Where can I find information on the reimbursement process? ROE35 has built a google site that is found on their website under programs. You can access it directly here!
How much can each ROE/ISC receive? Each ROE/ISC has access to $11,200 for reimbursements for working for local agencies. If you are a district, once you are approved by ISBE you can access the funds being offered under the ROE/ISC that you are under. Contact Caitlyn at cwalker@isbe.net if you are a district who wishes to be eligible for this program.
Reimbursement Process:
Complete the PD Plan.
Submit plan to Krissy Darm. kdarm@roe35.org Wait for plan to be approved.
Collect needs assessment data from identified local education agencies. (The current needs assessment is a Google Form. To use, please make a copy and forward to your area school districts.)
Facilitate a new PLC or support an existing PLC based around information from the needs assessment data and information shared during Capacity Building Sessions
Complete the Expense Reporting file for ROE 35 and start to compile supporting expense documentation (receipts, invoices, copy of check to pay invoice, direct deposit vouchers, copy of timesheet etc.)
Submit the completed PD Plan and Expense Reporting document with appropriate supporting documentation to Krissy Darm at kdarm@roe35.org with the subject line: Capacity Builders (ROE number/ ISC Name/ District Name)
We will issue reimbursements as they come in but no later than July 30th, 2023. Funding is first come first serve.

What are some examples of acceptable forms of proof for expenditure payment?
Copies of invoices
Copy of check used to pay invoice
Payroll report that includes and supports the amount paid
Copy of timesheet
Direct Deposit vouchers
What expenses are considered allowable?
Wages for ROE/ISC staff participating in/offering professional learning communities
Reimbursements for ordinary expenses or tangible materials required when ROE/ISC/Districts facilitate professional learning communities
Virtual platforms
Technology needed for offering virtual PLC’s (webcams, mics, etc)
Substitute pay for teachers participating
Books for book studies
Stipends for educators participating in the PLC
Costs associated with travel
Why do I need a needs assessment? A needs assessment helps plan for future actions. Using the results of a needs assessment helps the creation of successful programs. More importantly, it enables buy-in from the respondents by giving them an opportunity to share their voice.
Do I have to create my own needs assessment? No, the team created one. Just make a copy and forward to the district you are working with. Click here! You can choose to edit your copy to fit your district.
Who should complete the needs assessment? That is up to you. It could be teachers, principals, or both!
If I gave a needs assessment at the end of last year, can I use that data? Sure!
If I work with multiple districts, do I need to submit multiple plans? Yes, you need to submit a PD plan for each district that you work with as districts may need different plans.
Do we need to submit the needs assessment to anyone? No.
Is this federal funded? Yes. Our bookkeeper does recommend using the TRS rate for payroll expenditures.
