Savvy TC Solutions ("Savvy," "we," "us") is a Washington State transaction coordination company owned and operated by Allbree Warner. This privacy policy explains how we collect, use, store, and protect information in connection with the services we provide to real estate brokers, their clients, and other parties involved in real estate transactions.
This policy applies to information received through our website, email communications, client portals, and third-party platforms used in the course of transaction coordination.
Information We Collect
In the course of coordinating real estate transactions, we may collect and handle the following types of information:
Contact information — names, email addresses, phone numbers, and mailing addresses for buyers, sellers, agents, lenders, title/escrow contacts, and other transaction parties
Transaction documents — Purchase and Sale agreements, addenda, disclosures, inspection reports, lender documents, title commitments, and closing statements
Financial information — earnest money amounts, purchase prices, loan figures, and commission details as they appear in transaction documents (we do not collect or store payment card or bank account information)
Communication records — emails and coordination notes related to active transactions
Property information — addresses, MLS numbers, legal descriptions, and property details relevant to listing or transaction coordination
How We Use This Information
Information collected is used solely for the purpose of coordinating real estate transactions on behalf of the broker(s) we represent. This includes:
Preparing, routing, and tracking transaction documents
Communicating with all parties involved in a transaction (buyers, sellers, agents, lenders, escrow, title)
Meeting compliance and brokerage documentation requirements
Managing deadlines, contingencies, and closing timelines
We do not use client or transaction information for marketing purposes. We do not sell, rent, or share personal information with third parties outside of what is required to complete the services described above.
Third-Party Platforms
In providing transaction coordination services, we use the following third-party platforms, each of which maintains its own privacy and security practices:
Aframe - transaction management and file tracking
Authentisign / Instanet - electronic document signing
Dropbox - file storage and document management
Google Workspace - email and communication
Information shared with these platforms is limited to what is necessary to perform the services. We encourage clients to review the privacy policies of these platforms directly.
Document Retention
Transaction documents are retained for the duration of the active transaction and for a reasonable period thereafter in accordance with standard real estate industry practices. Upon request, documents can be delivered to the client broker or their designated party at closing or transaction termination.
We do not retain original signed documents as the record-holder — that responsibility belongs to the broker of record.
Security
We take reasonable precautions to protect the information we handle, including use of password-protected platforms, encrypted email where available, and limiting access to transaction files to those directly involved in the transaction.
No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to handling your information with care and professionalism.
Communications
By engaging Savvy TC Solutions for transaction coordination services, parties to the transaction consent to receiving email and text communications related to their transaction, including deadline reminders, document requests, and status updates. These communications are transactional in nature and are not marketing messages.
