First of all...welcome to Shelby!
New staff need to read the SCPS Responsible Use policy, then sign and turn in a signature sheet. These forms will be part of their initial personnel paperwork upon acceptance of an offered position.(See the Tech Forms page.) If you have any other questions about your initial paperwork, please contact the Personnel Department at central office (502-633-2375).
Submission of your signature page will begin the process of creating your email address, Google Drive account, and access to the SCPS school network.
Next, if you will have an instructional/certified role, please read the following Document, as it has important information for how to access important district digital platforms. You will also need to consult the Virtual PD page.
Lastly, your badge is made at central office. For more on making your badge, read here.
As discussed in the previous question, turning in your signed signature sheet confirming you have read and will follow the district's Responsible Use Policy will trigger the creation of an email and Google Drive account, as well as get you access to the SCPS school network. This usually takes approximately one week. Someone from IT or your school will let you know via phone or your alternate/personal email that the school email/network password/Google Drive is ready along with your initial password. If you want to follow up on your initial account creation, please contact the IT help line at 502-383-3352 between 8:00 am and 3:30 pm.
Most instructional certified staff receive a MacBook Air laptop. This has traditionally occurred during a "New Teacher Induction" professional development day near the end of July, but may occur later depending on other factors. Your school supervisor will communicate dates and information about getting your device, but please contact your building technician if you have questions.
On an annual basis, students (and their parents) must read the SCPS Responsible Use Policy and submit a signed signature page. (See the Tech Forms page.) This will trigger the creation of an email and Google Drive account OR continue the access to email and their Google Drive for another school year.
Students will receive their student device during a rollout at the start of the school year, usually in the first month of school. Your school will communicate dates and information about the rollout.
We need to ensure the security of our network, as well as maintain reliable Internet access and speeds for our official 7000+ SCPS student and staff devices. Therefore, we generally discourage allowing personnel devices on our official "main" high speed network.
However -- depending on the school, location in the building, and/or the time of the day -- access to a limited "guest" network might be available. If you see a SCPS guest network as a choice on your device, you can choose it and follow the prompts for authentication. In general, the guest network is slower and may have more sites blocked than the main network.
Students may need permission to use their personal devices during normal school hours.
If you have any questions or concerns, please contact your building technician.
Your SCPS badge is made at central office by our front desk person, on demand and as needed. While a special appointment is not necessary, we strongly recommend you call ahead on the day you plan to come by to ensure there are no issues getting your badge made. We will need to know what building(s) you believe you need access to on a daily/weekly basis. Once the badge is physically made, it still needs to be activated by our IT; the front desk person shares this info with IT and the badge is usually activated within 24 hours. (If your badge is created on a Friday, please wait at least until the end of the work day Monday for it to be activated.)
If after 24 hours you are having any issues with the badge, please share the details by creating a SchoolDude ticket with the Work Type "Employee Badge Access/Issues."
If you LOSE your badge, please IMMEDIATELY let your supervisor know and call IT's help desk (502-383-3352) so the badge can be deactivated! If after hours, email Chad Hebner with a high priority email and call the help desk on the following work day morning.
SCPS has a "spiraling" digital citizenship curriculum of 65 unique lessons K-12 in five focus areas: Digital Footprint, Cyberbullying, Copyright and the Law, Relationships and Communication, and Information Literacy. This means a student in SCPS should participate in at least five digital citizenship lessons a year (one per focus area). SCPS first created this curriculum's materials, scope and sequence in 2016, with many lesson plans adapted from well-vetted resources such as Common Sense and Google's Be Internet Awesome. As with any curriculum, we constantly seek to update and revise it based on district needs and changing technology.
Our curriculum has been recognized and acclaimed in Kentucky and beyond; it was recently spotlighted in the book The Digital Citizenship Handbook for School Leaders by Mike Ribble and Marty Park (2019).
If you have questions about our digital citizenship curriculum, please contact the librarian at your school.
Starting with the 2019-2020 school year, students are not charged with using a SCPS device. Cost will only factor in if there is damage or loss of the device or its components (for example, if the charging cord goes missing).
In most instances, devices are "rolled in" at the end of the school year. This is to assess damage, do necessary reimaging of the device, and maintain accurate inventory.
Keep in mind that any backup of data is always the responsibility of the student. Data left on a device in May could be gone in August. That is why we highly recommend utilization of Google Drive, which will keep files in the "cloud" and can be accessible separate from a specific device.
The device is designed to be used for the student, and content is filtered accordingly.
FOR STUDENTS: Yes. If the device is damaged or lost as a result of mishandling, a repair/replacement fee will be assessed immediately and/or at the end of the year. If a student is found to be inappropriately utilizing their device, it is up to the student's school to decide how to handle the situation. Consult your school's Student Handbook.
FOR STAFF: Yes. If the device is damaged or lost as a result of mishandling, a repair/replacement fee will be assessed immediately and/or at the end of the year. If the staff member is found to be inappropriately utilizing their device, it is up to the staff member's supervisor, in accordance with our district guidelines and policies, to decide how to handle the situation.
SCPS is not a paperless district. However, the district is moving towards becoming less reliant on paper, and relying more on online content.
The charger is provided by SCPS. It is recommended, but not required, that you buy headphones/earbuds and a protective case or bag. For staff with older (pre-2021) MacBook Airs, we highly recommend having Thunderbolt dongle(s) to connect your MacBook to a VGA and/or a HDMI cable (depending on your hookup to your classroom display); for newer MacBook Airs, they require a special USB-C hub dongle in order to connect USB-A devices, HDMI, and more (such as this one). These may or may not be supplied by your school. For more information, students should contact their teachers or admin, and staff should contact their supervisor.
While in one of our district building locations, we have a filtering computer/network program in place to block as much inappropriate content as possible. At home, filtering may be only as strong as your personal settings of your own network. Filtering cannot be controlled by SCPS if a student uses cellular data such as through a mobile hot spot or the 4G of their personal smartphone.
There have been students who attempt to install "Virtual Private Networks" as a way of going around our school network filters. This is considered a violation of their Responsible Use Policy and the consequences will occur as determined by that policy.
While we are proud to continue our 1:1 SCPS student device initiative, we recognize there are still economic and geographic challenges to ubiquitous, high speed Internet access for all Shelby students. In 2019, we applied and were approved for the "1Million Project" grant from Sprint, which means we received dozens of hotspots to be gifted to high school students with FREE high-speed Internet access. (We were the first Kentucky district to receive the grant!) These hotspots are filtered for educational use much the same way our own SCPS network is filtered. Although initially given to only SCPS high school students, Sprint has now expanded the hotspot program for K-12 students for the 2020-2021 school year!
If you are a parent and are wanting to request a hotspot on behalf of your student, please complete this survey. (A request is not a guarantee you will receive a hotspot since our stock may be limited, but we will attempt to fulfill requests in a first come, first served basis.) Should you have other questions about the hotspot program, please reach out to your building tech or Chad Hebner, our Digital Technology Coordinator.
