If you're a manager or professional services staff member you may be granted enhanced access to assist colleagues. This guide explains the key manager roles, what they allow you to do, and how to gain access.
Certain staff have enhanced roles to perform administrative or reporting duties across individuals or groups:
Delegates: Manage selected profiles on behalf of specific, named researchers.
Research Managers: Impersonate all members in their assigned group(s) to assist with data curation, claiming, and approval. They also have reporting rights.
Impact Officers: View and edit impact records across the University, or within their assigned School/Faculty.
Assessment Administrators: Manage REF outputs and scoring/assessment processes.
Delegates are granted permission by a specific researcher to impersonate them. This allows you to assist that researcher with curating their search settings and managing publication approvals. You will receive all of the same email alerts as the researcher (e.g., when new publications are found to review).
Click the Impersonate icon in the side menu.
Search for the staff member by name or department.
Click Impersonate to access their profile.
Perform necessary tasks (e.g. claim outputs, deposit files).
Click Stop Impersonating in the top banner when finished.
While impersonating, you can do anything the end-user can, including:
Modify search settings and claim author identifiers.
Approve or reject publications and merge or split records.
Add manual records and create links between data types (outputs to grants, etc.).
Deposit items into WRRO.
The researcher who needs your help must add you to their delegate list:
The researcher goes to Account > Manage delegates.
They search for you and click Add.
Alternatively, another delegate or manager can impersonate the researcher and set you up.
Research Managers have the right to impersonate all members within their allocated group(s). This allows them to undertake all the tasks that a delegate can (see above), but without the need for individual researchers to give them access. Research Managers will not receive the email alerts that individual users do.
Research Managers can also run reports for the group in the Reporting Hub.
Complete the Request Form.
Your request will be reviewed by RPI.
Once approved, you will receive confirmation and see additional menu options after next login.
Impact Officers can view and edit the impact records of all staff across the University (if they work in a central team) or within their allocated school or faculty (e.g. if they are a Faculty Impact Manager). This access is provided specifically to assist researchers with updating and enhancing their impact records.
Go to System admin > Impact & engagement > Manage impact & engagement.
You will see a list of impact records you have permission to access. Use the filter to find specific records.
Click on the title of the record to view further details and begin editing.
