Support Staff - Custodian, Admin Assistant, Educational Assistant, Librarian/Learning Resources Area Facilitator
Support staff are evaluated in the first six months (probationary period) and then every 3 years afterwards. (GEF) The principal completes the evaluation. If evaluating an assistant custodian, the head custodian may be consulted in the evaluation of the assistant custodian. If evaluating an EA, Resource may be consulted in the evaluation.
Steps to follow:
In the beginning of September, the division will provide schools with a letter listing all support staff to be evaluated during the year. The division office will set up a folder of the evaluations and share them with the principal.
Principals notify the employee being evaluated by September 15th (or within two weeks after the starting date). This can be done in a simple email with reply so there is a record of the notification.
Principal discusses the evaluation process with the support staff. It is up to the principal to decide when to share the document with the support staff and show them how to access and complete the document.
Principals meet with the employee during the year to discuss the evaluation. Principals could review the job description with the support staff at this time. Principals may want to target certain areas to discuss with the employee that they would like employees to work on during the year.
Principals complete the evaluation by April 15th or within 6 months from the hiring date if on probationary period. This includes all checklists, principal comments and recommendations for growth. Principals meet with the employee to go over the final evaluation and discuss any recommendations for growth and plan strategies to accomplish them.
The employee completes their reflection on their evaluation - it is optional if they choose not to do it.
Print out a copy and both the principal and employee must sign and date the evaluation in blue ink.
Make a copy of the signed document for the employee and scan a PDF copy and upload it to the evaluation folder. Name the PDF file:

Change the sharing settings of all files to “View Only” for the employee.
