Prepare or clone a template to gather the data you need. Your template should have a display column for your item barcodes. In this example, we’re using the Lost Items by User Home Library v1.3 from jhill-circmanager.
2. Run the report and select your filters as needed. On the Layout and Scheduling tab, select a checkbox to output raw data, such as CSV or Excel. We’ll use Excel in this example. Continue by selecting your Reports and Output folders.
3. Select Save & Schedule report. Then, navigate to your Output folder and find your completed report. Select the output data (in this example, click the Excel button).
4. You may need to sign into your Evergreen account again. Then, a data file will download to your Downloads folder.
5. Open the file and enable editing in Excel. If you would like to use Google Sheets instead, follow the process at the bottom of this page.
6. Delete all columns except for the item barcode column.
Note: You can skip deleting columns if you only have item barcodes displayed on your report.
7. These barcodes need to be in a different number format in order for Evergreen to accept them as barcodes. Select column A to highlight all of the entries. Then, in the ribbon, expand the Number section.
(Optionally, you can right click the highlighted column and choose Format Cells to open the same dialog box.)
8. Select Custom from the Format Cells dialog box that opens. In the text box under Type, insert 13 digits (we inserted 13 zeroes in this example). Click OK.
9. You should now have a worksheet that displays valid 13-digit item barcode numbers. Go to File → Save As to save the worksheet as a CSV (Comma delimited) file.
10. Go back to Evergreen and go to Search → Search for Items by Barcode (or press F5 on your keyboard). This pulls up the Scan Item page.
11. Go to Choose File. Find your CSV file with only the barcodes and open it.
12. Wait for Evergreen to load all your barcodes.
Note: In our experience, Evergreen works best with about 200 items at a time. If you have a very large file, consider separating the barcodes into different sheets and load them in smaller batches.
13. Once the progress bar completes, you’ll see a summary of the file load.
14. Now that the items are loaded, select the checkboxes next to items you want to modify. Use the Actions menu to add the records to a bucket, edit items and call numbers, or change item statuses.
15. If you have more rows than what’s currently displayed and selected, move to the next page in your queue and modify the rest of the items.
If you want to manipulate your data in Google Sheets instead of Excel, the easiest way to do so is:
1. Open a blank file in Sheets.
2. Go to File → Import.
3. Go to Upload and click Browse.
4. Find the exported data from Evergreen.
5. In the Import file dialog box, uncheck the Convert text to numbers, dates, and formulas box. Click Import Data. Your barcodes should not need formatting since you told Sheets to not format any data.
6. Remove all columns other than the item barcode column. Then, go to File → Download and select the Comma Separated Values format. This new file is what you will load into Evergreen.
