Introduction and Scope
The Availability Checker Extension ("ACE") is a proprietary internal tool developed by SimplePractice. This Privacy Policy governs the collection, use, and protection of data processed by ACE. The extension is strictly authorized for use by Customer Support Solutions specialists to facilitate the diagnosis of scheduling and availability issues within the SimplePractice platform.
Data Collection and Usage
ACE operates by interacting with the active browser session to automate the retrieval of account configuration data. The extension does not collect personal data from users outside of the specific context of the SimplePractice account currently being viewed by the authorized agent.
Types of Data Collected The extension programmatically accesses the Document Object Model (DOM) of the authenticated SimplePractice account to read the following specific data points:
Configuration Settings: Client Portal availability toggles, Service Code configurations, and booking restrictions.
Calendar Data: Appointment slots, availability blocks, and associated clinician identification (names/initials).
Practice Details: Account timezone settings.
Purpose of Processing Data collection is limited to the minimum necessary to perform the extension's function. The data is aggregated solely to generate a temporary, local report that assists support agents in:
Troubleshooting availability discrepancies.
Verifying account settings against reported issues.
Expediting support resolution for customers.
Data Storage, Retention, and Transmission
ACE adheres to a strict "Local-Only" data policy.
Local Storage: All data scraped or processed by ACE is stored exclusively within the browser's local storage environment (chrome.storage.local).
No External Transmission: ACE does not transmit, upload, sync, or otherwise transfer data to any external servers, cloud databases, or third-party analytics providers. All processing occurs locally within the user's browser instance.
Data Retention: Data retention is transient and ephemeral. Collected data is overwritten immediately upon the generation of a new report and is permanently cleared when the extension’s local storage is purged or the extension is uninstalled.
Security and Access Control
Access Control Usage of this extension is restricted strictly to authorized SimplePractice personnel for business purposes.
Operational Environment ACE operates exclusively within the secure, HTTPS-authenticated context of the SimplePractice application (secure.simplepractice.com). The extension:
Relies on the agent's existing, active authentication session.
Does not manage, store, or transmit login credentials or passwords.
Does not bypass SimplePractice security protocols.
Third-Party Disclosure
SimplePractice does not sell, trade, or otherwise transfer data collected by ACE to outside parties. Data remains internal to the support function.
