Evaluation for Teachers - Procedure

The purpose of evaluation is to provide teachers with feedback about their professional practice. It also allows teachers to reflect on their teaching practice. The evaluation format is based on the research of C. Danielson
Principals evaluate teachers. If a teacher has more than one principal, the principals will decide on a main principal to complete the evaluation with support from the other principals.
Principal completes formal visits, classroom visits and meets with teachers for evaluation purposes. Principals may request to see lesson plans, assessments or other material from teachers such as a markbook or class profile. Please refer to GCN-G2.
Formal visit (minimum 2) - consist of a pre-visit (to discuss the upcoming lesson), the actual class visit (for the full length of class), and the post-visit (review the lesson and reflect with the teacher (What went well? What concerns did you notice? How could the lesson improve? What would you do differently?...)
Classroom visit (walk-throughs) (minimum 4) - brief visit (5 minutes) to the class to observe the students working or the teacher presenting a lesson.

It is recommended that principals share all notes with teachers to allow for collaborative and constructive discussion for improvement.
There are four levels in the evaluation: Unsatisfactory, Basic, Proficient, Distinguished. The majority of teachers will fall under Basic and Proficient. If a teacher is determined to be overall Unsatisfactory, the Superintendent should be contacted and a Union representative may be involved. There are Formative & Summative evaluations for Teachers, Resource Teachers, and School Counsellors.
Formative Evaluation General Guidelines (for contracts over three months)
Principal Required Visits - Minimum 2 Formal Visit and 4 Classroom visits for each formative evaluation.
Hired for Semester 1 only - Formative #1 evaluation - deadline is Nov. 15th
Hired for Semester 2 only - Formative #1 evaluation - deadline is April 15th
Hired for the school year - Formative #1 evaluation is required - by Nov 15th
- Spring - use the Formative #2 Evaluation Spring Report for
Full Year Term teachers - deadline is April 15th
Note - Principals can switch to Summative evaluations in the Spring for a full year formative teacher if approved by the Superintendent. A formative evaluation should have been completed in the fall to make the request.
Talk to the Superintendent by December if you wish to complete a Summative in the Spring instead of the Formative Evaluation #2 for a possible change from Term to Permanent contract.
Summative evaluation general guidelines
Summative evaluations of permanent teachers are completed in the first and second year, and then a minimum of every 5 years(may be done sooner upon request from either party).
Principal Required Visits - Minimum 2 Formal Visit and 4 Classroom visits for a Summative evaluation.
Summative evaluation checklist - principal and teacher each choose one element per domain (4 domains). Principal chooses 4 elements and the teacher chooses 4 elements. Evaluation is based on those 8 elements.
Resource/Guidance - complete the appropriate evaluation specific to them
Steps to follow for completing an evaluation
PSSD will inform principals of staff to be evaluated and create evaluation forms for principals to use in Google Drive. It is the responsibility of the principal to monitor the shares on an ongoing basis to ensure confidentiality. File name must be listed in the following format.

Lastname firstname - Summative Evaluation - April 20xx
Principal notifies the teachers that are being evaluated with an e-mail and a reply from the teacher:
Formative - by September 15th
Summative - by September 15th
Principal discusses the evaluation process with the teacher. It is up to the principal to decide when to share the document with the teacher and show the teacher how to access and complete the document.
Principal will collect evidence through classroom visits (minimum 4), formal visits (minimum 2), and discussion/meetings with the teacher.
Principal comments on the domain elements based on his observations and discussions with the teacher. The teacher completes their reflection for each of their domain elements. The principal will complete a summary with recommendations to support the teacher.
Formative evaluation - there are 4 elements. The principal comments on each of the 4 elements and the teacher reflects on the 4 elements.
Summative evaluation - The principal and teacher each choose one element per domain (4 domains). Principal chooses 4 elements and the teacher chooses 4 elements. Evaluation is based on those 8 elements. Elements of Evaluation
When both parties have completed the evaluation, both the principal and the teacher MUST sign the evaluation form. Print a copy and both the principal and teacher sign in blue ink. Once the evaluation a signed, scan a PDF copy and add it to the evaluation file with the following listed name:

There will be two files for each teacher - the signed PDF file and the original file. Reminder that the teacher's signature indicates they have read the evaluation only - they may not necessarily agree with it.
Once the evaluation is signed by both parties, make a copy for the teacher and keep the original. Once everything is printed and uploaded, change the teacher share settings to “view only” for both files.
