Module 2.5: Fundraising Policies
Fundraising/Sponsorship Policies
Fundraising involves the receiving of money from any external source including having an external company or group co-sponsor an event. Please read the policies carefully and reach out with any questions you may have. The policies are strictly enforced because the University is bound by specifc financial reporting rules so we want to ensure that we are always in compliance. As such, violations of any policies may result in discipline and/or cancellation of an event.
Also note there are different deadlines for events involving fundraising efforts and sponsorships. The Law School needs to know about events include fundraising efforts or sponsorships at least two months prior to the event. You will also need to clearly seek approval for all solicitation efforts with the Law School Development Office prior to reaching out to any potential donors.
Applicable policies for fundraising: Section V.A.4.b of the Student Organization Handbook and the Student Group Fundraising Policy in Appendix A of the handbook.
Section V.A.4.b. of the Student Organization Handbook
If your organization would like to seek outside funds from alumni or the broader community, please refer to the Student Group Fundraising Policy (attached in the Appendix A and provided in the Student Organization Blackboard Resource Center). This includes fundraising and sponsorships from any external sources. If you have any questions about this policy, please contact the Law School Development Office at (619) 260-4692 or lawdev@sandiego.edu.
As stated in the Student Group Fundraising Policy (attached in Appendix A), USD School of Law student groups are required to seek approval from and collaborate with the Law School Office of Development before soliciting alumni and donors. This is to preserve USD School of Law’s credibility among its alumni and donors and optimize resources. Please note that a student organization looking to fundraise must email lawdev@sandiego.edu at least two months in advance of your solicitation date. Identify yourself, affiliated group/organization, and your fundraising goals.
Once you receive clearance from the Law Schools Office of Development, all donations that you receive from any source, including: firms, individual donors, or other sources must be coordinated with the Law School Office of Development.

Module 2.6: Communications and Marketing Policies
Communication and Marketing Policies are found in Section VI of the Student Organization Handbook. It is includes how to advertising events, the use of the USD Logo, and how to obtain approval of your own student organization logo.
ADVERTISING AN EVENT
Get the word out about your event! Remember to advertise your event only after you have registered on the Student Organization Calendar and received a room reservation confirmation. Further, as always, remember that alcoholic drinks must be referred to as “graduate level beverages” in all advertising materials, which will be describe further in Module 3.7. Graphics and the name of the event should not indicate or reference alcohol (e.g. "Happy Hour" should be labeled "Social Hour"). Sidebar
Sidebar is an excellent way for you to publicize your event to all students, not just those on your student organization’s roster. Not only will your events get increased publicity, but it should hopefully also cut down on the number of emails that students receive.
Every Monday morning, the Office for Law Student Affairs emails Sidebar to the entire USD law community (students, faculty, administrators and staff). Sidebar contains important announcements and events from SBA, registered student organizations (including law journals and advocacy groups), and law school administrative offices. Sidebar is not just for events! Remember, Sidebar can also be used for announcements. So, if you are looking for bailiffs or board members, or your organization is conducting tryouts, Sidebar can be a way that you advertise it.
The deadline to submit items is noon each Thursday via the online. Step-by-step instructions for how to submit your Sidebar submission can be found here (please read the instructions before submission). The guidelines for Sidebar submissions are as follows:
Fill in all of the fields in the form. Also include a brief description of the event.
Helpful Tip for Event Submissions: Only the first couple of lines of your event description will appear in Sidebar so it is best to make your event description simple yet informative. Readers can click on the event link in Sidebar to be directed to the event page for more information.
Submissions may be edited by the Office for Law Student Affairs.
Submissions may include a link to a graphic (attachments will not be accepted). If the graphic link or file attached to the link is shared incorrectly, the graphic will not be displayed.
Announcement listings will be deleted after two weeks.
Sidebar only shows a two week range of events at the time when the newsletter is sent. If you submit early, it will show when the date is within those two week. You only need to submit your event one time.
Virtual Events Consideration
All items submitted to Sidebar are also included in the Student Events Calendar, which is publicly available. This means that anyone could see the link to your virtual event and attend. You and your board need to decide whether you would like this information to be publicly available or whether you want to only provide it to people who register. Refer to the Zoom Security Quick Tips document (in the Virtual Event Resources folder in the Student Organization Resource Center); it has some helpful information about options to consider.
Social Media
Social media is an important tool for advertising your events. Blast Facebook and Instagram with information about your event. Set up an event website to give potential attendees information about why they should attend this event. Create a video about the upcoming event to get people excited about going. Use your creativity to advertise your events and get people to attend.
Posting Flyers
You may only post flyers in approved areas, and you may not post any materials on any structure of the building (e.g., walls, lockers, doors). Please refer to the Posting Policy for a list of approved areas. Flyers that do not adhere to the Posting Policy will be taken down. Flyers must be removed after the event.
Electronic Boards
If you would like to submit an announcement for the electronic board, please send a PDF version of a PowerPoint slide advertising the event details to Law Student Affairs (lawstudentaffairs@sandiego.edu). The PowerPoint slide dimensions should be 18.5” x 9.5”.
Word of Mouth
Do not forget to talk about your upcoming activities and events with your classmates! This is probably the most impactful way to advertise your events. Tell your classmates why the event matters, who is going to be there, and offer to go with them. The “buddy system” can be an effective way to get other students to your events.
USE OF THE USD LOGO AND UNIVERSITY NAME
The university logos and verbiage (such as “University of San Diego” and “USD”) are trademarked. A license must be obtained by anyone who wishes to use the terms or trademarks of USD. Licensing protects the institution name, reputation, and image by permitting only appropriate uses and assuring that only quality products are associated with the institution.
Please refer to the USD Brand website for information on appropriate use of the university name and marks. If you wish to use the USD logo or name on any manufactured promotional items (i.e. t-shirts, mugs, banners, etc.), refer to USD Brand’s Visual Identity and Merchandise webpage. To seek approval, please also contact Law Student Affairs at lawstudentaffairs@sandiego.edu.
Once approved, you must select a licensed USD vendor to purchase the items. Please visit the Licensing and Trademarks website for a list of vendors that you may use.
Once you order the promotional items for your student organization, all items that are reimbursed by university funds must be shipped directly to the university. For example: if you are purchasing custom mugs for your members and paying for those mugs out of your Agency Account, the mugs must be shipped directly to the university and not your residence. If you need to ship items to the university, please ship them directly to Law Student Affairs to ensure that you receive them. They should be addressed to:

STUDENT ORGANIZATION LOGOS
Any student organization that would like to have their own logo for their organization must get their proposed logo approved by the law school. Please contact Law Student Affairs with your proposed logo. No student organization may use a logo until it is approved in writing.
