, please let me or Debra know.  And PS there is a huge discount for our service personnel and military, so hit them up as well.  The precinct or department with the most runners gets a prize ;)

Over and out,
Rhonda
