Intensive Summer Program Residents:
Move In:
Move-In for ISP students staying at the Chatham University residence halls is on Sunday, June 26, 2022. We are splitting students into groups to allow for social distancing. Please follow the below arrival schedule:
Last Names beginning with A-D —arrive at 10 a.m.
Last Names beginning with E-K —arrive at 11 a.m.
Last Names beginning with L-R —arrive at 12 p.m.
Last Names beginning with S-Z —arrive at 1 p.m.
Students will be responsible for their own transportation to and from the airport.
Students participating in both programs will not be expected to move out and back in between programs.
Note: Due to COVID restrictions, only ONE family member is permitted to accompany each resident into the residence halls. Masks must be worn by everyone entering the Chatham property. Staff will be unable to assist with moving items into the residence halls. Therefore we suggest bringing only necessary items that can be carried by the student.
International travelers: contact the school office for guidance and instructions.
ISP students are invited to attend the Company Experience culminating performance, June 26 at 7:30 p.m., held at Hartwood Acres Park Amphitheater as part of their 2022 Summer Concert Series. Hartwood Acres is located approx 30 min. from Chatham. ISP students interested in attending this performance must be fully checked into the dorm by 5:00 p.m. to allow time for dinner then transportation (both provided by PBT) to HA.
Move Out:
Move Out will be Friday, July 29 after classes. Please plan your travel accordingly! We recommend booking flights after 5:00 p.m. All residents MUST move out of the residence halls by 11 a.m. on Saturday, July 30.

At check in, residents will be given a residence hall room key and a key card for the front door. Lost residence hall room keys result in a $25 charge; a lost key card will result in a $100 charge. These charges are collected by Pittsburgh Ballet Theatre School. Students should bring key rings that will help prevent the loss of residence halls keys. Key rings should NOT identify whose key it is or what room the key opens.
If a resident loses their room key or key card, they have 24 hours to find it or they will have to pay the charges. You must notify a Resident Advisor immediately if you have lost your room key or key card. Replacement charges must be received by the School Office before a replacement is provided.
Chatham University is staffed by housing and/or PBT School staff during Open Hours. All housing staff and PBT School staff have received necessary clearances.
Manager of Residential Programs: The Manager of Residential Programs works shifts at Chatham during the week and also serves in the on-call rotation. The Manager of Residential Programs is the primary contact for any housing needs or resident concerns. The Manager of Residential Programs works to uphold the policies and procedures outlined in the handbook.
Lead Resident Advisor (RA): The Lead RA works shifts at Chatham during the week and also serves in the on-call rotation. The Lead RA assists the Manager of Residential Programs with any housing needs and works to uphold the policies and procedures outlined in the handbook.
Resident Advisors: RAs work shifts at Chatham during the week and also serve in the on-call rotation. Each RA is responsible for a group of residents during outings and events, and works to uphold the policies and procedures outlined in the handbook.
Communication
To communicate a concern regarding your resident and/or an emergency, you can call or text the Duty Phone at (412-667-2507). Please note response to email inquiries may take up to 48 hours.
PBT engages a school bus company to provide daily transportation to and from PBT studios. School buses will depart from the University campus Monday through Saturday for scheduled classes. All students must ride on their assigned bus and may not change buses to ride with friends or arrive at a different time.

Students may request a single-occupancy room or request roommates. However, there is no guarantee that roommate requests will be granted. Housing Request Forms are available in the Family Portal.
PBT School does not guarantee that any room request will be granted. Room assignments will be communicated at the time of move-in, and not any earlier.
All room assignments are final, and changing rooms is strictly prohibited.
Cleaning
All residents are responsible for keeping their residence hall rooms clean. Bathrooms and showers are cleaned by the University Housekeeping department; however, they are to be left in proper order after use.
All residents are expected to keep rooms clean and orderly. Housing staff will conduct weekly room inspections to ensure that cleanliness and safety are maintained. PBT reserves the right to enter any residence halls room at any time for the purpose of inspection, or when there is reason to believe that program rules are not being followed.
The following may result in failure of room inspection :
unsafe/misuse of any furniture
Overloaded circuits
Use of nails, tape, or other prohibited hanging devices on the walls
Lack of cleanliness (trash, etc)
Medications found in room
Any evidence of other prohibited items.
Residents who fail a room inspection are expected to correct the issue immediately. Housing staff reserve the right to implement daily room inspections or disciplinary sanctions like loss of sign out privileges until the room can consistently pass room inspection.
Housing and PBT School staff reserve the right to enter any room for the following reasons:
Room inspection (as outlined above)
Smoke/fire/water/odors coming from a room
Reasonable suspicion that someone is in a threatening situation
Reasonable suspicion of a policy violation
Pittsburgh Ballet Theatre School also reserves the right to enter your room in situations where maintenance work or repairs need to be done. When possible, housing staff will notify the resident prior to room entry.
Students must use their assigned bathroom in the residence hall. Students are not permitted to walk through the halls in towels. Students must wear clothes or a bathrobe.
PBT is not responsible for lost, damaged, or stolen property.
Situated in the heart of campus, Woodland Hall was constructed in 1909. Woodland houses over 100 student residents in single, double, and triple occupancy rooms. This residence hall is located at the edge of the academic quad, and directly across from the library. The Woodland sun porch is the beautiful and comfortable lounge area that is the heart of the building. Woodland has fully accessible facilities and is the only residence area on campus with an elevator
Fickes Hall, a historic mansion, was built in 1927 and renovated into a residence hall for Chatham University in 1946. Situated on the picturesque southeast rise of campus, Fickes houses over 100 residents in a renovated mansion. The first floor includes quiet study space among the built in bookshelves of the dining room, a comfortable television room, and a great outdoor courtyard. A baby grand piano and traditional furniture fill the living room with places to study and have rich conversation. Fickes also provides apartment living for upperclass students with the convenience of being close to academic and administrative buildings on campus.
Students are only permitted to leave campus with non-residents who are over the age of 21, and only with written parent permission given in advance. Parents/guardians are required to fill out a Summer Visitor Form at least 48 hours before any non-resident signs out a resident. Non-residents are required to show ID when they arrive to pick up residents, to confirm identity and age. Residents may only sign out from the residence halls. Residents must return back to the residence halls by curfew.
Visitors and guests are not permitted on campus. This includes, but is not limited, to parents, guardians, and family members. Non-resident students are not allowed inside the residence halls, however may participate in activities outside. The only exception to this policy is for move-in and move-out days.
Suggested Walking Boundaries
Our Summer Programs demand a great deal of vigorous physical activity. To remain healthy and alert during the day, our students need to get proper rest.
Curfews are strictly enforced, and all residents are expected to abide by curfew. Failure to observe curfew may result in dismissal.
Weeknight Curfew (Sunday—Friday)
All students must sign back into Zone 1 by 9:00 p.m.
All students must be in their assigned residence hall by 9:30 p.m.
All students must be in their assigned room by 10:30 p.m.
(All laundry, showers, phone calls, etc. must be finished before this time.)
Lights out at 11:00 p.m.
Saturday Curfew
All students must sign back into Zone 1 by 9:00 p.m.
All students must be in their assigned residence hall by 10:00 p.m.
All students must be in their assigned room by 11:00 p.m.
(All laundry, showers, phone calls, etc. must be finished before this time.)
Lights out at 11:30 p.m.
Students are responsible for their own laundry—residents should be sure to have an ample supply of laundry detergent. Housing staff will instruct residents on the proper use of residence hall machines.
Residents are expected to remove their laundry from washers and dryers within 30 minutes after a load is done. After 30 minutes, clothes may be transferred to PBT laundry baskets.
Chatham residence hall rooms are not air conditioned. There are a limited number of rooms available that will support air conditioner units, based on medical need. To apply for an air conditioned room:
Complete the Air Conditioner Request on the Family Portal before May 1, indicating the medical need for air conditioning.
It is required that you submit a doctor’s note detailing your need for an air conditioning unit. Please submit a note to pbtschool@pittsburghballet.org.
Select the Air Conditioning option in the Family Portal and submit the $125 payment to cover the University's utility charge.
Air conditioning units will be installed within five days of arrival.

Students may not bring a vehicle to the residence halls—no exceptions. Furthermore, residents are not permitted to leave the studios or residence halls in the car of a commuter student. Regardless of age, students must have special permission to leave the residence halls in cars or by public transportation; this is reserved for extreme circumstances and must be granted by the Manager of Residential Programs.
Students will need spending money while in Pittsburgh for excursions, extracurricular activities, and dinner on Sundays. Please do not send personal checks with your child; PBT cannot cash checks. We recommend travelers’ checks, gift cards, or ATM cards. An ATM is available on the Chatham University Campus. Students should not carry large amounts of cash with them or keep large amounts of cash in their residence hall room.
