1. Question: What is the difference between a scribe and an author?
We will answer this question in Session 3 - Working with Cases - but essentially a scribe works for an author. The scribe, when they sign into the case, indicates the author for whom they are working in the case. The scribe has all the rights of the author EXCEPT for the right to use the Evaluation Fields - in which the author's decide on the importance of a piece of evidence, etc.
2. Can you link to files you have on a usb stick or external hard drive?
You could BUT do not do this because the path to the linked file will not be available to others on other computers. Rather you must copy all files you want to later link to up to a subfolder in your case folder (the case folder created when the case was initially created) - a subfolder into which you put all the files you plan to link to for this case - then when you create the link browse to that subfolder location and all users will be able to bring up these linked files.
3. When I tag a record my coworkers do not see the tags?
Tagging is a personal tool that only you as the user can see. If you wish to call attention to a group of records that you are wanting to see at the same time you see other records - unlike a filter that makes the other records disappear, the tagging feature is useful when you want to have your attention called to certain records while at the same time reviewing non-tagged records.
4. Could a person use OneNote for a Case Management software option?
Yes. Some law firms use OneNote, a free program that comes from Microsoft with Office, to manage smaller cases. It has advantages over CaseMap and disadvantages. The advantages are 1. it is free and 2. if audio files are a large part of the case, can automatically index these audio files and 3. It is simpler to use. Its disadvantages are 1. Because it is simpler, it does not provide the reporting and filtering power of CaseMap, 2. It does not link items to each other, 3. It does not integrate with Lexis/Nexis research software and 4. It is note spreadsheet interface but notebook interface oriented.
5. Could you recommend a cloud service to host CaseMap?

6. Is it possible to create custom reports on the fly?
ON page 516 of the CaseMap guide that you can download from our file cabinet page, you will find detailed instrucitons of how to create your customized reports. Essentially, you create these customized reports by modifying your view of the particular spreadsheet - hide fields, insert fields and filter the records per your filtering decisions.
7. Can you print related files as part of batch printing?
The detailed directions regarding batch printing start on page 576 of the pdf manual downloadable from the file cabinet page on our website. And yes, you can print related files as part of the batch printing. If you have links to external files stored in your CaseMap folder, these will generate as links in the report and these files will be provided as a part of the report itself.
