Applying to organise future editions

Proposals

Proposals will normally have at least the following material and we recommend having a separate section for each of these. Proposals will be assessed by the steering committee but in the first place should be sent to its Chair, Mercedes G. Merayo (mgmerayo@fdi.ucm.es). You are welcome to contact Mercedes G. Merayo (or any other member of the Steering Committee) to discuss the possibility of submitting a proposal.

Description of the organisers

It is normal to have either two or three organisers (having only one can place an excessive burden on that person; it should not be necessary to have more than three and this can make the lines of responsibility less clear). This section should give the name and affiliation of each organiser along with a brief description of their background and industrial or research expertise. It is desirable to have at least one organiser who has significant industrial expertise. You should include contact details.

The experience in organising international events

Normally, one or more of the organisers will have previously been involved in organising international conferences or workshops. In addition, normally at least one of the organizers will have significant experience with ICTSS. Please outline this.

Proposed location

Normally this will include a description of the town/city and the venue within this. Ideally, the proposal should explain:

    • What makes this location desirable (i.e. additional factors that will encourage paper submission and attendance).

    • Whether there is relevant local industry that might supply papers/attendees.

    • The facilities provided at the proposed venue.

    • Transport links (i.e. how attendees will get there).

    • Accommodation options (along with estimates of prices).

Proposed dates

Here you should give the proposed conference dates but also the other ‘important dates’ such as the deadline for paper submissions. You might give a range of options. You should remember that ICTSS is usually held in the autumn and check that the proposed dates will not clash with relevant events.

Structure

Usually ICTSS has been held over two or three days. We strongly recommend that you consider including activities such as tutorials and/or workshops in order to attract a wider audience.

Publicity plans

You should explain how you intend to publicise the event. It is normal to at least use international mailing lists such as SEWORLD and to produce a website well before the deadline for papers. However, you should consider whether additional mechanisms might be used.

Publication plans

The proceedings are published by Springer but you might want to consider organising a special issue of a journal for revised versions of the best papers (this is not required but may attract papers).

Estimate of registration fees

You should give estimates of both student fees and academic/industrialist fees. It is normal to have an early registration fee, with fees increasingly significantly after this deadline.
